APPLICATION TO BECOME A REGIONAL WEBCAST CENTRE
OF THE ROYAL COLLEGE OF PHYSICIANS OF IRELAND
Requests for access as a recognised Regional Webcast Centre to the Masterclass Series should be
submitted by a Fellow of the RCPI. The following roles and responsibilities should be agreed by the Fellow.
Please note that the responsibility may be delegated by the Fellow to a colleague or administrator. Once
these roles and responsibilities are agreed, the Fellow becomes the Regional Coordinator for that hospital.
The roles and responsibilities of the Regional Coordinator are:

Helps with promotion of events at a local level. Posters and registration forms are circulated to the
Regional Co-ordinators in advance of any event via email. Please note that events are also promoted
to all Members and Fellows of the College and its Faculties internally.
If needed, works with the hospital IT department and RCPI to authorise the removal of any internet or
port restrictions which may prohibit access to the webcast test or live webcast facility.
Responsible for booking the relevant rooms and AV/IT equipment at the hospital for the event. Lecture
style or classroom style is preferable.
Responsible for the registration of attendees and management of their details after the event.
Responsible for collecting the completed participant sign-in sheet and feedback after each event and
sending them to the College (posting them on RCPI Moodle). Note that the sign-in sheets are prepared
by RCPI and emailed to the centres (or posted on RCPI Moodle) in advance of each event. Please
note that if the RCPI do not receive the sign in sheet and an audit is completed doctors will not be
eligible to receive their CPD credits.
Responsible for providing feedback on the webcast facility after each event (e.g., by providing
suggestions to the layout or format of events, providing suggestions on quality of webcast facility).
Webcast Requirements
In order to host an event via webcast at a regional centre, hospitals must meet the following minimum
requirements. Once RCPI is satisfied that the hospital meets the minimum requirements, a test of the live
webcast facility will be organised with the hospital’s IT department. The minimum requirements to host a
webcast are:

Meeting room, preferably lecture style or classroom style, must be made available for live testing and
from at least 16:00 on the day of the event.
A minimum of 3MB internet download connection.
If a firewall is being used at the venue then following ports should be opened:

Firefox is the preferred browser, but Internet Explorer 7 or higher, Chrom & Safari can also be used
Microsoft Silverlight Player 5 or higher has to be installed on the PC/Laptop being used.

An amplified audio system needs to be connected to the PC/laptop. The amplification required will
depend on the size of the room.
7. A projector and large screen needs to be connected to the PC/laptop.
8. It is important that the PC/laptop being used for any test session is the one used for the actual
Masterclass session.
9. Please note that if your hospital shares bandwidth with another hospital, you may experience delays in
accessing the webcast facility. It is advisable that a dedicated broadband connection be used when
connecting to the webcast facility.
10. Local IT support should be available for at least the first hour of the live Webcast to ensure that any
technical problems can be quickly resolved.
11. From the room where the webcast will be broadcast, ensure that you can connect to the following

 If the webcast works successfully you will be able view the video of the speaker, view the power
point slides and hear the audio from the speaker. You can contact Edel Hynes at RCPI on
multimedia@rcpi.ie to schedule a live webcast test.
 If the webcast does not open successfully, then you have either internet or firewall issues that need
to be addressed with your central IT department. Live testing of the webcast facility cannot be
scheduled until these internet or firewall issues have been resolved.
