Position Description

FLSA: Exempt (40 hours a week)
SUMMARY: Under the supervision of the Chief Executive Officer (CEO), the Director of
Operations oversees the daily operations of all Coastal Health Alliance medical and dental sites
including: management of staff scheduling; daily workflow; ongoing training, supervision and
evaluation of non-licensed clinic staff; assurance of demographic and operational data collection and
reporting; adherence and reporting on operational performance standards; compliance with safety
and quality standards; facilities maintenance and purchasing for all medical and dental sites. The
Director of Operations works closely with the Director of Clinical Services (DCS).
JOB DUTIES AND RESPONSIBILITIES:
 Hires, trains, supervises and evaluates the front office, medical records, Patient Assistance
Programs Coordinator. Ensures that all staff are familiar with clinic policies and procedures.
 Trains staff in key customer service qualities and monitors patient satisfaction including
patient satisfaction surveys.
 Monitors the collection of correct demographic, operational and financial data.
 Oversees the production of regular performance dashboards regarding clinic operations.
 Understands medical billing and coordinates with billing staff to develop procedures, train
staff and monitor operations for accurate billing and collections.
 Maintains precise patient schedules and facilitates efficient patient flow, making changes as
needed for seasonal variation in appointments and staffing.
 Enthusiastically engages staff in quality improvement activities.
 Assures compliance with all payors’ standards.
 Ensures that all sites are in compliance for audits by other entities including but not limited
to Partnership HealthPlan, HRSA and OSHPD.
 Responsible for accurate and timely submission of timesheets to payroll.
 With DCS, monitors medical and dental equipment/supplies and approves ordering and
maintenance.
 Coordinates building repairs, maintenance and janitorial services.

Works with IT contractor (KLH) to maintain proper telecommunications and computer
operations.
Responsible for upholding an environment with safety best practices, following preventive
measures to prevent injuries and reporting worker injuries. (OSHA Compliance and Workers
Compensation)
Models positive behavior towards staff and patients.
Respects and abides by the mission to provide quality, comprehensive primary health care
services to all.
Attends management team meetings and provides data reports to management, as required.
Participates in CHA’s strategic planning process.
Assures HIPAA compliance with the confidentiality of sensitive patient and Center-based
information
Monitors Quality for grant and initiative compliance
Participates in community events.
Stays informed about relevant Health Care Policy that may impact clinic workflow
Performs other duties as assigned.
RELEVANT JOB EXPERIENCE/SKILLS/REQUIREMENTS:











Excellent employee development and management skills.
Two years clinic management experience.
Prior experience at a Community Health Center
Excellent written and verbal communication skills.
Demonstrated competencies with generally used computer software
Prior experience with Electronic Medical Records software, preferably eCW
Ability to work independently, problem solve and work successfully within a team
environment.
Ability to work effectively with multiple providers and staff members.
Ability to define problems, collect data, establish facts and draw valid conclusions for
decision making.
Ability to speak and understand Spanish, preferred.
Bachelor’s degree, preferred.
PHYSICAL REQUIREMENTS
Must be able to lift and move paperwork and files, up to 20 pounds.
Must be able to speak clearly and hear others.
Must be able to see well enough to inspect written documents.
Must be able to walk, sit, climb stairs, use hands to move objects or operate keyboards, reach
with hands and arms, stoop and kneel.
