Service and Events Associate (Federal Work-Study) $9/hr.
Halas Recreation Center Mission
The Halas Recreation Center is dedicated to providing a safe, well-maintained state-of-the-art facility that offers
resources, services and venues that promote the educational, social and overall well-being of the Loyola University
Chicago community and guests.
The Halas Recreation Center staff shall reflect their guiding learning outcomes as part of the Division of Student
Development: customer service, responsibility, teamwork, management, autonomy, and leadership.
Service and Events Associate Position Description:
Students in this position are responsible for managing the Front Desk operations at the Halas Recreation Center and
event management within Halas Recreation Center and the Student Complex. The Service and Events Associate is
responsible for greeting, directing, and providing membership services to students, staff, faculty and Jesuits of the
Loyola University Chicago community as well as supporting the event and meeting set-up and reservations in the
common use areas of the Halas Recreation Center and Student Complex. In this role, students will support events
providing services to students, staff, faculty and members of the Loyola University Chicago community as well as
external clients using the facilities. All students will perform the duties below.
Duties include, but are not limited to:
 Greet visitors upon entering the Halas Recreation Center
 Answer phones and take appropriate messages for staff and direct calls/questions accordingly
 Provide occasional tours to new members
 Management of office communication through telephone and email
 Accountable for all retail sales, handling money and cash register transactions and operations.
 Responsible for equipment checkout and reservations of courts (racquetball and basketball).
 Provide customer service support to facility members, visitors and guests.
 Responsible for tasks of the main desk; sell memberships, locker/towel service, registration for Campus Recreation
programs and special events, equipment check out.
 Provide troubleshooting customer service support on all administrative activities, such as problem memberships,
locker/towel issues, etc.
 Perform laundry services duties
 Report facility issues to the Student Supervisors
 Assist other Department employees with first response to injuries and/or emergencies.
 Enforce all Department policies and procedures.
 Office and/or clerical tasks as indicated.
 Support events, meetings and programs held in the Halas Recreation Center and the Student Complex.
 Review reservation requests in 25Live.
 Review scheduling and set-up needs in reservation requests.
 Set up meeting/event spaces including tables, chairs, and stage pieces in accordance with client needs.
 Set up AV/Technical equipment and provide support during the event/meeting.
 Directly responsible for the day-of support for Halas Recreation Center and West Quad events/programs including
set ups, technical arrangements, and audits of the space. Also assist with Student Complex events when needed.
 Assist the student supervisor and the Facility Manager in monitoring and enforcing policies
 Address safety concerns as they arise Interact directly with patrons and provide the highest level of customer service
at all times.
 Assist with preventative maintenance plan for the facilities, including cleaning tasks and minor repairs.
 Assist with tasks related to the maintenance and upkeep of facilities. Responsibilities will include performing and
assisting with acute and preventative maintenance of equipment, facility care.



Provide entry control service. Responsibilities include welcoming patrons, checking patrons into the facilities and
answering questions.
Responsible for providing professional, courteous and accurate information at all times.
Assist with answer questions, answer incoming calls, schedule appointments, performing general administrative
duties, filing, data entry filing, working with spreadsheets, attending meetings, copying, organizing supplies, data
entry, database searches, correspondence, compiling records, and completing forms.
Applicant Qualifications
Currently enrolled undergraduate or graduate student
Must be available to work between 8-15 hours/week during semesters
Must have flexible schedule that allows for early morning/late evening/weekend shifts and holidays
Must be reliable, professional and work well with others
Must have exceptional customer service skills
Must be self-motivated, able to multitask, and work within deadlines
Must be able to work independently and as part of a team
Must be able to lift/move items up to 50 pounds
CPR/First Aid/AED Certifications (provided)
Preferred Qualifications
Experience and/or enthusiasm for planning student events
Experience and/or enthusiasm for conference services/hospitality
Knowledge of computer systems including, but not limited to: MS Word, MS Excel
Additional programs that may be helpful: PowerPoint, Adobe Photoshop, R25Live
Knowledge of campus facilities, culture and general academic and/or artistic wherewithal
Involvement in student organizations or club sports
Public Speaking
Writing and reporting
Adept conflict resolution skills.
Additional Expectations
Student Employees will be required to attend regular trainings and staff meetings
Student Employees will be required to attend occasional events/programs
Student Employees will be required to wear Staff Shirt and ID badge, provided
Student Employees will also be required to wear khaki/chino style pants and comfortable (closed toed) shoes which will
not be provided
