Context of Work:
CoolTan Arts is a charity run by people with mental distress. CoolTan Arts is looking for an experienced,
dynamic proactive person with at least 2 years experience working in communications and marketing,
ideally in the context of mental health and / or voluntary sector. The role demands excellent;
communication, organisation, managerial, volunteer management web, social media skills and the ability
to multi-task.
You will need to be personable, compassionate, self-motivated and wanting to create a transformation in
mental health delivery by raising greater awareness of positive mental health among the general public.
Along with a strong sense of social justice and an empathy with mental health issues, you must be able to
prioritise and think strategically under pressure to meet deadlines.
Purpose of Job:
Raise the charity's profile amongst diverse audiences, through marketing and branding the organisation to
key stakeholders and the general public. Along with managing media relations and developing media
campaigns to raise awareness, oversee and supervise the production of all literature, development of
website and social media. All publicity materials and communications need to reflect CoolTan’s ethos and
feed into the overall strategy and business objectives. With line management responsibilities the post
holder will also be expected to liaise with colleagues, volunteers and participants, be flexible and creative.
Key Responsibilities
1) Marketing, Communications & PR
 Lead for both internal and external communications
o Coordinate the production of promotional materials (print & digital)
o Maintain the photo library and organisation database
o Author and coordinate the distribution of newsletters and promotional items
o Coordinate mailings about projects, public events and showcases to stakeholders
 Lead for securing press and maintaining good public relations
o Write press releases and oversee promotional material about CoolTan Arts
o Research new publicity outlets and ensure that press releases, listings information and
photos are emailed or mailed to relevant media within deadlines
o Attend events and external meetings to proactively market the organisation
 Understanding organisation strategy and feeding into it as required
2) Branding
 Oversee publicity, branding and marketing
o Leading brochure and leaflet design by volunteers
o Coordinating materials ready for print

Lead the development of brand guidelines
 Maintain logos, and consistency of use across the organisation
 Ensure e-mail format consistency across the organisation
3) Website, Social and Online Media and Design
 Oversee social media
o Update and maintain the CoolTan Arts website and presence on external sites, including
social media (e.g. Twitter, Facebook)
 Oversee organisation websites and author content
o Manage staff and volunteers to keep the website regularly updated
 Support the implementation of CoolTan Arts wider digital communications strategy
 Design and Layout skills including knowledge of Photoshop and Indesign
4) Volunteer Management
 Supervise volunteers throughout their volunteering journey in line with RARPA (Recognising and
Recording Achievement and Progress in Non-Accredited Learning) guidelines, setting SMART
(Specific, Measurable, Achievable, Realistic and Time based) goals and monitoring progress and
achievement
 Coordinate, train and support a wide range of marketing & communication volunteers to ensure
deadlines are met and consistency maintained
5) Administration Duties
 Oversee database and organisation wide mail outs
 General correspondence
 Producing statistical reports as required

PERSON SPECIFICATION for Communications & Volunteer Officer
Qualifications/Knowledge
1. Knowledge and ability to use Multimedia campaigning
e.g. press, publicity, drafting and up-loading website
content
2. Intermediate/ Advanced Microsoft word, excel, outlook,
mail-merge, access and power point
3. Knowledge and expertise in website content
management systems especially word-press, drupal,
graphic and design packages such as adobe in-design,
photo-shop
4. Degree/work experience in or equivalent preferably in
related subjects such as: Marketing & Public Relations
5. Volunteer Management Certification; or relevant
experience may substitute for the required education on a
year-for-year basis. (Such as adult teacher training
certificate)
6. Certificate in First Aid, Mental Health First Aid, Health &
Safety
7. Proven ability to type 30-40 WPM
