General Summary
The Development Associate is responsible for supporting CASA of Travis County’s mission in four ways:
1) managing the donor relations activities for the development department, including gift entry,
acknowledgement processes, generating mailing and email lists, and standard and as-needed
development reports from the Raiser’s Edge database; 2) working with the Director of Finance &
Operations to prepare bank deposits, maintain coding system and reconcile RE database to MIP finance
system on a monthly basis; 3) accepting, acknowledging and managing in-kind gifts made to CASA for
the benefit of the children we serve; and 4) serving as the first point of contact for visitors and callers to
CASA by answering the phone and front door.
Essential Responsibilities and Duties













Establish and perform Donor Relations processes, including gift data entry, deposit coding, gift
batch processing, thank you letters, iho/imos, matching gifts, workplace giving, credit cards,
EFTs, etc.
Assist in developing new and maintaining existing fundraising processes and forms as they
relate to revenue (newsletter/direct mail response cards, pledge forms, 5K registration forms,
online forms, etc). Attend and perform requested duties at all fundraising events.
Assist in developing new and maintaining existing fundraising processes involving joint MIP/RE
tracking, including pledge processes, coding and others as needed.
Create Development queries, exports and reports from Raiser’s Edge (RE) on a monthly basis,
for all mailing and email lists and on an as-needed basis.
Train all staff using RE and provide ongoing technical support.
Assist with donor processes with other sources including NFG, Greater Giving, Active.com,
Convio, etc.
Create Donor Relations business rules, including maintaining an RE manual.
Primary agency contact with Blackbaud. Oversee implementation of new modules and
upgrades for RE.
Create and monitor reconciliation coding with input from both finance and development.
Reconcile Raiser’s Edge revenue data with the Accounting (MIP) revenue data on a monthly
basis.
Assist the DFO with the annual audit and IRS Form 990 - as needed.
Keep track of requests for in-kind donations on behalf of children, ensure that those requests
are publicized appropriately through the volunteer e-newsletter and other means and track
when they have been fulfilled and how.
When in-kind donations are received, ensure that an In-kind donation form is filled out and
submitted to the development team. If the donation was in response to a specific request,

ensure that the child advocacy specialist or volunteer making that request is promptly
informed. If the donation was not requested but could be used on a case, ensure that the
existence of the donations is made known to staff and, as appropriate, volunteers so that they
can utilize it on their cases if possible.
Maintain inventory of child safety seats.
Manage the “toy closet”.
Open the CASA office at 8:00 am and close the office at 5:00 pm each business day.
Ensure front desk coverage for every lunch hour and all scheduled time-off by participating in
and communicating with the “front desk team”.
Distribute electronic faxes to appropriate staff at least twice daily.
Answer and direct all incoming phone calls in a timely and courteous manner.
Record holiday or other alternative phone greetings.
Serve visitors by greeting and directing them appropriately.
Place postage on outgoing mail as needed.
Together with the Project Manager, receive and distribute mail in accordance with the Mail and
Deposit Procedure.
Other duties as may be assigned.
Knowledge, Skills and Experience
1. A minimum of a Bachelor’s Degree or equivalent work-related experience in this field of
Development.
2. Critical areas of qualifications include the following:
 Experience with Raiser’s Edge donor database including data entry, queries and reports, and
administration and procedures
 Knowledge of the mission of CASA
 Understanding the basic structure of a general ledger
 The ability to work under time constraints, be organized and goal-oriented, be precise and
attend to details and maintain productive and effective performance and interaction with staff,
board, donors and vendors
 Strong interpersonal skills
Physical Requirements and Work Environment
The Development Associate will be expected to have daily transportation to attend meetings and
events. He/she will spend some time in the office that could involve intermittent physical activities
including driving, bending, reaching, sitting and walking during working hours. Reasonable
