Leadership Position Descriptions
Applications due:
1.
Overview: This document is a description of the leadership roles in the EAC Network and
their corresponding responsibilities. The EAC Network Co-Directors are first listed to provide
an orientation to the main organizational structure of the network. Each of the Co-Directors is
responsible for managing the student leaders of specific clinical services, infrastructure
services, or other specialty services. The student leadership positions are listed here under
main heading of the Co-Director that they will work with. Please send all questions to

2.
Co-Directors: The Co-Directors are responsible for carrying out the mission and vision of EAC.
They collectively responsible for evaluating the EAC mission and vision annually and evaluating
the leadership structure necessary that is necessary for this purpose. The Co-Directors will
oversee selection of all other clinic officers. In addition, the Co-Directors will meet regularly to
establish and evaluate the current EAC projects. Note that one of the Co-Directors or Treasurers
must attend the monthly Medical College Council (MCC) meeting.
a.
4th Avenue Clinic Director (1): The 4th Avenue Clinic Director will provide oversight for
the 4th Avenue Operations Coordinators. This Director will be responsible for
implementing new initiatives at the 4th Avenue clinical site and will serve as the liaison
between the 4th Avenue clinical site and other EAC Directors.
b.
Gainesville Community Ministry (GCM) Clinic Director (1): The GCM Clinic Director
will provide oversight for the 4th Avenue Operations Coordinators. This Director will be
responsible for implementing new initiatives at the 4th Avenue clinical site and will serve
as the liaison between the 4th Avenue clinical site and other EAC Directors.
c.
Mobile Clinic Director (1): The Mobile Clinic Director will provide oversight for the 4th
Avenue Operations Coordinators. This Director will be responsible for implementing
new initiatives at the 4th Avenue clinical site and will serve as the liaison between the 4th
Avenue clinical site and other EAC Directors.
d.
Community Outreach and Pediatrics Director (1) – The Community Outreach and
Pediatrics Director will provide oversight for all EAC outreach projects and pediatrics
projects. She is responsible for collaborating with outside community organizations in
an effort to have strong ties to the community and our patients. In addition, she will
oversee the EAC Jr. pediatrics project.

Infrastructure Director (1) – The Infrastructure Director will oversee all officers
involved in permanent infrastructure as listed below.

Specialty Services Director (1) – The Specialty Services Director will oversee all the
Specialty Services Coordinators and assist them in their efforts to establish and maintain
services offered by EAC. The services that fall under this directorship are listed below.
He will be responsible along with the Clinic Operations Coordinators for integrating
specialty services among general medical clinic operations.
g.
Mental Health Services Director (1) –The Mental Health Director will organize all
mental health services for the EAC. He is responsible for maintaining or improving the
mental health screening, referral and treatment options at EAC clinics. In addition, he
will work with the Free Therapy Night Coordinator to provide therapy services to our
patients.
h.
New Projects and Research Director (1) – The New Projects and Research Director will
oversee student leaders that are developing new projects and services that are not well
established. In addition, he will oversee the quality improvement initiatives and
research projects and be a liaison between the Research and Quality Improvement
Coordinator to establish necessary and practical methods for evaluating clinic
programs.
Positions Managed by - 4th Avenue Clinic Director
a. 4th Avenue Clinic Senior Operations Coordinator (1): The Senior Operations
Coordinator of each clinical site will oversee integration of all activities required for
clinic operations (HIV, Faculty Volunteer, PA Student Volunteer, Pre-medical Student
Volunteer, Pharmacy, etc). They will manage the clinical site Operations Coordinators
and together manage the clinic during operating hours. They will be responsible for
reviewing the clinic operations manual and training the other Operations Coordinators.
b.
4th Avenue Clinic Operations Coordinator (5): The Operations Coordinators will be
concerned with the specifics of nightly operations and will assist the Senior Operations
Coordinator in the establishment and reinforcement of these protocols to assure
efficient, high quality care. One of the Operations Coordinators will serve as medical
student volunteer coordinator for each clinical site. In addition, one of the Operations
Coordinators will work as the Mental Health Services Operations Coordinator as
described under that heading below.
c.
HIV Testing Coordinator (1); one premedical student chosen by premed Directors:
The HIV Testing Coordinator will organize HIV screening and counseling for the EAC.
This leader must be certified as an HIV counselor by the health department. She will
transport samples and results to and from the Health Department, respectively, as well

