Dataset Auditors CEIRC members subscribe through CAUL to a number of packages that are effectively sub-sets of the publisher's full collection, for example: o The CAUL Springer package does not include the Russian collection or the Chinese collection, but it does include all other titles added during the term of the agreement. o The CAUL Blackwell collections are a specific subset that does not change during the course of an agreement. ERMs suppliers are prepared to list the "CAUL collections" separately if these can be described. Many CEIRC members are customising these lists already. CEIRC would like to take advantage of that work, and would endeavour to share the workload among volunteer members with agreed remuneration, to ensure that the "CAUL collection" data is always up to date. CEIRC invites expressions of interest from institutions able to assist the CAUL Office and consortium members with defined datasets management tasks. Costs will be reimbursed on an agreed formula. After assessing responses a decision will be made on the extent to which the work might be divided and distributed. Required outcome: Authorized lists of titles available in e-journal (or e-book packages) offered through the CAUL Consortium. The lists will contain universally required bibliographic data compiled in a format that can be used by member libraries and third parties to describe the available resources and to confirm access to full text. Tasks: 1. Identify CAUL packages that are subscribed to by more than 10 members and where the CAUL package contains more than 50 titles and consists of a special CAUL selection from the publisher’s complete portfolio or collection. This will require a review of the CAUL offer and publisher documentation for about 60 packages. 2. Identify the universally required bibliographic data elements and determine the most acceptable format and data values for member libraries and third parties. This will require circulation of an Excel spreadsheet template (based on the table below) to relevant parties inviting comment, acceptance or critique. Contact publishers/providers concerned to obtain the data necessary to populate the spreadsheet. Follow up as necessary. 4. Audit the data supplied to confirm that it complies with the contract or subscription offer. Audit access to ensure the list conforms to actual conditions. Liaise with publishers/providers to resolve any discrepancies. 5. Arrange for the “authorized lists” to be made available from the CAUL website and for interested parties to be advised that these are now available for download. 6. Maintain and make available to members a checklist of packages identified that reports on progress and the date when the list of each package was completed.
