I. Position Purpose The Administrative Assistant will serve as an assistant, aiding the Ministerial Leadership in the carrying out of leadership and pastoral duties. The individual will seek to use their personal gifts and technical skills for the benefit of the church by contributing to the Ministerial Leaderships effectiveness and efficiency. II. Expectations The Administrative Assistant will be proficient in the use of standard office tools: Copy Machine Printer/Scanner Computer Folder Fax Machine, etc. She/he will demonstrate organizational skills, as well as an ability to relate well with a diversity of persons: Ministerial Leadership, Church Leaders, members, and visitors. She/he will demonstrate a willingness to grow spiritually, attitudinally and vocationally, exhibiting a personal faith in Jesus Christ as Lord. It is encouraged that the Administrative Assistant actively participate in Church activities, seek to grow in the manifestation of the fruit of the Spirit, and receive additional training, should that be deemed necessary. She/he will need to be a cooperative team member in relation with others who share the work environment and responsibilities. III. General Responsibilities The responsibilities of the Administrative Assistant are categorized as follows: daily, weekly, monthly, annual, and general duties: Daily Duties: 1. Accept all phone calls from people requesting to speak with the Ministerial Leadership. 2. Accept all visitors requesting to see the Ministerial Leadership. 3. Receive and sort mail. 4. Schedule all appointments. 5. Cooperate with Ministerial Leadership to Maintain church calendar. Weekly Duties: 1. Prepare bulletin for Sunday’s service. 2. Attend weekly staff meetings taking notes when necessary. 3. Maintain the Prayer Request Email Monthly Duties: 1. Combine, with the Ministerial Leadership, to prepare, print, and mail the Church Newsletter. This is a team opportunity to make sure our outward communication is purposeful and focused, so as to maximize the quality and effectiveness of the communication we send out. 2. Edit and type out board minutes each month. 3. Take inventory of and order if needed; office supplies, supplies for copy machine, and printer and copier toner in Boyce's office. Annual Duties: 1. Assist with the typing of annual reports. 2. Assist with the printing of the annual budget for the annual meeting. General Duties: 1. Maintain database for membership, baptism, and baby dedications and funerals. 2. Update computer files within the online combined Leadership folders (DropBox). 3. As requested, fill out and submit vouchers for expense reimbursements. 4. Responsible for Benevolence Ministry IV. Commitments: The Ministerial Leadership will make the following commitments: 1. To give schedules to, or contact, Administrative Assistant if unavailable or unable to come into the office. This will be helpful in keeping accountability. 2. Commit to give clear instructions concerning all requests and be available to answer questions when there is a lack of clarity. 3. Be willing to provide periodic sharing times for effective communication. 4. Be willing to address and resolve problems or conflicts. **The Administrative Assistant will make the following commitments: 1. She/he will keep the Ministerial Leadership informed as to church needs that come to her/his attention. 2. She/he will treat every call or visitor with courtesy, cheerfulness and respect. 3. She/he will make an effort to use time wisely, but be willing to allow for appropriate interruptions, especially if it involves ministering to individuals. 4. She/he will be willing to see her/his work as an opportunity to grow in her/his ability to serve the Lord and His church. 5. She/he will seek to be constant in prayer. V. Salary The Finance Committee took into consideration the salary paid to the existing staff in this position, the qualifications of the candidate, as well as the average pay for such professions. Regarding the Position of Administrative Assistant, the Finance Committee recommends the following: 27-30 hours, $350 a week, $18,200 annually with the future possibility to offer a raise, as well as a full-time position. VI. Time Off The Administrative Assistant is allowed 2 weeks paid vacation, with the possibility of more upon reasonable request. This included 2 Sundays. The Administrative Assistant is responsible for finding a replacement for scheduled or unplanned absences. It is encouraged that the Administrative Assistant considers attending a maximum of 3 conferences for encouragement and renewal. Conferences are not considered days off but are considered paid office days.
