JOB DESCRIPTION Job Title: Events Sales and Admin Assistant Hours: 8.30 – 5pm – 37 ½ hours per week All year round, 5 weeks holiday Salary : Point 14 – 18 (£16,860– £18,400p.a) Responsible to: Events Coordinator Main Purpose of Job: To work with the Events Coordinator to develop and grow the venue sales business through proactive marketing and product development and to manage client relationships, To be responsible for the provision of an effective and efficient administrative support to the events department Key Responsibilities: To work with the Events Coordinator and to develop and grow venue sales To deal with all customer enquiries in a professional manner and within set guidelines, demonstrating sound knowledge of all aspects of the products on offer. Facilitate the transformation of all enquiries into confirmed sales To undertake the administration of all sales on related bookings/sales using software and management information systems To manage the context of the box office website To ensure that each stage of a ticket sale is completed in a timely and accurate manner including: confirmation of requirements, issuing of receipts, service delivery and payment collection To follow financial procedures for all ticket sales, including issuing cost estimates, quotations and invoices, monitoring and recording payment, notifying outstanding debts To be conversant with the products and services offered by all other sections in internal and external relations and events. To arrange and conduct client visits, tours and viewings of the facilities and services. To produce marketing material such as programmes, menus, information sheet etc To assist the Events Coordinator to seek and build ongoing relationships with clients in order to sell services in line with the departmental Sales and Marketing operational plan and budget targets To assist with ongoing market research and analysis To represent the school at marketing events, road shows and exhibitions as and when required by the Events Coordinator To assist the Events Coordinator with all events (internal or external) from the initial enquiry to contract and business follow up To respond to and proactively build client relationships to secure event sales and future repeat client business To develop excellent product knowledge of our venues to enable the management of complex and or bespoke client event requirements To ensure activities meet and integrate with the schools requirements and policies To produce monthly data and financial reports To provide monthly reports as required. To provide and organise an efficient, professional and confidential administrative service to the Events teams including word processing of correspondence, reports, publications and other documents as required.
