Office and Transportation Manager
A. GENERAL DESCRIPTION:
This position provides overall administrative support for the Student Bridges agency. Specifically,
the position works closely with the Undergraduate Program Coordinator (UPC), Graduate Program
Coordinator (GPC), Accountant, and/or Faculty Advisor to maintain the office and van, develop and
organize staff office hours, support day-to-day management of Student Bridges purchasing and paperwork,
support logistics for Student Bridges operations, events and projects, and devise systems to support
program organization and sustainability.
This position provides an opportunity to refine skills in the areas of: programmatic administration
and management; group dynamics and team mentoring; effective cross-cultural communication and
collaboration; public relations; and project administration.
5–10 hours/week during the school year with additional hours to be approved by Core Staff
B. REQUIRED DUTIES:
1. Has primary responsibility for development and management of the agency’s administrative systems,
for example:
 Develop and organize staff office hours and creates staff business cards and accountability logs.
Holds agency staff accountable to staff hours, filling out SAITS and accountability logs.
 Works with the Undergraduate Coordinator to maintain a master Student Bridges calendar.
 Maintains policies and standards for office functionality and cleanliness, including checking and
forwarding messages from the office email and voicemail.
 Coordinates all office technology (phone lines, voicemail, list-serves, intern, computers, printer,
fax, etc) and materials (paper, pens, etc.).
 Chairs the Public Relations committee with the Public Relations Coordinator, Web Manager,
Development and Evaluation Consultant and any other interested staff.
 Assists with data entry and maintains agency databases and list-serves in collaboration with
Development and Evaluation Consultant.
 Attends weekly staff meetings and holds frequent, routine office hours.
2. Coordinates Student Bridges transportation, specifically any scheduling and paperwork related to the
van and personal mileage reimbursement, for example:
 Responds promptly to transportation-related queries and communications.
 Regularly provides fluid checks and maintenance. Fuels vehicle, as needed.
 Schedules and brings vehicle(s) to maintenance appointments and/or the dealership, as necessary.
 Maintains regular vehicle cleaning schedule.
 Ensuring that all drivers complete necessary paperwork and sign all necessary agreements.
 Collects/organizes staff and interns emergency forms to store in van(s).
 Creates and maintains a Van Emergency Kit.
3. Supports the organization of office finances:
 Works with the Accountant to maintain a system to document expenditures.
 Works with the Accountant, UPC, GPC, and staff to create the organization’s yearly budget.
