Meeting summary – September 4, 2013

Action Items:
1. Sullivant Hall Construction Update

Jay presented. The project is 79% complete. Sequence 1, Cartoon Library, will finish moving this week.
Sequence 2, Dance and Classroom Pool, users will be moved by November. Sequence 3, Dance and Arts
and Sciences, will be completed by November. Phase 5, Theater AV and Lighting, has the bid package
and scopes currently in progress. He then reviewed the financials. About 90% of the contingency has
been used for 79% of the job. They are tracking very closely at this point for possible overages.
He reviewed construction progress and explained the changes in phasing with Sequence 2 and 3. For
safety reasons, they wanted to make sure there was no chance for public access during construction.
Some highlights:
 East entry construction is finished and ready for planting.
 North Entry clean-up and finish is underway.
 The Library space is occupied and in use. Secure storage is being finished. The galleries are near
completion, awaiting delivery of cases between now and October.
 The dance studios will have floor protection right until move-in.
 The general classroom space seating installation is underway, to be completed within a week.
 The smart classroom is near completion.
 The East Rotunda plasterwork is finished and painting is ready to begin, to be done by early
October.
 Dance office space on 3rd floor is proceeding to final finishes, with ceilings going in, then
flooring.
 The black box theater framing and electrical rough is going in. Will be done in November.
 Corridors and restrooms are being painted now.
 Phase 4 wall framing and electrical rough is in progress.
Lynn stated that the Sullivant Hall report to the Board was scorecarded yellow for schedule and yellow
for budget. So it’s being watched closely. But the consensus is that the right decisions are being made
for the schedule, given the unexpected problems with HVAC and underground piping during the early
phases of construction. The group also expressed a consensus that the building is gorgeous.
