curl Consortium of University Research Libraries Research Libraries of the British Isles in co-operation Survey of Outstanding Material for Retrospective Conversion and Retrospective Cataloguing in CURL Libraries 1. Purpose and nature of the survey Following RSLP, CURL Members were asked to take stock and look again at what remains to be done in their institutions in terms of retrospective conversion (i.e. automation of manual catalogues) and retrospective cataloguing (i.e. electronic cataloguing of un-catalogued material) after July 03. The date of July 03 was chosen on the grounds that some CURL libraries would be using some of their 2002-03 RSLP Access money for this work. The purpose of the survey is to identify the extent and nature of the outstanding material across the Consortium with a view to exploring the possibility of seeking further funding collaboratively, in particular, in co-operation with Full Disclosure. Members were asked to provide the following information: Number of items Subject areas and name of collections, if relevant Date range Languages Format Importance of the material for research Members were asked not to include archival collections, as this is an area that is being handled by the Archives Hub. 2. Methodology and broad trends Most of CURL’s 25 full members and CURL’s partner, SAS, have responded to the call for information from the CURL Secretariat and most of them have provided very detailed information. Under the subjects and sub-subjects headings, the collections are organised per institutions, e.g.: Science & Technology Medicine Aberdeen Birmingham Bristol etc. Note that abbreviations have been used to refer to institutions, e.g. University of Warwick is referred to as Warwick. The Institutions’ full names can be found in Appendix A of this document. Details of all the material can be found in section 3 of the document. Here is a summary of the main results and broad trends. Most of it – ca. 1,000,000 items – is sheet music. The figure for maps needs to be examined with some degree of caution, as some maps are catalogued at series or set level rather than individually, with the result that one single bibliographic record can describe several hundreds or even thousands of items. For example, the Bodleian Library estimates its number of maps at 1,150,000 – this is the figure used in the above table – but anticipates that the number of records to be created is likely to be around 200,000. 2 curl Consortium of University Research Libraries Research Libraries of the British Isles in co-operation Priority in terms of research Institutions were asked to describe the significance of the material for researchers using the terms High, Medium or Low. There was no consortial discussion aimed at defining these terms more precisely. However, it might be of some interest to note that some institutions modified their decisions after seeing the first draft of the document, which might indicate that some degree of spontaneous cross-institutional comparison took place. It is worth noting, however, that Science and Technology has the highest percentage of low priority material of the three. Area / Local Studies show the highest high priority figure – just below 60%. The high priority figure for the miscellaneous category is also high – an indication, perhaps, that the term is used when the collection is difficult to categorise, which does not mean that it is deemed of small importance to researchers. In the unidentified priority column, the most striking figure refers to crossdisciplinary collections - just below 72%. It could perhaps be deduced from this very high figure that some of these collections might need to be examined further before it can be decided whether or not researchers and other users would really benefit from their being electronically catalogued. The second highest figure for unidentified priority is the Maps one at 54%. In the case of Music, 61.54% of the high priority material is at the Bodleian. 3 curl Consortium of University Research Libraries Research Libraries of the British Isles in co-operation On a more general note, it is important to bear in mind that, while these figures are useful in identifying priorities for the CURL community, cross-sector and crossdomain projects might require a rather different approach to prioritising. Retrospective conversion versus retrospective cataloguing The Members were asked to distinguish between retrospective conversion and retrospective cataloguing on the grounds that the latter is sometimes thought to be more time-consuming and therefore more costly than the former. For clarity’s sake, this is the way both activities were defined: Retrospective conversion means automation of manual catalogues, i.e. the material is already described in, say, a card catalogue or a hand list. Retrospective cataloguing means that the material has to be catalogued from scratch. Some libraries also expressed the wish to have electronic records in need of upgrading included in the figures. However there might be libraries which have not included their material in need of upgrading in their replies for the very good reason that they were not asked to do so in the first place. It is important to note that this request has often triggered off an informal debate about whether conversion and upgrading are really less time-consuming and therefore less costly than cataloguing. There seems to be a strong feeling amongst the community that conversion and upgrading are as time-consuming as cataloguing – if not more – because of the usually poor quality of the records available. It is often the case that cataloguers retrocon or upgrade with items in hand because the existing records are so below standard.
