USTA Georgia Executive Director/Chief Operating Officer

Purpose of Position

The Executive Director serves as the chief operating officer (COO) of USTA Georgia (USTA GA).

Overall, the Executive Director is responsible for achieving the mission of USTA GA: to guide USTA

GA to new levels of operating success, visibility, and prominence in the promotion and development of the growth of tennis in Georgia through implementation of the USTA GA Strategic Plan. In order to achieve this mission, the Executive Director works closely with and reports directly to the USTA

GA President, and hires, directs, and supervises the employees of USTA GA in order to implement and operate programs designed to increase all aspects of tennis in the state. The Executive Director is responsible for carrying out the directives of the USTA GA Board of Directors (Board of Directors) and the Executive Committee. Within Georgia, the Executive Director works with other independent entities including the Georgia Tennis Foundation, community tennis associations and tennis professionals to promote, develop and enhance tennis programs. The Executive Director manages the day-to-day operations and financials of USTA GA to focus them on the promoting and growing the game of tennis in GA. The Executive Director exercises leadership and acts as a liaison between staff and BoD and committees within USTA GA, and between USTA Southern and National staff and the

USTA GA leadership. USTA GA is one of nine state tennis associations (USTA “Districts”) within the USTA Southern Section. The USTA GA Executive Director is expected to develop professional relationships with the Executive Directors of the other USTA Southern districts and to work closely with USTA and USTA Southern staff with the objective of growing the game of tennis in Georgia.

The ultimate objective of the Executive Director is to promote the USTA and USTA GA with the longterm goals of increasing participation and USTA memberships, while enhancing a strong, positive image and awareness of USTA GA programs and building a sustainable partnership between the association and the constituency it serves .

Major Duties

1.

Recruits, hires, discharge, and oversee the training of USTA GA staff,

2.

Leads the USTA GA staff in the annual goal setting and review process.

3.

Works closely with USTA Southern staff leadership in the supervision and goal setting of USTA

Southern employees working in GA (e.g. 10U Community Coordinator, Tennis Service

Representative),

4.

Collects and keeps up-to-date all appropriate employee records required by law and the USTA GA

Executive Committee (e.g., leave requests, compensation records, performance reviews),

5.

Conducts the financial management of the association in order to ensure that the monetary and physical assets of USTA GA are safeguarded, e.g. monitors and maintains the business operations within an approved budget, monitors the investment of reserves, reviews and signs off on monthly and year-end financial statements, works closely with staff Director of Accounting, Treasurer and

Budget and Finance Committee to establish an annual operating budget to present for approval,

Oversees the accounting process and carries out financial audits as requested by the Board of

Directors,

Oversees payroll processing and monthly/quarterly withholding deposits,

Monitors the work progress of staff and implements project/goal revision and/or training when progress is insufficient,

9.

Acts as liaison between USTA Southern staff and USTA GA staff and between the Executive

Committee/Board/Committee Chairs and Staff of USTA GA,

10.

Monitors the operations of the office for maximum efficiency and minimum cost within approved operating budget (i.e., insurance, security, lawn care, building maintenance, communication and computer equipment, etc.),

11.

Encourages volunteer involvement at both the CTA and state association levels and continually gives recognition to the volunteer base,

12.

Sends frequent, regular reports of activities and progress toward yearly goals to the USTA GA

President Executive Committee and Board of Directors,

13.

Carries out USTA GA Presidential, Board of Directors & Executive Committee policies and decisions and disseminates their approved directives to staff and committees in a timely manner, and recommends modifications for approval where analysis warrants consideration of change,

14.

Represents USTA GA at major tennis functions throughout the state and at USTA Southern

Sectional meetings and events,

15.

Monitors volunteer-staff interaction for maximum customer service,

16.

Works with other District Executive Directors and District Presidents to obtain fair representation in decisions made at the Southern Section level,

17.

Helps USTA GA President, Executive Committee & Board define volunteer & staff roles and allocation of appropriate duties to both groups,

18.

Acts as a liaison between USTA GA and our parent organizations, the USTA and USTA Southern, as well as USTA GA Community Tennis Associations (CTA). Duties include attending semiannual and annual meetings of both the USTA and USTA Southern, other National and Sectional meetings and workshops that are deemed relevant to USTA GA operations, and periodic visits to

GA CTAs. ,

19.

Maintains and disseminates up-to-date knowledge of new USTA policies, programs, customer service actions, funding procedures and computer services to Board, Staff and District volunteers,

20.

Supports the development of sound, thorough training curriculum and frequent training sessions for

USTA GA committee members and local CTA and program leaders, and

21.

Provides administrative support to the USTA GA Executive Committee, Board of Directors and

Committees.

22.

Travels up to 25% of the time - Significant number of days away from office to attend meetings and tennis functions as mentioned in Duties 14 and 18 above – estimated 15 to 25 day trips plus 20 to 30 nights out-of-town or out-of-state at conferences during the calendar year.

23.

Works closely and coordinates with the Georgia Tennis Foundation on joint projects, programs and fund raising events.

Expectations

The successful candidate will have a strong work ethic, be self motivated, and offer strong leadership for USTA GA. He/she must have strong managerial and communication skills in order to direct USTA

GA staff and volunteers so that programs and projects are effectively and efficiently carried out.

Strong financial skills are required in order to develop realistic budgets for USTA GA to insure that available financial resources are well-utilized. The Executive Director must be able to work with all of

USTA GA’s diverse constituents and stake-holders, and be able to foster and nurture community partnerships. He/she must be committed to expanding diversity at all levels within USTA GA. He/she must possess a strong passion and desire for the game of tennis and willingness to promote and grow the sport of tennis in GA.

Specific Position Qualifications

Baccalaureate Degree (e.g., B.A., B.S or equivalent) or higher required.

10 years experience in business setting ideally at a managerial level is required.

7 years experience in coaching, teaching, motivating, mentoring and retaining team/staff members is required.

USTA Membership, at time of hiring and on-going during employment is required.

5 years demonstrated experience in leadership role for a non-profit organization is preferred.

Strong demonstration of interpersonal, leadership, decision making and communication management skills within all levels the organization is required.

Strong ability to partner and influence internal and external constituents to foster and manage strong relationships and gain commitment to accomplish stated strategic objectives and goals of the organization is required.
