ROLE DESCRIPTION

Who you support:
Society committee volunteers within your society. All members and
potential members of your society.
Who supports you:
Societies Leadership Committee
The Student Activities team.
Info desk and the base staff
Purpose of your Role:
You sit on your society committee and you are integral in deciding
the direction for your society during your term of office. You are
responsible for administration of your society including promoting
and facilitating Society events throughout the year.
Typical time commitment:
15- 25 Hours per month

How you will be selected:
Committee elections take place in March every year through an
Annual General Meeting (AGM) for all society members. This will be
conducted as a meeting where you will be required stand in an
election.
Specific Duties & Responsibilities
1. To keep up to date records of all income and expenditure for your Society.
2. To ensure that the society remains solvent.
3. To create, plan and update budgets using an event spreadsheet for any large society activities.
4. To ensure that all members of the society have insurance cover for any trips abroad.
5. To ensure all society money is banked with the Students Union and money is stored securely if it
is collected for membership or trips.
6. To ensure that the correct process is used and appropriate forms are completed for cheque
request and petty cash requests, and record all transactions for the society.
7. To take the lead role in completing grant application forms and to ensure that grants are spent
within the correct regulations.
8. To receive weekly account updates from the info desk.
9. To coordinate any fundraising for the society and ensure that all money collected is banked with
the Students’ Union
10. To set an annual budget plan based on the activities planned for the society
11. To actively seek sponsorship for the society and ensure that all sponsorship is approved by the
societies coordinator before the agreement is signed by the sponsor.
12. Where the opportunity arises work with similar societies in Northumbria Students’ Union and
across the UK.
13. To actively encourage good communication between NSU activities, Society Reps, society
committees and society members.
14. To attend any additional training appropriate to your society, to communicate training offered by
external organisations to the lead staff member (e.g. Societies Coordinator), and to make them
aware of any further training needs.
15. To fully understand the importance of your role within the structure of Societies, NSU and the
University and to uphold the values of Northumbria SU and Northumbria University.
16. To give other committee members two weeks’ notice if you intend to go on holiday or if you
have upcoming academic commitments which will impact on your role, and to give at least one
month’s notice if you intend to step down from your role.

numbers of members and the variety of activities.

delivered activities and feedback from society members.
