Arts and Heritage Events Volunteer Role Description Role: Assisting with special events and private views across Arts and Heritage venues Responsible to: Andy Skinner (Volunteer Co-ordinator) and Hannah James/ Victoria Donkin (Duty Managers) Location: Depending on the event, volunteers may be required to work at SeaCity Museum, Tudor House and Garden or Southampton City Art Gallery Hours: Times and days vary depending on the event. Family fun events will usually run from 10am-5pm on weekdays or weekends, private views generally run on weekday evenings from 6-8pm. Timescale: Once you have submitted your Registration form, you may be invited to attend an informal interview with the Volunteer Co-ordinator and Duty Manager to discuss the role. If you are selected to be one of the Events volunteers, you will need to attend an induction session as soon as possible after the informal meeting with staff members. This, and any questions or queries you may have, can be discussed in your meeting. 1. Purpose of role: This role is as interesting and varied as the range of events that we hold at Arts and Heritage! We are registering a team of Events Volunteers who we will then call upon to assist with various events ranging from private views at the Art Gallery to St George’s Day at Tudor House. Primarily a customer service role, events volunteers will actively engage members of the public, while ensuring exhibition safety and visitor awareness. 2. Specific tasks: Specific tasks will vary depending on the event but may include: Meeting and greeting visitors at the door Stewarding around the venues, being on hand to direct visitors and answer any queries Assisting with guided tours Approaching visitors and helping them fill in feedback forms Evening work at private views, occasionally including working on the bar and some cash handling Helping to set up areas before events and clearing away once they are over Costumed interpretation at family event days – creating and acting as a fictional character 3. General role: To act as a representative and ambassador for Arts and Heritage To promote the health and safety of visitors, staff and volunteers by following designated procedures To work within the guidelines of the Volunteer Policy and related organisational policies (i.e. Child Protection; Grievance & Disciplinary; Equalities; Access) 4. Relevant qualities: Excellent customer service skills An enthusiastic attitude Good interpersonal skills An active interest in local history and culture. Reliability and flexibility Personable, confident and outgoing Attention to detail Willingness to work as part of a team Willingness to undertake any necessary training as required 5. DBS Check: This role does not usually require a DBS check. This can be discussed in more detail at your informal meeting with the Volunteer Co-ordinator and Supervisor.
