CONSTITUTION
Fall 2014
Article I – Name:
Sport Leadership Club
Article II – Purpose/Mission Statement:
To provide coaching, sports management and other interested students with the opportunity to
establish social and educational growth, and experience in the fields of coaching and sports
management.
Article III – Membership:
All Grand Valley State University (GVSU) graduates and undergraduates, majors and minors, as
well as faculty and staff are qualified for membership in the Sport Leadership Club at the cost of
dues determined at the beginning of each school year. Sport Leadership Club shall not
discriminate on the bases of age, color, disability, familial status, height, marital status, national
origin, political affiliation, race, religion, sex/gender, sexual orientation, veteran status, or
weight. Student housing, organizations, athletics, classes and University community facilities
should be open to all who desire to participate.
Article IV – Offices and Duties:
Section A – President
1. Preside over all officers, Executive Committee and Sport Leadership Club meetings.
He/she will formulate the agenda for all meetings.
2. Serve as official representative of Sport Leadership Club at all University functions.
3. Shall oversee the complete function of the organization.
4. Shall have the power to cancel meetings or call special meetings when he/she considers
them necessary.
5. Shall meet regularly with the faculty advisor and any additional faculty advisors to
discuss Sport Leadership Club business.
6. Shall see that the officers of the Club discharge their duties faithfully, impartially,
accurately and promptly. He/she holds the power to recommend removal of those
officers if those duties are not met consistently.
7. Shall have the express authority to delegate special projects and appoint committees to
any member as he/she sees fit.
8. Shall conduct all Sport Leadership elections.
Section B – Vice President of Internal Affairs
1. Preside over all officers, Executive Committee and Sport Leadership Club meetings in
the absence of the President.
2. Assume the duties of President should the office become vacant until the office is filled
at the next election.
3. Shall advise and guide the Club in the areas of regulation and rules. He/she should be
thoroughly knowledgeable in these areas.
4. Shall be official representative at all University functions in the absence of the President.
5. Shall coordinate meetings with campus and city officials to go over regulations and
procedures for any major Sport Leadership Club events.
6. Shall fill out and file any necessary paperwork regarding facility use, road closures,
equipment borrowing, etc.
7. Shall serve as the liaison between the Sport Leadership Club and Grand Valley State
Athletics and coordinate club members to work GVSU Athletics events staffed by the
club, when necessary.
8. Responsible for instructing and overseeing club members at GVSU Athletics events.
9. Shall see that the President of the Club discharge their duties faithfully, impartially,
accurately and promptly. He/she holds the power to recommend removal of the
President if those duties are not met consistently.
Section C – Vice President of External Affairs
1. Serve as the liaison between the Sport Leadership Club and the local media. Shall be
responsible for writing and distributing press releases in a timely manner, coordinating
interviews, and protecting the image of the Sport Leadership Club.
2. Shall coordinate educational and social activities by informing club members of
meetings and events through e-mail.
3. Shall coordinate the recruitment activities for future members and coordinate alumni
directory/newsletter.
4. Shall be responsible for promoting Sport Leadership Club events on campus through the
use of publicity and advertisements, announcements, posters and flyers, and online
social networking sites such as Facebook.
5. Shall write any necessary follow-up thank you notes.
6. Responsible for creating any registration brochures for events administered by the Club.
7. Assume the duties of Vice President of Internal Affairs should the office become vacant
until the office is filled.
8. Preside over all officers, Executive Committee and Sport Leadership meetings in the
absence of the President and Internal Vice President.
9. Maintain client/consumer database for all Club events.
Section D – Secretary
1. Shall keep accurate and complete minutes of all Officer, Executive Committee and Sport
Leadership Club meetings. The same would apply to any special meeting called by the
President.
2. Shall prepare and distribute minutes of all meetings to the Executive Committee
through e-mail, no later than 24 hours following the previous meeting.
