MINUTES ST. WILLIAM/ST. JOHN PASTORAL COUNCIL DUE TO THE HOLIDAYS THERE WAS NO MEETING IN NOVEMBER, 2014. NEXT MEETING JANUARY 28, 2015 6:30 p.m. MINUTES ST. WILLIAM/ST. JOHN PASTORAL COUNCIL DECEMBER 3, 2014 The regular monthly meeting of the St. William/St. John Parish Pastoral Council was held on December 3, 2014 at St. William Church, Donnelly Hall, Williamstown, KY at 6:30 p.m. Deacon Mike Lyman called the meeting to order. Members Present: Father Hils, David Rose, Cathy Rose, Amy Gutman, Paul Merz, Gayle Gillen, Mike Lyman and [Kathy McDonough(ex-officio) Diane Pettit (ex officio)]. Members Absent:, Stephen Bates, Sue Guenther, Donna Schulcz, John Vrolijk, Judith Kirk Deacon Mike opened the meeting with prayer. Mike called for approval of the Minutes from last meeting. There being one correction Paul moved, Dave seconded, Minutes approved as corrected. Old Business A. St. John Pews – Dave and Cathy Rose reported that the fabric is in and they will go get it tomorrow in Lexington. They will work on getting the pews done. B. Chicken dinner $150 on this Mike reported that we made approximately Open Issues A. Spiritual - Kathy reported that she and donna are working on taking out the children ages 4-7 during the readings and Homily. Hope to start in January, 2015. Fr. Hils and Kathy will compose a letter to send out and also post in bulletin. Kathy reported that CCD is going well, 3 new families. Working on a Christmas play for Christmas Eve at 4:45 p.m. Shara is working on a children’s choir for mass at 5:30 p.m. Fr. Hils advised that there would be a Midnight Mass and a mass on Christmas Day at St. John only. Deacon Mike advised that the Spirituality Series is well attended with 8-10 people. Cindy Nalle is presenting this series. C. Constitution - Deacon Mike advised that we do not need a constitution so that is dropped from our agendas. D. St. William Feast Day - the date is January 10, this is a Saturday this year. Kathy and Cindy are planning a meal after the mass of chili. E. St. John gun Safe – Dave reported that a safe was bought at Dicks. He will have Pete’s Safe move it and install it. He said it was 29” wide, 25” deed and 5’ tall. It has a combination lock on it. It will perhaps be bolted to floor and wall. Fr. Hils raised a question on water availability at St. John in case of a fire. Paul advised tanker trucks would be sent out. Discussion followed on insurance coverage. Mike will check into that for replacement coverage. New Business Paul raised a discussion on a Men’s Retreat. Getting a speaker and providing food were discussed. Fr. Hils was in favor of trying to get one started. Getting a local speaker or priest would be most cost efficient. Mike advised he has done one in the past. Knights of Columbus would like to come and form a round table here so that would lead into a men’s group. Fr. Hils stated it would entail a nice lunch, coffee, video presentation, perhaps a holy hour and confession. Paul agreed to look into getting this started. He will work on a questionnaire as to interest, time, date, etc. and review with Fr. Hils. He will report back at next meeting. Amy raised a discussion on Donut Sunday. resume the 4th Sunday of January, 2015. It was agreed we would Question raised on solar lights on US 25 at our sign. They are not work and not bright enough to light up the sign. Reflective signs were discussed. Not sure if would need approval. Diane will look into this and report back next meeting. Dave raised a discussion on a gathering space for St. John since the old facility was torn down. Fr. Hils questioned if there were enough people to warrant a building. Approximately 31 people attend mass on Sunday. He also stated that there is maintenance needed at St. John. Outside windows need painted, interior needs painted, foundation needs a little work, front door needs refinished, etc. Next Meeting The next meeting would be set for Wednesday, January 28, 2015. There being no corrections Paul moved, Cathy seconded, Minutes approved as submitted. Old Business A. St. John Pews – Dave and Cathy Rose reported that they have finished the pew cushions and will take them to St. Johns. The cost was $87.33 a pew. B. St. John safe was very pleased. it has been installed. Fr. Hils stated he C. U.S. Hwy 25 sign/lights – Diane did not have anything to report at this time. Tabled to next meeting. D. St. William Feast Day well attended. Everything went very well. Very Open Issues A. Spiritual – Kathy stated CCD was going very well. Children’s liturgy for 4-7 year olds doing very well as well First Penance is set for February 21 Youth Group – Deacon Mike advised that Sarah Campbell will Resign as of February 1 due to personal reasons. She has been doing the Youth Group for eleven (11) years. This year there is poor attendance so we will disband for this year. We will meet in the spring with parents of those eligible for youth group net year and look for a new youth minister. B. Financial Review – Deacon passed out St. William/St. John 2nd Quarter Financial Overviews. He went down through the figures with explanation on each. We need to start thinking of ways to increase our revenue at St. William. St. John does have a small cushion at this time. Deacon Mike suggested we need a meeting of Parish council, finance and others to brain storm ideas of ways to increase our revenue. Several suggestions were made about pull tabs at the Fish Fry – Mike