Job Description Job Title: Activities Coordinator Responsible to: Student Involvement Manager Responsible for: Student Volunteers Strategic relationships: Students, Officers, Staff and senior managers from Solent Students’ Union, middle managers and staff from Southampton Solent University, staff of NUS and Duke of Edinburgh Award Scheme. Hours of work: 35 hours per week, plus additional hours as necessary, although this is not expected to be excessive Purpose of the Post: To develop, coordinate and maintain a broad and well supported Student Involvement Activities programme including volunteering, the Duke of Edinburgh Award Scheme and support for all student led and special status societies. Salary: £16,000 currently subject to a job evaluation to be complete before the 1st August 2015 Duties and responsibilities 1.0 Volunteering To develop and coordinate the Union’s diverse volunteering programme reducing barriers to engagement and ensuring it meets the needs of our diverse membership. To effectively manage risk and ensure the Health and Safety of volunteers in each opportunity. To develop and deliver an inspirational training programme for volunteers including induction, skills development and the identification of employability skills. To establish positive relationships and build effective partnerships with key University departments and community groups to identify and develop volunteering opportunities which benefit the diverse membership. June 2015 To work effectively with the communications department to produce appropriate promotion to drive engagement with the programme and to produce press releases as required. To monitor and report on the impact of volunteering producing quality reports to the Student Involvement Manager as required. 2.0 To co-ordinate events and projects as required including submitting proposals to Leadership Team, project and operational plans and ensuring all risk assessments are complete. Duke of Edinburgh Award Scheme To coordinate the Union’s Duke of Edinburgh Award scheme acting as the Union DoE manager, expedition leader and assessor as necessary. To establish and develop positive relationships with the Duke of Edinburgh Award scheme ensuring licence conditions are met and regular development reviews are held. To develop and deliver an inspirational training programme for volunteers including induction, skills development and the identification of employability skills. To drive engagement with the programme across the diverse membership. To work in partnership with the communications department and key University departments to promote the Duke of Edinburgh Scheme programme on open days, the portal and other student communication channels. To monitor and report on the impact of the Duke of Edinburgh Award Scheme producing quality reports to the Student Involvement Manager as required. 3.0 Societies To coordinate the creation and development of societies which enhance the student experience and actively work to reduce barriers to engagement. To develop and deliver engaging training to support committee members to effectively lead societies. To actively support student societies with the management of their budgets and ensuring adherence to financial procedures. To work with the VP Engagement and Employability to coordinate the Societies Development Fund application and approval system. To encourage student participation and involvement in national events and awards, working with University departments where applicable to monitor the success of society national competitions. To support special status societies such as Radio Sonar, Sonar TV, RAG and LGBT+ providing staff leadership in the absence of an elected committee. June 2015 To develop and implement appropriate democratic systems and processes across all societies. To support the committee members of all media societies to ensure high quality production, compliance with Union and University policy and full legal compliance across all media output. To monitor and report on the impact of volunteering producing quality reports to the Student Involvement Manager as required. To complete risk assessments for all society activities, events and opportunities and ensuring the Health and Safety of all student society volunteers and members. To encourage and support student fundraising activities through the RAG society. 4.0 Financial management To maintain proper financial controls and ensure that the Finance Department receives all relevant financial information promptly, in accordance with financial procedures. To be accountable for the security of resources across volunteering, societies and the Duke of Edinburgh scheme. To ensure that the Union’s financial resources are used efficiently and that savings are identified where possible and to ensure that best value for money is obtained at all times. To ensure that all student fundraising is conducted according to the Policy, within the Financial Procedures and according to Charity Legislation. To coordinate and support the distribution of charity funds raised at the end of the year to the appropriate charities. 5.0 Customer care To act as the key support staff member to the Vice President Engagement & Employability. To ensure that customers’ expectations are exceeded whenever possible. To assist in the development of students by encouraging a learning and development culture to increase student leadership across all activity areas. To support the development and delivery of appropriate volunteer reward and recognition events. To deal with customer feedback, whether positive or negative, in a courteous, efficient and timely manner. June 2015 6.0 General To comply with all Solent Students’ Union policies, procedures and governing documents. To work within Solent Students’ Unions Mission, Vision and Values at all times. To be responsible for all Health and Safety requirements related to the role. To work proactively to ensure environmental sustainability of all operations. To work in effective collaboration with Student officers and all departments of the Students’ Union To attend all relevant meetings, preparing papers and reports as and when required. To assist in key events throughout the year such as Fresher’s Fair and elections as necessary. To assist with the recruitment and training of staff where appropriate. To carry out all other duties that may be assigned by the Students’ Union To portray a positive image, both internally and externally of the Students’ Union by displaying high standards of service, integrity, punctuality, politeness and professionalism.
