Friends of Ton Yr Ywen Annual General Meeting Minutes
Tuesday 13th October 2015
7pm – Staffroom
Meeting called to order at 7.15pm; Adjourned at 8.50pm
In Attendance: Mahmood Izzidien, David Griffiths, Sarah Jones, Jade Knevett Jones,
Jennie Haywood Hull, Sarah Mitchell, Sara Edwards and Carol Cramer.
Apologies from: Esther Howells, Liz Burris, Lucy Jackson, Ceri Ann Palmer, Caroline
Williams and Emma Robinson.
Meeting Agenda:
 Elect Officers for 2015-2016.
 Review Treasurer’s report of last two year’s fundraising activities (summary
attached).
 Review figures raised by fundraising activities so far this year.
 Discuss and agree schedule/set dates for 2015/2016 fundraising activities and
events as well as volunteer recruitment drive.
 Consider and form plan for possible change of uniform supplier.
Decisions Made:
 Mahmood Izzidien elected to replace Sara Edwards (who is stepping down) as
Treasurer.
 Carol Cramer elected as Secretary.
 Sarah Jones elected to remain as Chair.
 Sarah Mitchell re-elected as Vice Chair (by anonymous ballot vote).
Event Dates scheduled* for 2015/2016:
 Christmas Fayre December 4th 2015.
 Race Night 26th February 2016 (back by popular parent request).
 St David’s Day Welsh Cake Sale 1st March 2016 3.30 onwards (utilising new BBQ).
 1k/5k Dash Saturday 21st May 2016
 Summer Fayre 24th June 2016 from 3.30pm

Cake Sales to be held after school every second Tuesday beginning 12th January
2016 with Year 6, 9th February 2016 Year 5, 8th March 2016 Year 4, and so on until
Reception.
*All events dependent on sufficient numbers of volunteers. Any volunteers willing to help
please email friendsoftonyrywen@gmail.com
Next Steps Planned (and Any Other Business):
 Sarah Jones (Chair) to update Friends’ volunteer database email list to recruit much
needed assistance with future events.
 Email to be sent by Chair to recruit volunteers urgently needed to assist with
Parents’ Evening refreshments on 21st October 2015 and for helping to run games
at the Halloween party on Thursday 22nd October from 6pm to 8pm as well as future
help with all of the above events.
 Order uniform samples for parent opinion and approval.
 Mahmood Izzidien (Treasurer) to process Gift Aid for last year’s sponsored bounce
and also to chase outstanding match funding revenue and process alcohol licences
for upcoming events.
 Sarah Mitchell (Vice Chair) to plan and organise entertainment for Halloween party
and source food etc.
 Jenny Haywood Hull to assist in sourcing raffle prizes for Fayres and other
volunteers to be recruited to assist with brochure ads.
 Meat supplier (e.g. burgers and sausages for BBQ) to be sourced, tested and
approved.
 Dates for Sponsored Bounce/Sponsored Slide to be agreed.