and Paul will do some checking on this. C. Website Development – Deacon Mike advised the Catholic directory will be going away as of February 1, 2015. He has been working with Tom Tally of T2Design to develop our website. The cost will be $25 a month but with the growing advancement in technology we need a website that contains more information. After discussion Donna moved Mike go forward with T2Design, Dave seconded. Motion carried. D. Men’s Retreat/Group - Paul reported that he developed a list of men interested in a men’s group. He was not sure if Fr. Hils wanted this to be a spiritual or social group. After discussion it was decided this would be a social group with occasional spiritual items. A discussion followed on if alcohol would be allowed. First meeting will be February 10. E. St. John Maintenance - Fr. Hils raised a discussion on the dirt on the ceiling tiles. Dave thought it was coming from the attic. Fr. Hils would like an opportunity to get a taller ladder over there to look into attic to see what the problem is. This was tabled to April 22 meeting. New Business Fr. Hils read a letter sent to him by Gayle Gillen. She asked Fr. Hils to accept her resignation from Parish Council. She will be changing to all Saints as she has family and friends there. We will need to find a replacement for her. Fr. Hills suggested we all think of names and we will table this to next meeting to find a replacement. Deacon Mike advised we will be offering a Retreat - 33 Days to Morning Glory starting February 20. This is a retreat each does at home for 15 minutes a day. The conclusion will be March 25 with a consecration. in the bulletins. There will be more information forthcoming Dave raised a discussion on how he would like to see some numbers to develop a baseline for attendance at mass, who is coming and going from the parish, etc. Deacon Mike stated that October is when we do an actual head count at each mass. He does have a rough idea of how many attend by the collections that are taken. We will need to discuss further. Next Meeting The next meeting would be set for Wednesday, February 25, 2015. JOHN PASTORAL COUNCIL FEBRUARY 25, 2015 The regular monthly meeting of the St. William/St. John Parish Pastoral Council was held on February 25, 2015 at St. William Church, Donnelly Hall, Williamstown, KY at 6:30 p.m. Stephen Bates called the meeting to order. Members Present: Father Hils, Stephen Bates, David Rose, Cathy Rose, Amy Gutman, Judith Kirk, Mike Lyman and [Kathy McDonough(ex-officio) Diane Pettit (ex officio)]. Members Absent: Paul Merz, Donna Schulcz, Sue Guenther, John Vrolijk, Fr. Hils opened the meeting with prayer. Stephen called for approval of the Minutes from last meeting. There being one correction by Fr. Hils on ceiling at St. John, dirt may be coming from below when air moves tile up. Fr. Hils moved, Judith seconded, Minutes approved as corrected. Old Business A. U.S. Hwy 25 sign – Diane reported she contacted the City of Williamstown and our sign size will grandfather in so the size can stay the same, cannot be any bigger. The City referred her Custom Designs by Alice in Dry Ridge who quoted an estimated price of a sign 2’ x 4’ of polymetal, doubled sided in 2 colors with chrome outline for $235. Any colors can be chosen. Normal turnaround is 7-10 days. After discussion Fr. Hils moved Amy seconded that Stephen and Fr. Hils will continue to work on the sign acquisition in the price range of $250. Motion Carried. B. St. William/St. John Website – Kathy reported that they have met with the man creating this website and it seems this will be a fantastic upgrade of us. A question was raised on who had control of the website and she advised that Deacon Mike and Laura Sparks will be able to go into it and do any upgrades that are necessary. Open Issues A. Spiritual – Kathy reported that the First Penance was continued due to bad weather to March 21 after the 4:30 p.m. mass. Kathy advised there will be a CCD teacher’s retreat this Saturday with Fr. Hils and Deacon Mike leading retreat. Stephen advised that for all those participating in the 33 Days To Morning Glory the consecration will be held March 25 at 7 p.m. Fr. Hils advised there will be Penance service on Monday, March 23 at 7 p.m. There will be 3 priests available for confessions. He also advised that Stations of the Cross will be held every Wednesday during Lent at 7:30 p.m. There will be confessions heard during the stations. RCIA – Fr. Hils reported we will have 5 individuals this year for Easter. Judith raised a discussion on making the process of RCIA a little more formal in the future. Fr. Hils will look into doing that for perhaps next year. B. Open Seat on Parish Council – Several names were put on the table for possible consideration as follows Cindy Nalle, Kim Albers, Deamma or Chris Roomer. After discussion the open seat will be tabled to next meeting and perhaps we can add additional names for consideration. C. Diocesan Annual Plan – Judith advised she has been attending the meetings and the plan seems to aim at salvation of souls. She passed out a copy of the 2016 Diocesan Annual Plan to everyone. Our job is to review all 18 pages and either Affirm; Do Not Affirm; or Abstain. Discussion followed with the decision for everyone to take their copy home, review all and complete each page then it will be tabled to next meeting for a final copy to be prepared to submit.
