BFA/NWTC Extracurricular Program Guidelines

I.
Description
1. Extracurricular activities are those voluntary social or philanthropic student activities that
fall outside the realm of the normal school/curriculum program.
a. The Principal/NWTC Director/designee, with agreement from the Board, shall
determine what activities shall be offered and what positions shall be filled.
b. The Principal/NWTC Director/designee, with agreement from the Board, may add new
activities and place them on the extracurricular schedule or eliminate activities at their
discretion. Consideration of existing processes will be made. (See Addendum A)
c. Positions covered by this document are one-year appointments and may be terminated
or extended at the end of the school year.
d. Offers for positions will always be contingent upon adequate participation for the
activity, as determined by the Principal/NWTC Director and the Board.
e. Positions covered by this document will be assigned three times a year on or about July
30, October 31, and March 30.
II.
Selection and Work Expectations
1. Selection: Coaches shall apply and are selected according to established school policies
and procedures. All coaches must complete a background investigation and complete
fingerprinting requirements prior to working with students.
2. Work Expectations:
a. Job Description: Coaches are expected to familiarize themselves with the general job
description for “Varsity Coach” and “Assistant, JV, and Freshman Coach.” Updates may
be made from time to time as job duties, essential duties, and responsibilities change. Job
descriptions are included in the “Appendix” section of this document.
b. Performance: The Athletic Director shall monitor performance of athletic coaches and
will prepare and present performance evaluations to varsity coaches. The Athletic
Director, with the help and input from the varsity coach, will evaluate the assistant
coaches at the end of the season. Assistant coaches are also asked to complete a self
evaluation by reviewing the performance appraisal form. Copies of the performance
appraisal for coaching staff and the self evaluation form are included in the “Appendix”

section of this document. Performance for other positions will be evaluated by the
Principal/NWTC Director/designee as appropriate.
c. Just Cause: A person engaged in a position covered by this document shall not be
removed from directing such activity during the school year without just cause.
However, the decision not to reappoint the individual to direct such activity for a
subsequent school year shall be at the Principal/NWTC Director/designee’s discretion,
with agreement from the Board, and not subject to any grievance and arbitration
procedures.
d. Non-appointment: A person who will not be reappointed to direct an extracurricular
activity for a subsequent school year will be notified in person at a meeting with his/her
supervisor and Principal/NWTC Director/designee and in writing no later than May 1 for
fall sports and activities and June 30 for all other sports and activities.
III.
Compensation
1. Compensation: Persons who lead extracurricular activities will receive compensation
according to the schedule contained in this document (below). No leave time, medical,
dental, life, disability or related health insurance benefits are provided.
a. Person coordinating a sports-related position will be paid seasonally at the end of the
assigned sport season.
b. Advancement on the compensation schedule is not automatic, but an increase will not
be denied by the Board arbitrarily or capriciously.
c. Payment for work will be issued through the normal payroll process, and usual and
customary federal and state withholdings will be made.
d. Increase to Wage Schedule: The Board shall review the schedule annually and in
determining increases, the Board shall consider budget and economic forecasts from
NEEP (New England Economic Partnership).
e. At the end of three years from the date of this initial document (FY’15), either the
Board or Association may notify either party of the need to review the wage schedule
before October 1. If the need arises to renegotiate, the BFAEA shall serve as an agent
in negotiating. If both parties agree that no review is necessary, then the wage rate shall
continue with NEEP for another three-year cycle.
2. Activity Placement for the Following Year: The Principal/NWTC Director, with input
from key individuals involved with the extracurricular program, and with agreement from
the Board, will place activities in a pay group.

a. Activities may be reassigned annually to different pay groups at the discretion of the
Principal/NWTC Director, with agreement from the Board.
b. Such activity changes (adding, reassigning, or eliminating) may be based on such reasons as,
but not limited to: financial considerations and/or number of participants, existence of feeder
program, benefit to student population, and availability of activity leaders.
3. Placement of Persons in Positions:
a. For initial placement in groups, consideration will be given to years of coaching or
related experience in the particular activity.
b. An assistant coach moving to a head coach position within the same sport shall be
placed on the compensation grid based on years of experience, including years of
experience as an assistant coach in that same sport.

