Implementation Minutes Student Team November 10, 2008 Meeting Information Facilitator Sandra Beaulac Note Taker Renee Roach, Assistant Registrar Attendees Sherry Hendrix, Dawne Massey, Renee Roach, Angie Melton, Linda Phillips, Vicki Henson, Debbie Crossland, Carol Claiborne, Kelly Simon, Julie Duncan, Mandy Husak, Jennifer Castricone, Chris Crandon, Frank Myers, Jennifer Bowen, Cindy Meadows, Lorinda Rogers, Kelli Peterson, Aubree Helvey, Jamie Glover Course Catalog Relevant Training/Discussion Highlights: GAPs Identified: Decisions Made: We want to make sure that we test cross listing items. We need to talk to Sherry & Mike about manipulating this screen. Fine grain access for SOAHOLD In data standards document: if there is an international document, there will not be a state code such as in the Caribbean Islands. We need to make sure that Tom knows this for the document. Decisions Required: Other Issues and Concerns: Action Items / Assignments Description Owner Deadline We will be discussing the base course information. STVSSUBJ. The subject codes will be the same as in legacy. Course numbers 1-499 will be indicated as undergrad courses. Grade mode and schedule type will follow these steps. We may also use partition preferences and room attribute preferences. SCADETL – the course detail form. Subject Course and term will follow when this comes up. There are many tabs to follow, co-requisites, fee codes, degree attributes, transfer institutions, supplemental data, course description, course text, integration partners. The degree attributes section is where we would enter the information for degree works or other automated degree software. Transfer institutions are where we indicate whether an institution will allow a course to be transferred in. Supplemental data – do we have CIP codes that are longer than 6 characters. No – hegis codes are 4 CHAR. Taxonomy of a program is not delivered in STVTOPS – Dawne already sent this. Course description – course text; where we will be talking about the pre and co requisites. SunGard Higher Education – Confidential & Proprietary 282233514 Page 1 of 5 5/29/2016 Implementation Minutes SCARRES – registration restriction form. The various blocks that are included in the form. Restrict by department, field of study, class, level, degree, program, campus, college student attribute and cohort SCAPREQ – course pre-req info and restriction information allows us to put a minimum grade needed to pass to the next level such as ENGL 1113 going to ENGL 1213. SCABASE – catalog schedule restrictions. We do not currently include information such as this where we completely restrict holding a class just for a particular semester. SCACLBD – set up a chart of accounts, cost percentage of history. SCATEXT – fluff; this is typically not used at most institutions. SCASYLB – course syllabus. This will hold 100 char. Sandra can pull the long and short titles from the web site. We are going to the course schedule now: Class schedule – anything that is built at catalog will drop down into the section. The CRN is a one-up number that Linda will begin. Cross listing – ECON 3313 & FIN 3313; We can allow more than one instructor to grade a particular course if it is a cross listed course. We want to make sure that we test this in the system as a cross listing items. SSASECT – where we reserve particular sections of classes for particular group of students such as Student Support Services. Meeting times and instructors – particular dates and locations are available. We can indicate a primary grade and a secondary course. For our arranged classes we can indicate that there is an arranged timeframe. Instructor – no class meeting times. SSADETL - If there are multiple co-req on a course, you will have to go to multiple sections. Linking in Banner is lecture to lab. Set up schematic where the lecture is related to all the labs. It will not allow one student enroll in a class without having the lab attached to it. Under section links and co-requisites, we can include more than one corequisite at a particular section level. Section fees - do we list restrictions in the schedule Contract and block schedule information. SSARECT – options at the level. These will auto fill at catalog and at the section level. Open learning – we can use for weekend classes and courses that meet one day here and another day there. SSARULE – can use a % cut off; it is specific to open learning. Open learning is not included in the scope. Part of term SPAIDEN – General Person ID – with tabs current id, alternate id, address, telephone, biographical, email, emergency contact, additional id. In alternate ID – we are bringing over all of the names available in alternate names. Population selection will be pulled from street line 1 to pull SunGard Higher Education – Confidential & Proprietary 282233514 Page 2 of 5 5/29/2016 Implementation Minutes in the address information. Sandra needs to visit with Laurene about the address information. We need to understand where the data is stored. In data standards document: if there is an international document, there will not be a state code such as in the Caribbean Islands. We need to make sure that Tom knows this for the document. The nation code in the example is a numeric code. Telephone – we could put the international access code under the telephone tab if necessary. Biographical is a standalone form. Includes some veteran information. Stored on SPAIDEN and on the general student from (2 areas of information). Biographical shows the user and activity date who has included the last update and help them with the data