TOUR ADMINISTRATOR Job Description – KIDS from Wisconsin The Kids from Wisconsin is a non-profit, self-supporting organization sponsored by InPro Corporation and the Wisconsin State Fair. Founded in 1969, the KIDS musical revue is presented at up to 65 shows every summer across Wisconsin, the Midwest, and the continent. The KIDS are featured daily at the Wisconsin State Fair, and have earned a national reputation as a unique and highly professional performing group. Made up of 33 performers age 15-20 (singers, dancers, and instrumentalists), the KIDS affords young people an unforgettable musical experience as entertainers and ambassadors for Wisconsin. Beginning with a 17 day Show Camp in early June, the KIDS tour for 9-10 weeks during the summer, ending their season no later than the end of August. ********************************************************** The Tour Administrator for the Kids from Wisconsin is a contract position, running for approximately 12 weeks in the summer, serving at the direction of the Producer. The Tour Administrator is one of 5 touring staff positions. This role is the on-the-ground face of the organization and one of the most important aspects of our youth’s experience and our hosting organizations events. Specifically, your job will be: Executing travel itinerary and making the performance and travel experience come alive for the troupe Managing logistics and safety Along with the tour staff, help to give the troupe a once in a lifetime experience and a great performance for our hosts Tour Administrator represents the Kids from Wisconsin with hosts, parents and students while on tour in destinations throughout Wisconsin. Over the course of the tour season, you’ll build rapport and develop relationships with the troupe, their families as well as our hosting organizations. You will ensure that the group moves safely and efficiently among the locations on its itinerary, keep the group informed and engaged in their surroundings, and find ways to enhance the experience and delight our hosting organizations. A successful Tour Administrator Makes (sound) decisions along with the Tour Director Solves problems creatively with the needs of the group in mind Is confident, and enthusiastic Leads and persuades others in a constructive way Responsibilities include: Attend any staff and/or tour staff meetings Partner with Tour Staff, Group Leaders, Drivers, Parents and others to coordinate an enjoyable and rewarding experience Along with the Tour Director, assume primary responsibility for the troupe’s day-to-day safety and well-being. Follow KIDS policy, regulations and safety procedures Execute the pre-established travel itinerary and make changes as necessary Provide commentary and guidance to young adults ages 15-20 Offer advice on food, shopping, and tourism options during free time Travel and stay in dorms with the group throughout the season Maintain daily expense control, retain receipts, and meet trip budgets Along with the tour director, send trip debrief reports and show reports in a timely fashion Provide artistic leadership and critique, as appropriate, in area of expertise (instrumental, vocal, dance) OPTIONAL When needed, provide administrative and clerical work during non-performing days This position will be considered a full-time position during the rehearsal camp and throughout the tour. During camp, the Tour Administrator assists with a wide variety of tasks to help facilitate the operation of the camp and planning for the tour. He/she reports directly to the Producer, but will also work closely with both the Executive Director and Tour Director. The Tour Administrator works in cooperation with the other touring staff to help supervise the members of the KIDS on tour and assist with the many details of a touring ensemble. Office and organizational skills are required. Review, assessment, and contract renewal will come from the Producer. The Tour Administrator position will begin approximately 1 week before the opening of the KIDS Show Camp and continues till the end of August (June 1 – August 24, 2016). Every effort is made to give one day off per week once tour begins. Generally Monday is an off day, with the exception of rehearsal camp and the 11 days of the Wisconsin State Fair. Qualifications: Bachelors degree or a combination of education and work experience.
