Job Title: Events Co-ordinator Department: Visitor Services Reporting to: Head of Visitor Services Pay: £18,000 per annum Contract type: Permanent - Full-time Location: Exeter Cathedral Job Description Purpose of role: The key elements of this role are to co-ordinate all events which take place in the Cathedral and its precincts including the Green, and to develop new business opportunities. Key Accountabilities: The Events Co-ordinator is responsible for: Developing business and increasing revenue for the Cathedral through the staging of concerts, conferences and events. Maximising the profit from all concerts and events. Co-ordinating the team of part-time Events Supervisors. Acting as the Cathedral’s main point of contact for all external events, conferences and exhibitions held in the Cathedral and its precincts including those held on the Green. Ensuring excellent cross departmental communication, working particularly closely with the Floor Management team to enable smooth running of concerts and events. Managing the Cathedral diary and leading the weekly diary meeting to update the Cathedral staff on high impact events. Carrying out post-concert/event follow up activities, including PRS returns and debriefs. Providing excellent customer service at all times to internal and external stakeholders. Carrying out any other reasonable task, as requested by the Head of Visitor Services. Background Information: The Visitor Services Department is one of the main revenue generating departments in the Cathedral and is responsible for all visitor related activity which takes place in the Cathedral and its precincts. The post of Events Co-ordinator is located in the Visitors’ department because there is much coordination required between the visitors’ programme and the concerts and events programme and the two areas need to work synergistically. The department is currently staffed by 2 full-time and 2 parttime employees. Key Challenges: The job involves working within a very busy department with constant interruptions from members of the public requesting information. The need to constantly ensure that all departments have the information that they need. Working with a mix of volunteers and staff. Several projects may be running concurrently. The need to work to very tight deadlines. To be aware of and communicate the impact that certain types of concert or event would have on the other departments within the Cathedral. Working Pattern: This role is full-time (35 hours per week) and may need some flexibility to meet work demands. However, a certain amount of flexibility in terms of working pattern can be offered in return. Candidate Profile: Essential: Experience in a busy administrative role. Outstanding organisational skills with an eye for detail. Excellent communication skills, written, in person and over the phone. Excellent MS word, Excel, Publisher and PowerPoint skills. Ability to manage several tasks simultaneously. Excellent customer service ethic and proven ability to manage external stakeholders. Willing to work unsociable hours including late nights. Experience of updating a web-site. Experience of using social media in a work environment. Desirable: Previous knowledge/experience of event planning and management procedures.
