You shall bring with you all documents which are mentioned in the relevant agenda to be able to discuss them. This also implies that you have studied the documents before the meeting and that you have discussed them within your National Committee (if appropriate). Most of the documents will be distributed to you by the convener of JTF via e-mail 2 weeks before the meeting at the latest. 2. Previous meeting minutes will be considered first for accuracy and, after acceptance, matters arising and actions not completed will be assigned to other agenda. 3. If you want to distribute a document to JTF-TEM this should only be done via the convener or secretary. The convener/secretary will then distribute this document with an appropriate JTF-TEM document number to all members. 4. All documents distributed within JTF-TEM shall be available in electronic format. Please keep this in mind if you want to distribute a paper for discussion. 5. Documents which are coming late or are not available to everybody present prior to the meeting will not be discussed at the meeting and will be postponed to the next meeting. No documents will be tabled. 6. If there is any change in your e-mail, fax or phone numbers please inform the convener or secretary immediately by e-mail as you might miss important information in the future. 7. It is the intention of IEC Central Office to keep the work efficient. That’s why it has been agreed that members of JTFs have to participate actively in the work and have to be present at the meetings. Every member not present shall give his excuse in a written format to the convener. Every member not present in three consecutive meetings without being excused may be deleted from the mailing list without further notice.
