Job Description
JOB TITLE: OFFICE RECEPTIONIST/BILLING SPECIALIST
DEPARTMENT: SURGEON’S CLINIC
JOB SUMMARY: The receptionist with billing specialist responsibilities will be responsible for
organizing the Surgeon’s Clinic schedule and carrying out various financial functions of the Surgeons’
Clinic. Provides service to patients in a professional and friendly manner; works closely with medical
staff, as well as other clinic employees. Answers patient billing inquiries and creates invoices for the
department. Schedules, enters patient information, and checks patients in for the clinic. Performs clinic
secretarial duties, including filing, copying, and faxing confidential patient documents. Must obtain a
basic knowledge of medical terminology and be able to handle stressful situations while continuing to
maintain efficiency for the department.

Education: High School Diploma or GED required. Some college background preferred
Basic clerical and organizational skills
Office Machine experience (copiers, scanners, fax, telephone)
Computer literate in operating Microsoft Office programs and data entry
Professional written and oral communication skills
Experience in administrative position in a general surgery setting preferred
PRIMARY DUTIES AND RESPONSIBILITIES:
A. Greets patients and visitors that enter the clinic, answering questions and insurance inquiries,
and referring them to medical staff if needed.
B. Answers phone calls regarding scheduling, office visit costs, referrals, insurance information,
and other patient inquiries.
C. Calls patients to confirm appointments, making scheduling adjustments and changes as
needed using critical thinking skills.
D. Coordinates patient appointments from external doctor’s offices; responsible for scheduling
the appointments for consultations, surgeries, and follow-up appointments.
E. Receives patient payments and answers questions pertaining to patient billing.
F. Processes Surgeon’s Clinic charges to create complex invoices on patient accounts for
surgeries and office visits.
G. Receives lab results, radiology reports, referrals, patient records, and other patient medical
information that must be scanned into patient’s record.
H. Utilizes hospital software to access patient records necessary for scheduling and billing.
I. Multi-tasks to assist patients and medical staff in situations, including helping patients with
wheelchairs filling out paperwork, and retrieving insurance information, while continuing to
accurately enter information and report correct facts.
J. Creates patient folders and obtains the necessary information to conduct surgery, including a
current medication list, allergies, past surgeries and other relevant medical information.
K. Performs other duties as assigned that are able to be met in a timely manner.
OTHER SIGNIFICANT REQUIREMENTS:
A. Maintains patient confidentiality by adhering to the Health Insurance Portability and
Accountability Act (HIPAA) regulations.
B. Handles patient complaints in a professional manner and reports to upper management if
necessary.
C. Maintains a clean, organized work environment and contributes to a positive work
atmosphere, continuously interacting with medical staff.

Provides excellent customer service to each patient, as well as ongoing positive communication with coworkers and external facility employees, representing Wilbarger General Hospital in a positive way.
Job Associated Equipment and Programs:
Maintains equipment essential for job functions. Staff will demonstrate a knowledge of computer
software and devices, including programs e-MDs and CPSI. Staff must also be able to operate office
telephone, fax, and copier.
Multi-Organizational Capabilities:
Balances numerous tasks that occur daily, including assisting patients, processing information, answering
phones, and other job-specific tasks, while still remaining organized.
