JOB DESCRIPTION Job Title: Collaboration Officer (Governance & Educational Quality) Department: London Office of LKCMedicine, School of Medicine Faculty: Faculty of Medicine Job Family/Level: Professional Services, Level 3b Salary: £33,590 – £41,540 per annum Responsible to: Deputy Faculty Education Officer (DFEO) Line Management: Project Management Assistant Key Working Relationships (Internal): DFEO; Curriculum Development Lead; Project Officer (Curriculum); Faculty Singapore Board; Registry; Quality & Educational Development Manager; and the Faculty Education Office Key Working Relationships (External): Vice Dean (Education); Vice Dean (Administration); Director (Academic Support); and all relevant colleagues at LKCMedicine, Singapore Contract: Full-time, fixed-term for two years Location: South Kensington Campus Purpose of the Post The Lee Kong Chian School of Medicine in Singapore, a collaboration between Imperial College London (Imperial) and Nanyang Technological University (NTU), opened in August 2013 and offers a 5-year undergraduate medical degree programme, which will be jointly conferred by Imperial and NTU. You will play a key role in the busy, vibrant team that is responsible for delivering Imperial’s collaboration obligations, with specific responsibility for supporting the management and development of the areas of joint academic governance and regulation and the quality management of the award. You will also provide support to the DFEO in the overall management of the collaboration. Key Responsibilities The main duties of the post will include: Liaison Work with colleagues at Imperial and at LKCMedicine to ensure the relevant policies and procedures at LKCMedicine comply with Imperial and relevant NTU regulations at all times 1 Liaise regularly with the Quality and Educational Development Manager to remain conversant of Imperial and sector quality assurance (QA) and enhancement issues that could affect the collaboration and communicate these to appropriate colleagues at LKCMedicine Liaise with colleagues at LKCMedicine to ensure that the collaboration’s quality management requirements are understood, implemented and achieved Liaise with the Quality and Educational Development Manager, where required, to ensure matters relating to LKCMedicine are appropriately represented at Imperial committees, particularly the Quality Assurance and Enhancement Committee, the Medical Studies Committee and the Imperial Senate Maintain a working knowledge of the activities and operations of both the London and Singapore medical schools in order to be able to identify and facilitate the sharing of good practice Build and maintain excellent working relationships with colleagues at LKCMedicine and stakeholders across Imperial in order to be able to fulfil the objectives of the role Analysis, Reporting & Documentation Identify the implications of any regulatory changes on the collaboration, and research, collate, organise and edit material for inclusion in a variety of committee papers, reports, policies and related documentation, to ensure compliance with the relevant Imperial and NTU regulations Ensure this is undertaken in association with the appropriate colleagues in both London and Singapore and follows the correct review and approval route in Imperial and at NTU Be responsible for the co-ordination, research, collation, organising and editing of material for quality assurance and reporting purposes at Imperial (e.g. annual monitoring report, student data) Service and business-manage the Faculty Singapore Board including producing the agenda, writing and contributing to papers, producing the minutes of the meeting, and following up actions as required Be responsible for the management (record keeping and version control) of all noncurriculum documentation relating to the project Customer Service Resolve issues/problems/queries independently and provide advice on policy/QA matters to ensure that efficient, day-to-day customer service is delivered to colleagues both in the UK and in Singapore Recommend alternative sources of information/courses of action where appropriate, exercising judgement in referring issues/problems to the DFEO to enable the collaboration to run on a ‘management by exception’ basis Contribute to and monitor service objectives and standards to ensure collaboration deliverables are completed on time and to a sufficient standard Provide additional support and expertise to the Quality Team in order to support activities at busy times (e.g. General Medical Council visit) or for knowledge transfer from collaboration activity to the London School Provide administrative support to the DFEO where required. Finance/Resource Management Provide input into resource planning where required by the DFEO 2 Management Supervise the Project Management Assistant, allocating and prioritising their work and monitoring individual progress and performance in line with this Manage events, as directed by the DFEO, liaising with the College Communications Department as appropriate Manage QA reviews relating to the collaboration as required Supervise the Project Management Assistant as required in the organisation of programmes for incoming delegations from Singapore Occasionally supervise the work of other collaboration support staff, allocating and prioritising their work as required, drawing exceptions to the relevant manager Continuous Improvement Maintain a thorough understanding of the College regulations, particularly those relating to collaborative arrangements Maintain a working knowledge of the QAA Quality Code (particularly B10 ‘Managing higher education provision with others’) and the QAA and Higher Education International Unit’s work around strengthening the quality of UK transnational education, keeping abreast of changes that may affect the collaboration Other Duties Contribute fully to the Faculty Education Office, undertaking team-related tasks and responsibilities as appropriate, and supporting other teams as required Undertake other duties appropriate to the grade as required by the Faculty Education Officer Be willing to travel, on occasion where requested, to Singapore To observe and comply with all College policies and regulations, including the key policies and procedures on Confidentiality, Conflict of Interest, Data Protection, Equal Opportunities, Financial Regulations, Health and Safety, Imperial Expectations (for new leaders, managers and supervisors), Information Technology, Private Engagements and Register of Interests, and Smoking.
