SUMMARY OF THE BROAD PURPOSE OF THE POSITION and its responsibilities/duties The Radiology Receptionist is responsible to provide an efficient and professional frontline and telephone reception service for the Radiology Department in accordance with administrative policies and procedures. The incumbent will be the first point of contact for patients and will be required to provide a friendly and professional communication link for the department with other departments, patients and external organisations. 3. REPORTING/WORKING RELATIONSHIPS (to whom the person reports, staff for whom the person is responsible, and other significant connections and working relationships within the organisation) Accountable to the Manager of Radiology Responsible to the Administrative Manager The Receptionist liaises with radiography, medical and nursing staff, and with other departments within and external to the hospital. 4. STATEMENT OF KEY OUTCOMES AND ASSOCIATED ACTIVITIES (group in to major areas of responsibility / activity and list in descending order of importance). Responsible for the provision of an efficient and professional reception service for the Radiology Department by: Participating in a rostering system to encompass the main department’s frontline and phone reception service, and the radiology outpatient reception service. Providing a friendly and professional communication link for the department with other departments, wards, institutions and with patients and visitors, using a good understanding of departmental work practices and procedures. Ensuring that booking protocols are followed and patients are informed of appropriate preparation information when booking radiology appointments, for inpatients and outpatients, using the Radiology Management System. Using experience and knowledge of protocols to determine when bookings require liaison with Radiographers, Radiologists and nursing staff in instances that they do not meet standard protocol. Using judgement to prioritise tasks and liaise with other reception team members in managing workload as part of the reception team. Ensuring that the Hospitals Patient Management System and Radiology Management System are maintained and updated accurately in accordance with the RGH Patient Information Privacy Policy. Ensuring that relevant details are checked and recorded in accordance with the SA Client Identification Data Standards, and that the correct preparation has been followed when arriving patient’s bookings. Scanning examination request forms into the PACS (Picture Archive Communication System). Applying departmental billing practices and procedures to generate invoices, receive and receipt payments for privately referred outpatients and explain departmental billing processes to patients. Arranging admissions for radiology procedures using the Hospitals Patient Management System and arranging patient transport for entitled veterans and community patients where applicable. Liaising with orderlies to arrange transport for inpatients and outpatients within the hospital. Providing feedback to the Administrative Manager, Billing Officer and the Radiology Manager to ensure continuous quality improvement and the efficient management of the department. Responsible to relieve in other positions within the administrative team by; Providing cover for typing during times of leave. Experience working in a Radiology department, including knowledge of procedures and relevant preparations. Demonstrated experience in medical audio typing and a good knowledge of Medical terminology. Knowledge An understanding of relevant legislation and regulations ie Radiation Protection Act, Freedom of Information Act, State Records Act, Privacy Act and Medicare Billing regulations.
