DISTINGTON SURGERY JOB DESCRIPTION NAME: JOB TITLE: Dispenser REPORTS TO: Dispensary Manager, Practice Manager & Partners of the Practice AREAS OF RESPONSIBILITY: 1. Dealing with Patients a) To be polite and courteous at all times to patients and visitors to the dispensary and deal with their requests efficiently both face to face and over the telephone b) Take prescription requests accurately from patients and either enter details onto the clinical system or make a note to check with a GP if not a repeat item. c) Discuss with the patient areas of concern such as regular reviews, concordance and alignment of their medication in line with national standards and protocols in place within the surgery d) Inform Patients when their prescription/medication will be ready for collection and where they can collect it from i.e. Main surgery, branch surgery, local chemist etc. e) Hand out correct medication to patient and ensure back of script is completed correctly with all details assisting patients where necessary and taking correct prescription charges f) Follow up and action all patient queries as appropriate seeking advice from GP’s and other health professionals g) Advise patients as necessary about their medication including notification of reasons for any changes 2. Dispensing a) Dispense medication accurately and timely – within 48 hours from the patient request b) Ensure the prescription is endorsed correctly in line with the current drug tariff c) Calculate the cost and dispense any private prescriptions d) Make up residential homes medication using the NOMAD system and ensure all prescriptions are accounted for e) Ensure the EMIS system and NOMAD system are amended accordingly 3. Stock Management & Housekeeping a) Ensure all stock delivered to the dispensary has been entered onto the clinical system accurately with details of pack size, price, batch number and expiry date and the same has been checked against the delivery note b) Notify the wholesaler/supplier of any discrepancies relating to stock delivered c) Keep a record of the total items dispensed by type i.e. levy & non-levy and enter this onto an excel spreadsheet accurately to assist with month end figures for the PPA d) Ensure month end procedures are completed for the arranged collection day e) File all prescriptions according to GP and prescription type f) Reconcile levy and private money each week against the prescriptions collected and balance this with the float carried forward on a daily basis. g) Ensure stock levels and re-order points are correct to meet the demands of the business h) Ensure stock orders are placed twice daily before wholesaler cut-off time i) Ensure stock is rotated efficiently and out of date stock is avoided through this system, be vigilant and accurately double check dates of stock before dispensing to patients j) Ensure the fridge temperature is maintained at correct levels and recorded regularly k) Ensure levels of dispensing consumables are kept in line with the business requirements e.g. labels, prescription bags, bottles etc. 4. Liase with GP’s, surgery staff and other health professionals on a daily basis Manage the telephone within the dispensary ensuring the appropriate messages are broadcast when the dispensary is closed Send and action e-mail messages as appropriate to staff within the practice and other healthcare professionals Fax and photocopy information as appropriate Collate information relating to the Medicines Management Project on a monthly basis and pass to Dispensary Manager Training a) b) c) Attend any training courses as deemed necessary for your professional development Assist in the training of other staff where appropriate within the dispensary such as trainees within the practice Keep up to date on practice policies relating to computer access, patient confidentiality, health and safety etc. Any other duties which are considered necessary by the dispensary manager, practice manager or partners of the practice