entry portion. Email address – storage of addresses; we have to make sure we have a central email address which will be a preferred address. We do not want them to be allowed to change their email address on luminis. We also keep track of the emergency contact (who do you want me to contact first?). Blind grading –like possibly for the MBA comprehensive exams. We could use this in the future. SOAIDNS – one form that includes everything such as: address, name, birth date, gender, curricula summary. It is a search form that is part of the general person form. It can be a stand-alone. There is not specific training on person. After I do a person search, do query, hits, bring up address and whether they have more information in the banner system. SPACMNT – person comment form; we need to put the comment on the general person. Can put a comment on that is contact or appointment specific. SPAEMRG – emergency contact form; give access to campus security. SOAHOLD – the types of hold – anyone who has maintenance access can take off a hold. The student can see who put the hold on and what type of hold it indicated to the student. If you do not check the release indicator anyone can lift the holds. How to contain hold is something outside of the scope that could be added (approach Sherry for changing the security on the SOAHOLD form) if this is not acceptable. Dawne was planning on setting up users for access to particular areas: such as registrar. Sun Gard does not support that type of action according to Sandra. We need to talk to Sherry & Mike about manipulating this screen. Fine grain access for SOAHOLD. Support services (services). This is a separate menu item. Disciplinary action – Casey Case & Jennifer Pruchnicki both need access for this form also for disability services. It can store all of the information like it is a separate form. This is not currently stored in legacy. There is a workbook delivered by SunGard where it breaks out the support services pieces and what validation tables need to be created in order to develop usage of these forms. SunGard Higher Education – Confidential & Proprietary 282233514 Page 3 of 5 5/29/2016 Implementation Minutes Faculty Load Relevant Training/Discussion Highlights: GAPs Identified: Decisions Made: Decisions Required: Other Issues and Concerns: Action Items / Assignments Description Owner Deadline SIAFPER – where tenure, sabbatical and primary activity are located. Question on the floor is whether this information is stored on the HR side. Sandra will double check on this. If it is listed on the HR side it will not be listed on the general person record. If stored in PEAFACT – we do not want to use this form in SIAFPER. Sandra sent this shared file to Linda & Sherry to include the shared document. If HR says yes, then we want to delete this off the form. SIAINST – important to allow faculty to be inserted as a teacher/instructor on the system. Includes faculty member base details. We do not currently assign advisors to advisees at the time of application in the system. Anyone who has and advisor flag could look at any information on a student. It is either opened up or has a one to one relationship. We can end the term. Linda asked whether we can assign and advisor for some and not for all? Sandra says not really. SIAFDEG – faculty degree information. We do not currently store this information in the legacy system. Unless Tom might have this in a database that we are unaware of. SIAASGN – faculty assignment. This shows a calculated workload and whether they are assigned to the section. In the faculty workload reports that are delivered, only faculty is delivered. We would probably write our own reports for faculty load to pull out the information we want. The two reports that are delivered are not robust enough to cover our needs (they are not sufficient). Location management Relevant Training/Discussion Highlights: GAPs Identified: Decisions Made: SunGard Higher Education – Confidential & Proprietary 282233514 Page 4 of 5 5/29/2016 Implementation Minutes Decisions Required: Other Issues and Concerns: Action Items / Assignments Description Owner Deadline Owner Deadline Location that is dormitory and classroom specific. SLABLDG – Building definition form. SLARDEF – the description needs to have the building name in the description as well such as 102 Kelsey Hall or 234 North Shepler. We will also define the classroom information in these fields. In the searches, it will only bring back resident hall rooms. In schedule, we can only bring up classrooms. In residence hall, we can only bring up dorms. SLARMAP – application status SLARASG – show the room assignment and roll from one term to the next. We can store assignments that the student has had previously. Can show a deposit as well. Sandra will come in and train the trainers. Sandra will show Casey how to do this and he will convey to Casey. Bring a prototype of someone we already have in the room and try to replicate what we are doing. SLAMASG – meal assignment form. Can specifically assign the meal plan charge. Ours is all in one price, so we need to break this down. Activity fee and cable charge should be discussed with Doreen in the AR session (for Casey). Recruiting Relevant Training/Discussion Highlights: GAPs Identified: Decisions Made: Decisions Required: Other Issues and Concerns: Action Items / Assignments Description SRARECR – Source Visits/prospects;recuit data. Sandra is stating that we should wait to do the recruiting function. All comments in banner are either term related or comment related. We will finish up Recruiting on 11-11-08.
