Introduction 1.1 The Chair welcomed the External Examiner and the Dean [or Dean’s representative] to the Examination Board for [First/Second/Third/Final Year] students on the Programme of [Title]. 2. Minutes of the meeting held on [date of previous meeting] and Matters Arising 2.1 The minutes were circulated to the members of the Board and were agreed as a correct record. 2.2 There were no matters arising. OR The following matters arising from the Minutes were reported: (i) Item XXX. 3. Comments from the External Examiner 3.1 General comments. The External Examiner commented in general on the quality of the examination papers provided/compared with the previous year etc [INCLUDE ALL RELEVANT COMMENTS]. 3.2 Comments on individual module papers. [INCLUDE ANY RELEVANT COMMENTS] 4. Reports from Course Co-ordinators and Programme Delivery 4.1 The Chair asked each Course Co-ordinator to report to the Board on any course which had not run according to plan [LIST EACH COURSE REPORTED]. It was noted that where the deviation of marks was greater than the standard deviation for the population average, an adjustment would need to be considered by the Board [LIST ANY COURSE IN WHICH THIS OCCURRED]. 4.2 The Programme Director confirmed that there was no deviation from the stated objectives and delivery of the Programme which were held to be satisfactory and as scheduled, and as stated in the published Programme Handbook [OR LIST ANY DEVIATIONS]. 5. Confirmation of Marks/Grades 5.1 The Chair confirmed that the examiners were responsible for the accuracy of the marks/grades presented to the Examination Board via the Broadsheet. Their accuracy was verified with each examiner by the Chair and the marks/grades were therefore confirmed as being correct. 6. Assessment, Progression and Classification of Candidates 6.1 The Chair confirmed that scripts and projects had been first- and second-marked and that the External Examiner had undertaken a check for consistency. The External Examiner had also reviewed coursework, scripts and projects/dissertations, and interviewed [XXX NUMBER] of the [XXX] candidates, including all borderline cases. 6.2 The Chair confirmed the progression rules AND/OR guidelines for the award of degrees: First Class Honours degree = 70%+ Second Class Upper Division (2.1) Honours degree = 60%+ Second Class Lower Division (2.2) Honours degree = 50%+ 3rd Class Honours degree = 40%+ [INSERT PROGRESSION RULES, include eg use of E grades, Board’s discretionary credits, number of credits required, core courses, courses requiring minimum of Grade D, composition of average from 3rd/4th years etc…, CHANGE AS RELEVANT]. 6.3 The University operates a Common Assessment and Progression System (CAPS) whereby Grades in the range of A-F are assigned and the University awards credit points in accordance with the Scottish Credit and Qualifications Framework (SCQF) and the European Credit and Transfer System (ECTS). 6.4 Consideration of each candidate was undertaken. Notes on discussion of individual candidates were recorded, including consideration of extenuating circumstances and medical issues, and have been retained by the School in a separate Confidential Appendix to these Minutes. 6.5 Decisions on progress/award, Grades and Resits required were duly made and recorded in Code form on the Examination Broadsheet which must be returned to the Academic Registry in accordance with the ‘Exam Procedures Guidelines’ document. Decisions will be recorded by the School in the student database and students will be informed via Results Letters/Transcripts. 7 Prizes 7.1 A suitable recipient for the Watt Club Medal was identified. This has been recorded on the Examination Broadsheet and will be returned to the Academic Registry on the Prizes and Medals Proforma. 7.2 Suitable recipients for [XXX – ALL OTHER PRIZES AWARDED] were identified. These have been recorded on the Examination Broadsheet and will be returned to the Academic Registry on the Prizes and Medals Proforma. 8 Final observations from the External Examiner 8.1 The External Examiner commented on the professionalism of staff involved in the programme. From the interviews conducted with students, the External Examiner noted their concerns that ….[INCLUDE ALL RELEVANT COMMENTS]. 9 Observations by the Dean [or his/her representative] 9.1 The Dean noted that the decisions made by the Board of Examiners were fair and that the School had demonstrated due care in consideration of candidates. [INCLUDE ANY RELEVANT COMMENTS] 10 Any Other Business 10.1 The Chair thanked the External Examiner, the Programme Director and members of the Board of Examiners for their commitment to the programme and for attending the meeting of the Board. 10.2 It was confirmed that the next meeting would be held on [if possible!]… 10.3 There being no further business, the meeting was closed. These approved minutes record the decisions the Board of Examiners has made at its meeting on XXX. However, individual decisions may be subject to amendment after the meeting of the Board of Examiners, in the light of further review.
