STUDENT EMAIL STANDARDS and GUIDELINES
A. Key Principle
Montgomery College will provide student e-mail for all students enrolled beginning fall semester
2007. The assigned e-mail account is a mechanism for official communication within
Montgomery College. Official communications are intended to only meet the academic and
administrative needs of the college community. All faculty, staff, credit and continuing education
students are accountable for adhering to the College’s e-mail standards and guidelines and
related policies and regulations.
B. Purpose
The purpose of this document is to set forth the rights and responsibilities of the College students,
faculty, and staff. The student e-mail standards include the following aspects of e-mail as an
official means of communication:





College use of e-mail;
Assignment of student e-mail addresses;
Student use and responsibilities associated with assigned e-mail addresses;
Expectations of e-mail communications
Privacy and security.
All students, faculty and staff of Montgomery College shall comply with the email standards and
related policies and regulations.
C. Assignment of student e-mail addresses
The Office of Information Technology (OIT) will assign students an official College e-mail account
at no cost to the student.
The address is of the form [MyMCUser id]@montgomerycollege.edu.
This official e-mail account address will be the only one used by the College for e-mail
communications. Students who do not have access to computers may use the College
computers in locations where use of e-mail is permissible.
D. Activating the Account
Students will receive an official College e-mail account upon completion of a Montgomery College
application for admissions. On-line instructions will be available to all e-mail account holders to
assist in activating the account.
E. Redirecting of e-mail
If a student wishes to have e-mail redirected from his or her official Montgomery College address
to another e-mail address (e.g., @aol.com, @hotmail.com, etc.) they may do so, but at their own
risk. The College is not responsible for the handling of e-mail by outside vendors. Students are
responsible for all official communications sent to his or her official College e-mail address.

F. Expectations regarding student use of e-mail
Montgomery College student e-mail accounts are provided as an official means for
communicating with faculty and staff regarding their enrollment and associated activities
and services during their enrollment at Montgomery College.



Students are expected to check their official college e-mail account routinely, or
as directed by instructors, in order to stay current with College and course
communications.
Students must use their official Montgomery College email address when
corresponding with College offices or faculty.
Students are responsible for the consequences of not reading, in a timely
manner, College and course communications sent to the official student
e-mail account.
G. Educational uses of e-mail
Faculty will determine the use of e-mail in their classes, which may include use of e-mail
for course content delivery, class discussion, and instructor conferencing. Faculty should
clearly state course-related e-mail usage expectations in their course syllabus.
H. Appropriate use of student e-mail
Use of a Montgomery College provided e-mail account requires individuals to adhere to
all College policies and e-mail guidelines as outlined in Section E of this document. Email shall not be used for transmitting sensitive or confidential information.

Security and Privacy
As stated in section IV of the Acceptable Use Policy, users of the College computers and
communications should have no expectation of privacy. The College respects the desire
for privacy and voluntarily chooses to refrain from routine inspection of user files and
electronic communications. However, the College may examine user files and electronic
communications to enforce College policies, procedures, guidelines, and applicable laws
with prior authorized written approval from a College Vice President or the College
President.
