American Express Corporate Travel Card Program As a follow-up to the announcement regarding the new Travel Program, we are pleased to introduce Pacer’s American Express Corporate Travel Card Program. Employees who regularly travel on company business or incur expenses related to business activities must apply for an American Express Corporate Card. If you are unsure of your need for a card, please consult with your manager. Program Benefits With the Corporate Card you gain access to an array of benefits and services from American Express that helps make managing your expenses simpler and more rewarding. Your Corporate Card provides you with a convenient and reliable expense management tool for all your business purchases. The Corporate Card is accepted at millions of locations worldwide and offers a wide range of business and travel benefits, including: 24-hour, door-to-door business travel insurance* of up to $350,000 every time Cardmembers purchase common carrier tickets with an eligible American Express Corporate Card; Baggage insurance for up to $1,250* for carry-on and up to $500 for checked, in excess of the carrier's coverage, when you use your Corporate Card to purchase scheduled flight, cruise, train or bus tickets; Car rental insurance up to $50,000 (collision coverage)* when you use your Corporate Card to reserve and pay for your rental car; 24-Hour Toll Free Customer Service is available to handle billing inquiries, lost/stolen cards, and to open investigations for billing disputes; and Online account management (Cardmembers may view the last 6 months of statements and unbilled charges, update billing address, dispute charges and submit payments). *Note: please contact American Express for more information regarding insurance coverage. I acknowledge and agree that my use of this Corporate Card is subject to the Pacer International, Inc. Travel and Expense Management Policy (Travel Policy), which I have read and understand. Along with the other rules and procedures in the Travel Policy, I understand and agree that: (1) The Corporate Card is reserved for business expenses. (2) I will not use the Corporate Card for personal charges. (3) I am personally liable for all charges on the Corporate Card. Payment is due in full upon receipt of my monthly statement. Late fees incurred as a result of delinquent payment are not reimbursable. (4) I will return the Corporate Card upon any termination of my employment and at any time upon Pacer’s request, and will promptly pay all charges outstanding on the Corporate Card at that time. (5) Misuse of the Corporate Card may result in revocation of Card privileges and/or disciplinary action, up to and including termination of employment. (6) Charges incurred on the Corporate Card are reviewed by Pacer Management, and past due and/or personal charges will be reported to the appropriate party to be handled accordingly. (7) I hereby authorize Pacer to withhold from any salary, severance, bonuses or other amounts due from Pacer to me for any unauthorized charges on the Corporate Card and any authorized and unpaid charges for which Pacer has previously reimbursed me, to the full extent permitted by law. Manager’s Signature: Date: Apply for Your American Express Card Online Once you submit the signed Acknowledgement form and receive the Access Key, please follow these quick and easy steps in order to apply for your American Express Corporate Card online: Step 1: GO TO THE AMERICAN EXPRESS WEB SITE Please visit https://www.americanexpress.com/applyforcard via the Internet and select, Corporations/Apply for a Card. This will take you to the screen entitled “Submit a Card Application – Step 1 of 3.” Step 2: ENTER YOUR ACCESS KEY For security purposes, you will need to input the Access Key (an alphanumeric password) provided by your Program Administrator. Enter your Access Key in the appropriate spot on the screen. Step 3: COMPLETE THE APPLICATION Carefully complete the entire application. Certain fields are required and must be completed to allow the application to be submitted to your company’s Program Administrator for approval. Step 4: SUBMIT THE APPLICATION Submit your completed application by clicking on the “SUBMIT” button. Submitting your application will automatically route it to your company’s Program Administrator for review and approval. Once approved, it will be forwarded to American Express for processing. A Corporate Card application initiated via the Internet has an average processing time of 24 hours from the time it is submitted by the Program Administrator. Approved applicants will receive their Cards via U.S. mail within 7 to 10 days. If this request requires more urgent processing, please contact your Program Administrator. AMERICAN EXPRESS CORPORATE TRAVEL & ENTERTAINMENT CARD FREQUENTLY ASKED QUESTIONS Q: What is the impact of American Express making credit inquiries for an individual? A: Any single credit inquiry made by American Express will have no impact on an individual’s credit history. However, if someone with marginal credit history has a large number of inquiries within the last two or three months, this can be interpreted as an indication they are overextended, actively seeking credit, and liable to be a high risk. Q: Does American Express report a declined applicant to the credit bureaus? A: No. Any decisions made by American Express during the Card issuance process are not reported to the credit bureaus. Q: When does American Express report a Corporate Card relationship to a credit bureau? A: The only time a Corporate Cardmember would be reported to a credit bureau is if their account is delinquent as defined by American Express. Please contact American Express for more information. Q: Can I link my personal American Express card to the Corporate Card for maximization of points? A: Yes, but there is an annual enrollment fee of $75, and the fees are not reimbursable by Pacer. Q: Is there insurance coverage when using the Corporate Card? A: Yes, for both rental cars (as defined in the Travel and Expense Management Policy) and accidental death (door-to-door coverage). Please contact American Express for more information. Q: What happens if my application is declined? A: You will receive written notice within 7-10 days of submitting the application. If declined, please speak with your manager or Program Administrator about available alternatives. Q: How do I apply for a card? Q: Does the American Express statement replace individual purchase receipts for expense reporting purposes? A: No. Even though the American Express charges will load into Concur, you must submit receipts for each expense. Please refer to the Travel and Expense Management Policy (under Associate Policies on the UltiPro site) for information regarding acceptable receipts. Q: Who pays for the annual American Express Card fee? A: Pacer reimburses Cardmembers for the $15 annual fee. Please note that fees to upgrade to a premium American Express product (i.e. Gold Card) are not reimbursable. Q: Who is responsible for paying the American Express statement charges? A: The Cardmember is responsible for payment of the statement balance in full on or before the due date. Q: Does Pacer reimburse Cardmembers for delinquency fees associated with late payment? A: No. Cardmembers are responsible for timely payment. Continued delinquent payments may affect a Cardmember’s credit and/or lead to suspension of card privileges. Q: How do I dispute a charge? A: If you have a charge on your American Express Corporate Card account that is questionable (an overcharge, fraudulent charge, etc.), contact American Express immediately to place the charge in dispute. You can do this by calling them at 1-800-528-2122, or visiting www.americanexpress.com. American Express will issue a temporary credit to your account while they investigate the charge. Once they determine the legitimacy of the charge, they will either re-bill your account or else issue a permanent credit. Q: How soon after submitting an expense report will I be reimbursed? A: Expense reports are processed every Wednesday at 5:00PM Eastern Time for payment (ACH/check) on Friday. Please allow sufficient time for your manager to approve the expense report before this deadline. Q: When are statements available? A: Pacer’s cycle cut is the 16th or 17th of each month. Online statements are generally available within 24 hours of the cycle cut date. Likewise, paper statements are generally mailed within 24 hours of the cycle cut date. Q: Am I able to sign up for payment reminders? A: Yes, through American Express online. Q: How do I register for expense reimbursement? A: Please contact DL-ConcurHelp@pacer.com for instructions.