as maintain the clinic’s stock of testing supplies. In addition, she will coordinate with
the Alachua County and State Health Departments to set up HIV counselor training for
interested medical and premedical volunteers at a minimum of once yearly.

Positions Managed by - Community Outreach Director and Pediatrics Director
a. Community Outreach Coordinator (1): The Community Outreach Coordinator is
responsible for interfacing with community organizations on behalf of EAC. In addition,
he will plan community outreach events to promote EAC services. He will also promote
EAC sponsored events, such as the annual EAC 5K Run.

b. Pediatrics Operations Coordinator (1): The Pediatrics Operations Coordinator is
responsible for planning and executing all pediatric events hosted by EAC, such as and
not limited to, health fairs and community outreach that promote healthy lifestyles for
children in the community. EAC Jr. is a new addition to EAC, and the position includes
helping to develop new ideas and projects to strengthen the EAC Jr program.

Positions Managed by - Infrastructure Director
a. Treasurer (2): The treasurer will maintain a balance sheet of assets and debts of the
Equal Access Clinic which will be presented regularly to the Infrastructure Diretor. This
currently includes the management of funds allocated through MCC, one UF Foundation
account, C.H.O.I.C.E.S funds, AHEC funds, and any current extramural grants. The
Treasurer must verify that all debts are paid on time (labs, pharmacy, etc.). The
Treasurer must formulate a yearly budget each fall semester. Additionally, a sub-budget
for small projects and travel must be submitted on time to the Medical College Council
near the end of each fall semester. This sub-budget determines the funds allocated to
clinic by Student government for the next academic year and is therefore essential. The
Treasurer or an appointed clinic representative proxy must attend each monthly MCC
meeting. They will also be responsible for placing orders for supplies as determined by
the Clinic Operations Co-Coordinators.
b. Information Technology Officer (IT) (1): The IT Officer is responsible for maintaining
the EAC website, huddle account, listserv, and google voice account. He will be
responsible for regularly checking the EAC voicemail and routing messages to the
appropriate individual.
c.
Pre-medical Student Volunteer Coordinator (1): The Pre-medical Student Volunteer
Coordinator will be a liaison between the pre-medical student run, Equal Access Support
Committee, as well as other undergraduate volunteers and the student directors of
EAC. He will be responsible for planning training sessions each semester for the premedical student volunteers. These training sessions will be coordinated with the Senior
Operations Coordinator and will cover subjects such as, taking vital signs, BG testing,
basic communication skills, and general clinic procedures. He will also be responsible
for communicating with undergraduates interested in volunteer opportunities through
EAC.
d.
Faculty Volunteer Coordinator (1): The Faculty Volunteer Coordinator is responsible
for recruiting weekly attending physician volunteers for each of the clinical sites as
requested by the Senior Operations Coordinators. He will also send reminders of their
commitment prior to clinic each week. He will correspond with the departments of
CHFM and Internal Medicine residency directors in order to maintain the services of
medical residents at clinic each week. It is also important he send our thanks to
physician volunteers on a monthly basis. Additionally, the he should report on

predicted physician attendance (attending and residents) each clinic night before noon
via the EAC listserv. He should maintain and make readily available a list of attending
physician volunteers with contact information should the need arise to find a
replacement attending with short notice.

