Prepare the juice trays: The juice trays should have cups in them. If not, then you will have to cup the trays. Check the current setup chart for the number of trays to prepare. It is most efficient to bring full trays up to the balcony and then bring partials back down for refilling. 2.There should be enough bread in each tray for the second service. NOTES ON SPECIAL SERVICES: General setup instructions above apply to most regular Sunday early and late services. Special services are held throughout the year as follows: - Christmas Eve candlelight service – typically the later of the two Christmas Eve services - Ash Wednesday - Maundy Thursday (may leave elements and not clean up until after Good Friday) - Sometimes Good Friday (not in recent years) - Wednesday night Thanksgiving For these services, typically a setup for only the front table is sufficient perhaps with a few additional juice trays (current setup for 14 trays sufficient for 560). Often the communicants will come forward to receive the elements so no need to set up stations elsewhere. Double check with the pastors how they plan to serve communion for those services and adjust setup accordingly. Typically a pair of volunteers can handle both setup and cleanup for these services and any extra trays can be used for the following Sunday. July summer schedule for single worship service: During the single service for July, the late service setup is used plus additional trays as needed for overflow: - Transept balconies get two juice trays each instead of just one - Overflow in the choir room gets two juice and two bread trays Check with the pastors or Session Worship committee to verify attendance estimates and overflow locations and adjust setup accordingly. Typically, two sets of volunteers – one for setup, and one for cleanup – can handle July services. SUPPLIES: - Silver utensils – chalice, bread tray, pitcher – kept in safe in communion prep room. Talk to Karl Hamilton for repairs/replacements - Communion trays for juice and wafers and lids – ordered from Logos. Talk to Ken Najar for additional lids, replacements for dented trays, etc. Additional juice tray lids ordered in early 2013 for transepts. - Juice: Judy Matheny picks up juice from Sam’s as needed. When supplies are low – less than ~ 6 bottles left – ask her to get more - Wafers: wafers come from Logos Bookstore and Ken Najar can order these. Usually can come in within the week. Order more when ~ 8 boxes are left. Easiest to order a case of 40 boxes at a time (rough estimate 2 months worth?). Turn invoice from Logos in to church office. - Plastic cups: come from Ken Najar at Logos. Order more when 2 boxes are left. Easiest to order a case of 12 boxes at a time (approx. 2 months worth?) Turn invoice from Logos in to church office. - Doilies: Judy Matheny orders these from kitchen supplier. Order more when < 50 are left. Michael’s and Walmart have Wilton cake decorating doilies in an emergency - Showbread: Pick up appropriate size and shape rolls from a local bakery (Kroger, Publix, etc). Keep a stock in the refrigerator and there is a red basket in the kitchen freezer top shelf for additional stock of rolls so that they don’t mold. - Misc supplies – paper towels, hand soap etc – volunteers typically bring as needed or contact communion prep coordinator. Occasionally a volunteer will take home used cloths to launder and return clean.
