ROLE PROFILE Job Title: Designation: Work Unit: Division: Position Number: Responsible to: Senior Lecturers Administration Officer Administrative Level 5 Batchelor Faculty of Education Arts and Social Sciences 51539 Senior Faculty Administrator POSITION OVERVIEW: The Senior Lecturers Administration Officer is responsible for maintaining day to day administrative and personnel services in order that the Faculty of Education meets legislative requirements and Institute obligations. KEY RESPONSIBILITIES: Preparation of documents for all VET accreditation, auditing and scope work for Senior lecturers. This includes: formatting templates and documents to Institute styles and guidelines. Assist the Senior Lecturers and the senior Faculty Administrator in the preparation of operation audits. Prepare partnership agreements for training opportunities on behalf of Senior Lecturers. Coordinate with the Senior Lecturer to prepare documents and file. Preparation of Faculty Accreditation, Admission and progression (FAAP) items that include: drawing up memorandums as per the FAAP template and liaise with the Senior Lecturers to ensure that sufficient evidence is attached to the progression applications. Create, implement and maintain an electronic document filing system including maintaining an up to date repository of course documents on the Institute’s Intranet. Schedule and act as a minute taker for various faculty, committees and team meetings. Undertake various student matters including and not limited to: student orientation, information brochures, bulk mail outs, handling student enquires and checking on student enrolments as directed by Senior lecturers. Organising and coordinating community visits for Senior Lectures including setting up meetings with other stakeholders, industry and communities. Maintain an up to date VET timetable repository for all courses and workshops which is ongoing, includes booking room facilities for Senior Lecturers. Any other duties as directed by the Senior Faculty Administrator and the Senior Lecturers.