Physician Assistant Student Volunteer Coordinator (1) ); chosen by PA Volunteer
Coordinator: The PA Student Volunteer Coordinator will be a PA student who recruits
PA student healthcare providers to volunteer at the EAC clinical sites. This student will
communicate with the Senior Operations Coordinator of each clinical site to provide an
appropriate number of volunteers.
Positions Managed by - Specialty Services Director
a. Women’s Health Services Coordinator (1): The Women’s Health Coordinator will
oversee women’s health services for the EAC. This currently includes a specialty
women’s health clinic held on one Thursday every month. She will be responsible for
recruiting physicians to participate, as well as maintaining a system of referring and
scheduling patients for Women’s Clinic. Additionally, the WHC is responsible for
coordinating transport of appropriate test samples to the laboratory when necessary.

Podiatry Services Coordinator (1): The Podiatry Services Coordinator will oversee the
podiatry clinic at the 4th Ave clinical site. They will be responsible for maintaining an
appropriate referral process and method for scheduling patients. He will also be the
liaison between our volunteer Podiatrist and EAC.
Behavioral Medicine Coordinator (2):
Cancer Screening Coordinator (1): This coordinator will oversee the cancer screening
efforts at all three clinics. They will be responsible for collecting orders for screening
exams from each clinic weekly and submitting them to the proper organization offering
the requested examinations. They will keep track of the status of the patient's
examination request. The will follow up with the patient prior to the exam for
scheduling and preparation. After the results are received they will schedule an
appointment for the patient at the clinic they were seen at to discuss the results. This
officer will monitor the proper completion of the screening forms and deliver the
examination results to each clinic for proper documentation in the patient's chart. This
officer will also maintain basic statistics for EAC concerning the number of examinations
completed and outcomes.
e. Pharmacy Coordinator (3); chosen by current Pharmacy Coordinators: The Pharmacy
Coordinators oversee all pharmacy operations at the EAC clinical sites. They will
maintain procedures for utilizing cost effective prescribing practices. This will require
the knowledge of all available resources for attaining medications, including patient

assistance programs. They will be responsible for outlining and administering the
College of Pharmacy Equal Access Clinic curriculum to the pharmacy students enrolled in
the EAC pharmacy clerkship each semester. Students enrolled in this clerkship will assist
medical students, resident physicians, and attending physicians to make appropriate
and affordable choices when administering medications, as well as provide medication
exit counseling to all patients. In addition, the Pharmacy Coordinators will be
responsible for recruiting volunteer Pharmacy faculty to EAC.

Physical Therapy Clinic Director (1); chosen by current PT Director: The Physical
Therapy Clinic Director is a PT student who oversees operations of the EAC PT clinic.
g.
Dental Health Services Coordinator (1); chosen by current Dental Services
Coordinator: The Dental Health Services Coordinators will oversee dental services for
the EAC. This will include dental education at clinical sites as well as an EAC dental
clinic. Ideally, this leader will be a dental student that is responsible for recruiting
dentists and dental students through our established relationship with the UF College of
Dentistry.
Positions Managed by - Mental Health Services Director
a.
Free Therapy Night (FTN) Coordinator (1): The FTN Coordinator will oversee
operations of the Free Therapy Clinic. This will include scheduling patients for
appointments and volunteer therapists.
b.
Mental Health Services Operations Coordinator: Note that this position is a
designation that applies only to one of the Operations Coordinators from each clinic site
(4th Ave, GCM, Mobile). The responsibility will be determined by the Senior Operations
Coordinator and Co-Director for each clinical site in coordination with the Mental Health
Services Director.
10. Positions Managed by - New Projects and Research Director
a.
Research and Quality Improvement Coordinator (1): The Research and Quality
Improvement Coordinator will be responsible for managing students involve in ongoing
research and quality improvement projects. In addition, he will plan and evaluate new
projects on an ongoing basis with the goal of establishing a system of practical and
necessary data collection to evaluate EAC programs.
b.
Electronic Health Records Coordinator (1): This officer will be responsible for
maintenance of the clinic EHR as directed by the New Projects and Research Director.
Initially, he will work with the New Projects Director until EHR is implemented at each of
the clinical sites. Once established, this position will be overseen by the Infrastructure
Director during subsequent years.
