Main purpose of the job
Responsible for the overall development and day-to-day management of the Alumni Relations
programme for the University including the development and implementation of activities aimed at
tracking, engaging, cultivating and assisting former students. The post holder will develop and manage
alumni initiatives, communications and events designed to engage alumni. In addition, be expected to
provide the content and maintain the alumni section of the website and take a lead in planning the
content for the Alumni magazine.
The post holder will be the first point of contact for the Alumni Board and lead on delivering the alumni
engagement target for the campaign and contribute to, support and occasionally undertake specific
projects in order to complement the work of the Development team to raise philanthropic income for
the University.
Key areas of responsibility
Duties Relating to Alumni Engagement and Cultivation
a) Partner with the Director, Alumni Board and Heads of Schools to plan alumni engagement
strategies
b) Produce and distribute a series of communications and publications, including a quarterly enewsletter and an annual magazine, to engage alumni of all backgrounds and ages.
c) Take a leadership role in driving attendance at alumni events including reunion, networking and
international alumni events by content development, event logistics, invitation lists, ticket sales
and follow up marketing.
d) Ensure alumni achievements or special milestones are given due recognition by the University.
e) Support the development of alumni leadership through the alumni board and serve as the key
contact for the board and its activities.
f) Develop and manage a series of discounts and privileges for alumni such as special rates for
hotels, car rentals, library cards and career advice.
g) Develop a programme for the engagement of young alumni or graduating students.

h) Respond to unscheduled visits, e-mails, telephone calls, and post from alumni, offering a
personalised response to each contact.
Duties Relating to Fundraising
i) Working with Director of Development set goals relating to annual gifts from alumni
j) Manage the annual appeals, including timing, project, copy and solicitation technique
k) Identify potential alumni prospects for the major gifts team
l) Supervise the work of the Alumni Appeals Coordinator
Duties Relating to Alumni Database
m) Find and track information pertaining to alumni from different sources within the University and
devise policies for the integration of that information into the Raiser’s Edge database.
n) Devise strategies to track “lost” alumni.
o) Overall strategic responsibility for the alumni and events module on the Raiser’s Edge database
and ensure that records are maintained and disseminated securely, accurately and in accordance
with legal requirements.
p) Maintain important information and statistics on alumni from all schools
Duties Relating to Alumni Web Pages
q) Write and manage the content of www.uwl.ac.uk/alumni website and ensure that information on
the alumni section of the web is up to date and relevant.
r) Create awareness of the website among alumni and staff
s) Analyse website traffic to identify alumni interests in order to develop new alumni offerings.
General Duties
t) Project and manage the budget required to support alumni services and activities.
u) Undertake any recruitment and management responsibilities related to the post including
recruitment and management of alumni board members.
v) Identify alumni as potential placement hosts, mentors, honoraries and governors
w) Foster relationships with other Alumni Managers to share best practise.

x) Carry out any other duties assigned by your line manager.
y) Be flexible with working hours during evening events, phonations and other out of office alumni
activities.
Dimensions / back ground information
The Office of Development and Alumni Relations was set up in 2007 with the task of engaging the
University’s external stakeholders, including alumni and organisations, with a view to increasing
philanthropic investment. Earlier this year the University launched its first major fundraising and
engagement campaign and is already halfway through its goal of raising £10 million and 10,000 engaged
by 2017.
