Job Description Associate Producer and General Manager (Maternity Cover) Responsible to: Executive Producer Department/Team: Old Vic Productions Location: The Old Vic, 103 The Cut, London, SE1 8NB Contract: Full time, fixed term contract (9 months with possible extension to 12 months) Hours: 40 hours / week Salary: £38,000 – 40,000 per annum Old Vic Productions Old Vic Productions (OVP) is an independent commercial producer and general manager set up by Sally Greene in 1994 and is run by Sally and Executive Producer Joseph Smith. OVP is the co-producer of Billy Elliot the Musical, with Universal Stage Productions and Working Title Films, which has been playing at the Victoria Palace Theatre since May 2005. The show completed a successful run in Australia and opened on Broadway to rave reviews in November 2008. Billy Elliot went on to win a record-breaking ten Tony Awards in 2009, including Best Musical. A first North American touring production opened in Chicago in April 2010 and a second North American touring production opened in Autumn 2010. Over the past 20 years OVP has been involved in over 100 productions in the West End and on Broadway, including: Taking Sides, Cyrano De Bergerac, The Reduced Shakespeare Company, The Vagina Monologues, The Weir, Car Man, Medea, Life(x)3, Benefactors, Elaine Stritch: At Liberty, Macbeth, Sexual Perversity in Chicago and Hamlet. A key role in the organisation, the Associate Producer and General Manager will underpin the operational running of the company and support all elements of OVP’s Artistic Programme. The Associate Producer and General Manager will support the Executive Producer and, when requested, represent Old Vic Productions on a portfolio of productions and investments. Under the guidance of the Executive Producer, the Associate Producer and General Manager will lead on some of these projects and deputise for the Executive Producer when appropriate and necessary. The Associate Producer and General Manager is responsible to the Executive Producer and the Chief Executive for the overall administration and internal operation of the organisation. Areas of Responsibility Project development work – all in collaboration with the Executive Producer Development of potential projects for delivery to the West End, Broadway or touring markets – development of ideas from concept through to commission and production Identification of potential transfers from other theatres, in particular developing relationships with the subsidised sector. Organise readings and workshops for OVP and managing those budgets and any external liaison with third party contractors Check the availability of rights, options and deadlines for plays and musicals Attend and contribute to planning meetings (both artistic and financial) involving the discussion of the future of OVP and its work Contracts Assist with the negotiation and issuing of rights agreements With the Executive Producer draft and issue co-production agreements Assist with the negotiation and issuing of contracts for West End and regional theatres Negotiate deals for creative teams, cast, production staff and stage management in line with budget and union agreements in collaboration with the Executive Producer Work with casting directors to co-ordinate the casting process Budgets and accounts Liaise with the Management Accountant on the day to day issues of the company and planning for the year ahead, including preparation of the yearly budget Draft production budgets with the Management Accountant In collaboration with the Management Accountant monitor cash flows for productions Oversee the work of the Production Manager and Designer in delivering productions to the highest possible standards within budget and resolve any issues Oversee the weekly contra from the contracted theatre and authorise the 4-weekly royalty cycle. Fundraising and Investor Relations Responsible for raising investment for OVP shows alongside the Executive Producer Analyse financial projections and use the information to complete OVP investment forms to be reviewed by the OVP Board Manage return of capital and profit distributions 2 Distribute monthly financial updates to investors Develop relationships with new investors Production Represent OVP in its capacity as Producer on certain West End projects, under the direction of the Executive Producer Represent OVP in respect of producing partnerships with the Old Vic Theatre Company, including negotiating co-production agreements and representing OVP at marketing and production meetings Attend and contribute to marketing meetings for Billy Elliot the Musical alongside the Executive Producer Represent OVP at events when requested such as first and last nights and conferences and being able to articulate OVP’s mission and vision for the future Provide relevant information for reports to the OVP board Ensure that all decisions made for productions are carried out in a timely manner and communicated to all relevant parties Deputise for the Executive Producer when required Communications, Marketing and PR Co-ordinate all logistics relating to press and promotional events, liaising with the press and marketing teams, performers, production departments, external venues, media outlets and broadcasters as applicable Oversee advertising schedule and programme production with the relevant marketing agency and / or Manager Schedule programming, book press nights and liaise with the Press Officer General Liaise with relevant theatre staff and management regarding all OVP activity Representation of OVP to industry bodies: SOLT, TMA Undertake and implement effective and appropriate communication, both internally and externally Provide the Chief Executive with reports on the maintenance of the artistic standard of OVP’s shows Keep abreast of all current industry practice guidelines, responsibilities and duties and represent the company in these areas when and if necessary Attend running shows on a regular basis Oversee the smooth running of the OVP office Provide support as necessary to the Executive Producer Undertake other duties as required by the Executive Producer and Chief Executive HR Oversee Company manager’s duties and provide “pastoral care” for the actors as and when necessary on running productions Liaise with OVP’s Legal representative on matters relating to productions Line manage the OVP Administrator and OVP Production Coordinator This is not an exhaustive list of duties and the Theatre's management may, at any time, allocate other tasks which are of a similar nature or level. 3 Person Specification The post holder must be able to demonstrate the following: Essential Proven experience of theatre production Proven experience of managing budgets Excellent presentation and negotiation skills, written and verbal Excellent and proven organisational ability Excellent interpersonal skills both face to face and over the telephone Fully computer literate: word processing; spread sheets; database; internet and email Goal oriented and highly motivated Confident manner Ability to prioritise, work well under pressure and adapt to new situations ‘Can-do’ attitude and a sense of humour Diplomatic and able to communicate with senior management A good team player but able to work independently Ability and willingness to work outside of normal office hours when required Management experience Desirable Experience in fund raising Good knowledge of plays and musicals Experience of General Management Educated to degree level or equivalent experience 4