Appendix A
Criteria Used for Adding/Deleting/Reassigning
Extracurricular Programs at BFA/NWTC
Rationale: In order to make the best possible decision in offering activities in the extracurricular
program, the following steps may be taken to inform the Board in its decision to Add, Delete, or
Reassign Activities to Groups. (See Description Section of this document, item 1.b)
Steps:
1. Review participation numbers as one possible indicator for determining the need to adjust
(adding, deleting, or reassigning) activities within the extracurricular program groups.
2. Determine if a viable feeder program exists and will continue to exist to sustain the
program in the future.
3. A complete cost analysis (e.g.: the cost of equipment, supplies, leadership, insurances,
transportation, field/resource upkeep, administrative costs,) is developed and presented to
the Administration in anticipation of projected costs over the next five years.
4. Determine if there are any other special considerations (e.g.: equal access, available personnel).

order to realize individual and team goals. Directs student athletes in athletic training and competitions.
Essential Duties and Responsibilities:
1. Assists in the administrative duties for the Athletic Department
a. Communicates to Assistant (JV and Freshman) Coaches, staff, students, and the greater school
community the Athletic Department’s fundamental philosophy, skills, and techniques to be
instilled.
b. Schedules conferences, clinics, and staff meetings to insure staff awareness of the overall
program. May assist Athletic Director in planning special sports events and/or transportation.
c. Assists in the preparation of sport events and practices while adhering to staff and facility
availability. Coordinates scheduling with maintenance and other school staff.
d. Trains and informs staff, and encourages professional growth by encouraging clinic attendance,
according to local clinic philosophy.
e. Provides documentation to fulfill state and system requirements to include, but not limited to:
health certifications, parental consent, and eligibility.
f. Assists the Athletic Director in the budget preparation function by establishing requirement for
the next season.
g. Recommends policy, method, or procedural changes when needed.
h. Participates in the interview process and makes recommendations for hires.
i. Supervises and evaluates Assistant Coaches; analyzes staff effectiveness.
2. Is accountable for all equipment and the safeguarding of school property.
a. Provides proper safeguards for the maintenance and protection of equipment and storage sites.
Monitors equipment rooms and coaches’ offices, authorizing those who may enter, issue, or
requisition equipment.
b. Collects the cost of any equipment damaged, lost, or not returned.
c. Arranges for issuing, storing, and reconditioning equipment.
d. Properly marks and identifies all equipment before issuing or storing.
e. Maintains annual inventory and current records of equipment.
f. Ensures the proper cleanliness and maintenance of equipment.
g. Recommends sanitation and equipment guidelines (type, style, color, or technical
specifications.)
h. Instills in each player a respect for equipment and school property, its care, and proper use.
i. Examines locker rooms before and after practices and games. Checks the general cleanliness of
the facility.
j. Secures all doors, lights, windows, and locks before leaving the school building/grounds.
3. Responsible for the activities of assigned athletes while engaged in assigned sport:

to the news media. Ensures quality, effectiveness, and validity of any oral or written release to
the media.
b. Maintaining an effective, positive relationship with Booster’s Club, parents, officials,
volunteers, fans, and the greater school community.
c. Promoting the sport in and out of the school through media, youth programs, or other
appropriate means.
5. Keeps current on the technical aspects of various team sports, as well as sport trends,
developments, and research.
6. May perform other duties as assigned.
Supervisory Responsibilities: The ability to work in a collaborative team environment is essential to
the employee's successful job performance. Demonstrated ability and skill in leadership, mentoring,
and good sportsmanship are required. Assists the Athletic Director/Principal in the supervision of
High School and Middle School Coaches, Assistant Coaches, and volunteers.