3. Shall be responsible to make all minutes available to the members and Executive
Committee, following regular Sport Leadership Club meetings through e-mail, no later
than 24 hours following the previous meeting.
4. Keep records of attendance for each meeting.
5. Update club members’ points and make available on Blackboard.
6. Maintain an accurate Alumni Directory.
7. Maintain and update a contact directory of the Executive Committee.
Section E – Director of Sponsorship and Fundraising
1. Shall be responsible for the creation of sponsorships and execution of the club
fundraising and sponsorship opportunities to develop sponsorship revenue or any
possible donations for the Club or any major club events.
2. Shall arrange for deposit of any external funds from sponsorship and fundraising efforts
with the Treasurer.
3. Obtain approval from the Executive Committee and Club Advisor for any sponsorship or
fundraising plan.
Section F – Treasurer
1. Shall keep records of all Sport Leadership Club funds, expenditures and receipts,
following University procedures.
2. Expenditures of more than one hundred dollars ($100.00) will require the written
authorization of the Executive Committee and the Faculty Advisor.
3. Expenditures of less than one hundred dollars will require Faculty Advisor’s signature on
all checks.
4. Shall be required to keep all financial records up to date and current so that he/she may
provide the financial position of the Club accurately at each weekly Executive
Committee Meeting.
5. Shall propose and supervise the budget for each year’s funds.
6. Handle the distribution of funds as approved by the Executive Committee.
7. Responsible for collecting club dues and proper recording of club dues by members.
8. Deposit cash at the Registrar’s Office within 24 hours of receipt.
Article V – Executive Committee
Section A – Executive Committee
1. Shall consist of the Faculty Advisor, President, Internal Vice President, External Vice
President, Secretary, Director of Sponsorship and Marketing, and Treasurer.
2. Shall have a minimum grade point average of 2.5.
Section B – Eligibility for Officers
1. Any Sport Administration Club member that has shown the initiative to set themselves
apart and is actively involved in the club.
2. Shall have a minimum grade point average of 2.5.
Section C – Nominations and Elections
1. All nominations shall be submitted to the Executive Committee, a month prior to
elections.
2. Voting will take place before September 15th for the following calendar year. From that
point, it is recommended that the Executive Board Elect shadow the current Executive
Board until the end of the year.
3. Each nominee shall be given a five-minute time period in which to present a brief
speech to the entire Club on why they believe they should be elected and their future
goals.
4. The officers-elect should be determined by a written ballot vote and simple majority.
5. All elected officers will hold their respected office for the following calendar year.
Section D – Removal of Officers
1. Failure to perform the duties and responsibilities of that office as required by the
constitution.
2. Conduct unbecoming of an officer as determined by the Executive Committee.
3. Proposed action by the President or Internal Vice President, in the event the removal
involves the President, will be brought before Sport Leadership Club members for
approval.
4. To remove an officer, a two-thirds vote by written ballot is required of the entire
Executive Board.
Section E – Resignation of Officers
1. Any officer must inform the President and the Internal Vice President two weeks in
advance of resigning.
2. In the event of a resignation, the President may appoint a temporary replacement until
the next scheduled election.
3. In the event the President resigns, the Internal Vice President shall temporarily replace
the President until the next scheduled election.
Article VI – Meetings:
Meeting times will be decided upon at the first organizational meeting of each semester. The
President holds the right to call any special meetings.
Article VII – Finances:
Dues will be decided by the Executive Committee at the first organizational meeting of each
semester.
Article VIII – Dissolution:
Upon dissolution of the Club, all resources will be directed to the Student Legacy Scholarship
Fund.
Article IX – Amendments:
Any and all proposed amendments to this constitution shall be presented to the Officers in
writing for recommendation to the Executive Committee. All amendments will be determined
by a written ballot vote and simple majority of the Executive Committee at the next club
meeting. Changes will take place the following semester.
Article X – Ratification:
This constitution and any amendment to it shall be ratified by two-thirds present of the
members.
