ELECTRONIC DATA SERVICE GROUP MINUTES OF THE MEETING, NOVEMBER 6, 2012 Present: Jennifer Keir; Sandra Keys (Chair); Judy McTaggart (Recorder); Michael Steeleworthy; Kathy Szigeti; Agnes Zientarska-Kayko 1. Approval of Minutes, September 11, 2012: The minutes were approved with further clarification added for the acronym “Mad” (item 4: Discussion) 2. Business Arising: There was no business arising. 3. Additional Agenda: There were no additional agenda items. 4. Administrative: (a) December Holiday Lunch: Sandra noted WatItis is usually held the first week of December which is likely to conflict with the next EDS meeting. December 11 was suggested as the tentative date for the EDS Holiday Lunch. Sandra asked members to check their calendars and notify her by the end of the day if that date is o.k. Invitations will be extended to Richard Pinnell and Helene LeBlanc. No decision was made for the location. (b) Upcoming Meetings: (i) Frequency of meetings: Sandra proposed the EDS meetings be held every other month, due to the lack of agenda items, projects, etc. It was decided that the monthly meetings should be booked and cancellations made for those not required. Action: Judy will make the room bookings. (ii) Guest speakers, special topics for future meetings: The following guest speakers were suggested: Margo Hilbrecht (CIW Associate Director, Research) to speak on the “Canadian Index of Wellbeing”; and, Andrea Perrella (Director, Laurier Institute for the Study of Public Opinion and Policy) to speak on the new Public Data Portal Sandra asked the group to send any other suggestions to her. 5. Presentation: Data Management Day Poster (Kathy): Kathy provided an overview of the poster “Journal Publishers Requirements for Data Submission” that she presented at Data Management Day. She noted that many journal publishers are now requiring data to be submitted when an article is being submitted for publication; along with a means of making the data citable. There was discussion about assigning digital object identifiers, confidentiality, and copyright issues. Kathy noted that not all publishers are currently requiring this; however, there is a growing movement in this direction. 6. Around the Table: Michael: The Laurier Institute for the Study of Public Opinion and Policy (LISPOP) has launched a new data portal that makes the university’s data collection publicly available. The public opinion data, donated by research firm Ipsos Reid, was previously restricted to people from Ontario’s post-secondary institutions. The data can now be accessed for free at www.lispop.ca/data. The data can also be accessed through ODESI from which the datasets can be downloaded in a variety of formats or viewed right on the web. LISPOP would like to see their datasets made available through TDR. Michael has been exploring options and building relations with LISPOP to show them what role the Library can play in data management. Jennifer: GIS day is scheduled for November 14 ArcGIS (a mapping software program) now has an online cloud version. The University’s licence likely includes use of this IST is undergoing a review in conjunction with the campus review Sharepoint is scheduled to be moved to Nexus on November 13 Next meeting: To be scheduled
