Brief Description of the Position The Treasurer is the chief financial management officer for the Manly Roos Rugby Club. The function of the Treasurer is to manage and maintain the financial resources. The Treasurers role alternates between reporting what has happened to organizations funds (accounting or financial operations) and looking for the most effective ways to use available funds (financial planning and management) 4. Responsible To The Treasurer is responsible to the President, Committee Members and Club Members. 5. Commitment (Length, type, hours per week per month etc) Attend monthly meetings – approx 3 hours Three season commitment Club AGM attendance - approx 3 hours 10 hour mentor role to assist successor at completion of term Orientation session attendance approx 1 hour 2x4 hour sessions for Junior Registration Day 3 hours for Annual Stock take with Gear Steward 6. Location Most of the administrative work can be undertaken at home 7. Key tasks and Responsibilities Ensure adequate accounts and records exist regarding the Club’s financial transactions, including accurate and up-to-date records of income and expenditure Coordinate the preparation of an annual budget and monitor it carefully Issue receipts and promptly deposit all monies received into the Club’s bank account Make all approved payments and invoice groups / members promptly Act as the signatory to the Club’s bank accounts, cheque accounts, investments and loan facilities (if applicable) with at least one other management committee member Author: MRRC 3 Treasurer Position Description Version: 1 Date: November 2009 Page 1 of Manager the Club’s cash flow and be accountable for the Club’s petty cash Prepare and present quarterly financial statements to the committee Prepare annual accounts Lodge annual accounts and report after AGM with the Office of Fair Trading Approve expenditure by club volunteers Liaise with Committee and Merchandise Manager regarding the ordering of merchandise Establish and maintain asset register Facilitate the annual Merchandise stock take Providing advice to the management committee about major financial decisions. Looking at most effective way to use available funds. 8. Requirements of the position Efficient organizational and communication skills beneficial Able to work in a logical orderly manner Able to work independently and as part of a team Able to maintain member and club confidentiality essential Good time management skills Operational Skills Knowledge of Club operations, goals, plans and program of activities Access to a computer and basic computer skills Ability to use Excel or equivalent Understand simple accounting Keep good records Awareness of procedures for handling cash, cheques and other financial transactions Aware of information, that needs to be kept for the annual audit Familiar with computer book keeping software beneficial 9.
