Reporting to: District Manager Cancer and Supportive Care under the
VP Patient Care
This position has two main areas of responsibilities:
1) To perform secretarial duties for the Cancer and Supportive Care Services
2) To assist in the recruitment, screening, orientation and development of palliative care
volunteer services at St. Martha’s Regional Hospital.
General office duties:
 Typing of all correspondence, minutes, reports, forms, policies, procedures, etc.
relating to cancer and supportive care functions
 Assists in collecting, recording and filing of data as requested
 Reception duties
 Directing and resolving inquiries, referrals, comments as appropriate
 Booking meeting space, ordering food as necessary
 Making travel arrangements and booking hotel accommodations as requested
 Sorting and directing all incoming and out going mail
 Ordering office supplies
 Photocopying
 Distributing of materials, both internal and external, through use of mail, fax, courier,
etc.
 Distribute and collect satisfaction surveys annually or as directed

Ensures time cards are circulated and submitted to payroll on a bi-weekly basis
Volunteer Related Duties:













Participates in activities of the Spiritual and Religious Care/Palliative Care committees
as requested by the coordinator
Assisting in the promotion and advertising of the activities of the programs within the
department
Planning and organizing Palliative care/volunteer activities
Assist with recruitment, screening and orientation of palliative care volunteers
Development of criteria and strategies for annual evaluation of the volunteer program
Promote volunteer involvement in the organization and in community
Scheduling of home/hospital volunteer assignments
Maintains regular contact/communication with the volunteers and manager
Planning and organization of scheduled palliative care volunteer meetings and
educational sessions
Create and coordinate opportunities for recognition of contributions made by
volunteers to the organization and community
Maintain a contemporary knowledge base regarding volunteerism in health care
Other related duties
Annually access the training and education on patient, client and personal safety made
available by GASHA
MINIMUM FORMAL EDUCATION:
 Graduate of a recognized Secretarial/Office Information Technology/BIS program or
equivalent.
 Current, relevant and computer education
SPECIAL KNOWLEDGE & SKILLS:
 Advanced working knowledge and proficiency with a variety of computer software
applications, specifically Corel, Microsoft Office, and Excel.
 Minimum of two years secretarial experience required
 Knowledge and experience in volunteer environment and community partnership an
asset.
 Demonstrated excellent interpersonal and communication skills, both oral and written,
(Direct interaction with volunteers, staff and public)
 Demonstrated excellent organization and prioritizing skills. (Scope of responsibilities in
the job).
 Adaptable to change and is flexible to accommodate the expectations of the position.
 And understanding of, respect for, and loyalty to, the mission, vision and values of the
organization.
 Demonstrated ability to work as a member of a team, as well as the ability to work

 High mental demands associated with shifting priorities, a dynamic work environment and

 Office and clinic setting.
