Leeds University Union
Leeds University Union offers you three unique and versatile venues with a dedicated and
professional Technical Crew to help you achieve the most out of your event. All of our
venues come with box office and venue support, trained SIA licensed security and a large
variety of sound and lighting equipment to help make the most out of your event.
We are also home to the famous Refectory, a 2100 capacity space which has allowed us
to accommodate artists such as The Who, Led Zeppelin, Muse, Arctic Monkeys and many
more.
Combining all of these versatile venues grants us the ability to put on festivals over the
whole of the Leeds University Union site to accommodate up to 5500 people. Some of the
festivals we are proud to host are Slam Dunk, Live at Leeds, Ghostfest and Damnation
Festival and the Leeds University Union Summer Ball.
We also offer for your event to be sold through Leedstickets.com and your event will be
sent out to our over 80,000 strong mailing list subscribers, as well as being promoted by our
in house flyer and promotions team.
Our Venues
Stylus
Stylus is the largest venue space we offer and it is the most impressive with a capacity of
1000, large stage with dressing room access, a recently installed L Acoustics KARA PA
System which is the first of its kind in the country and projection mapping and video
creation to suit style and budget. Stylus is perfect for live music, club nights, conferences,
and performances.
Due to the size of Stylus, it is only recommended for large events with a guaranteed
income, as the cost of opening the bar is considerable when compared to the smaller
venues such as Mine and Pulse. The hiring of Stylus with a bar is done on a case-by-case
basis, and as such, all enquires must be accompanied by a detailed booking form.
Mine
Mine is an intimate 450 capacity venue that is ideal for live music, private parties/socials,
spoken word events and film screenings. A PA system and lighting comes as a standard
but depending on the type of event and budget additional equipment is available to
accommodate your needs. Mine is the ideal venue for smaller gigs, as much of the
equipment is already installed in the venue.
Mine can also easily be transformed into a giant living room, a theatre or even a
teaching/training space due to its uniquely flexible layout. In the past Mine has become a
full rock venue, a beirkeller then a club venue in three days.
The minimum bar spend to have the bar open during an event in Mine is £125 per hour,
and the bar must be open for over two hours – this can be easily met with around 50
attendees. If the spend is not met, the remainder will be charged after the event.
Pulse
Pulse has a capacity of 350 with built in seating booths and is best suited for social
gatherings, club nights, private parties and comedy performances or as a rehearsal
space. DJ set up, lighting and PA equipment is available upon request.
The minimum bar spend to have the bar open during an event is £75 per hour, which can
very easily be met by around 20 people, with an open time of over two hours; as with
Mine, if the minimum bar spend is not met, the remainder will be charged after the event.
Minimum Bar Spend
The minimum bar spend covers the cost of the following for your event:
 Bar staff
 One security staff (£11.25 per hour per extra security staff needed if requested)
 One technician to operate DJ and lighting equipment
 Standard cleaning costs
Live music events require two technicians working to run the event. You are liable to pay
the wages for the second technician at a cost of £8.04 per hour. Larger or more unusual
events may require a Supervisor to be present (rate per hour TBC). You cannot provide
your own technicians to work our equipment. Any extra time required for rehearsal or
soundchecks with a technician present outside of the hours of your event will incur a
wages fee also.
Events held in Stylus are likely to require two or more technicians present and Supervisor,
and you are liable to pay their wages.

Fruity Pre-Party
We offer a variety of Fruity pre-party packages for you and your group. We can open up
one of our venues privately for you, including all the usual Fruity set-up and drinks deals, so
that you can have a private party/event before rolling straight into Fruity when it opens.
The packages we offer are:

Very popular with LUU’s sports teams; the venue is decorated in full Take Me Out
colours, complete with microphone, hearts and music to make sure love blossoms
(although you have to supply your own contestants); £4.00 p/p, inc. Fruity entry
VIP Reception
Glass of sparkling white wine on arrival, full Fruity set-up and a full bar (including
staff, a technician and security); £4.50 p/p, inc. Fruity entrance
Charity Auction Pre-Party
Full Fruity set-up, but with everything you’d need to auction off whatever you’d like:
a meal cooked by the club captain, the committee to tidy your house, bottle of
champagne – anything you can get. £4.50 p/p, inc. Fruity entrance with £1 to
charity
Charity Fundraising VIP Reception
As with the VIP Reception, however £1 of the £4.50 goes a charity of your choice.
Committee Whisk(e)y Masterclasses
Ideal for new committees; Old Bar’s whisk(e)y Expert brings all things malt down to
Pulse for an all round classy – and informative – affair (suits not necessary, but
always appropriate), before throwing all formality out the window and rolling into
Fruity, with your ties round your head

Committee Cocktail Masterclasses
Ideal for new committees; we offer (in Pulse) a fun and interactive training session
on some of the classic cocktails found in any bar – with a few special LUU ones in
there too – which can then become a full society social before rolling into Fruity!

Terms and Conditions of Hire
1. To ensure that your event can take place you must hand in your event proposal at least
4 weeks beforehand. The booking must be placed via Tom Smith
(t.m.smith@leeds.ac.uk)
2. If it becomes necessary for you to cancel your event, this must be done at least 4
working days before the event was due to take place. Failure to notify us of a
cancellation before these 4 working days may result in you being liable to pay the
maximum exposure charge unless we have agreed to the cancellation.
3. You may not bring your own food and alcohol into the venue unless given written
permission to do so.
4. Any fly-posting for this event must only take place on legal sites approved by Leeds City
Council. Please speak to Tom Smith for more details.
5. You must provide us with fire certificates for any drapes and PAT (portable appliance
testing) certificates for any electrical equipment that you intend to bring into the venue
a minimum of three days before the event. Failure to do this will mean that you will not
be able to use these items in the venue on the basis that they may not be electrically
safe.
6. You will ensure that when bands or artists are performing, Joshua Nash
(J.Nash@leeds.ac.uk) is emailed a channel list and technical specification detailing
instruments and technical requirements for each act no less than 7 days before the
event.
7. All publicity material printed for this event must be designed in line with LUU’s equal
opportunities and corporate social responsibility. Please contact the Activities Exec for
details.
8. Any discarded flyers for your event must be picked up and disposed of by your staff or
volunteers. You can not distribute flyers outside of the union precinct without a Leeds
City Council permit.
9. Any stage acts/activity must be in line with LUU’s equal opportunities policy. If you
intend to have any stage acts/stage activity at your event you must provide LUU with
full details at least 7 days before the event. .
10. The main point of contact for your booking will be Tom Smith in the Venues Department
(t.m.smith@leeds.ac.uk). All aspects of the booking must go through this person.
11. Any décor put up for your event in the venues MUST be taken down at the end of the
event otherwise a proportional cleaning fee for removal of said décor will be charged
to your society. This also applies to any equipment used in the venue, we are not insured
to store your equipment and cannot accept any responsibility for anything stored in the
venues.
12. LUU venues department reserve the right to move your event to another of our venues if
deemed appropriate.
13. LUU venues department reserve the right to cancel your event if it is apparent it has not
been organised or promoted sufficiently to ensure a successful attendance.

form please keep in regular contact to inform us of your plans, and email through any extra
requests you may have. We put on events every day and we are here to help and advise you.
Marketing/Promotion
Flyering
You can hand out flyers outside the Union for your event without our permission. It is illegal to flyer in
Leeds City Centre, Leeds Met, Parkinson Steps and Headingley/Hyde Park without a flyer permit,
and you will be given a very hefty fine if caught doing so.
Posters
It is also illegal to fly poster, anywhere. Please drop some posters off in the office for us to put up
within the union. Many independent shops and takeaways however, will let you put posters up,
particularly if you are a regular customer. If you wish to have your posters displayed on the street
site barrels and flyposting sites across Leeds please ask us and we can put you in contact with the
respective agencies.
Tickets
You can have your event advertised on Leedsuniversityunion.org.uk and www.leedstickets.com for
free. If you would like to do this, please fill out the following information:

Electrical Equipment/Decorations
Any technical equipment brought in to use at the event must have a recent P.A.T. certificate. You
can get equipment PAT tested for free by Building Services please contact them on 0113 380 1289
to make an appointment, letting them know how many pieces of equipment need to be tested.
This does not apply to equipment which is under 12 months old.
Any fabric or decorations must be fire protected, you can buy these pre-treated, or we can sell
you some fire guard which you soak fabrics in, this takes 48 hours to dry. If in doubt please ask and
we will be happy to advice.
