Apologies Received from Kevin Jutson (KJ), Adam Beauford (AB), Jo Veryard (JV), Karen Annetts (KA), Carol Plewes (CP), 2. Minutes of last meeting Previous minutes distributed. Minutes approved. 3. Chairman’s report CD opened the meeting informing Committee members on the success of the Strictly Dancing event held on Friday 6th November. It was very well attended and the numbers were perfect for the size of the hall. 4. Head Teacher’s Report TW has received some bank statements for the HTSA and wanted to point out the Virgin money/Just giving deposits from Mr Dyke’s kind donation from the Marathon. TW also presented a cheque received from Easy fundraising for £85.01. It was 1 Registered Charity No. 1036489 discussed at last meeting that online Holy Trinity had a balance of approximately £200. The school Bursar is happy to clarify the position with easy fundraising. After discussion the Committee agreed that all fund raising records for this year for HTSA and the new roof to be transparent. This will enable TW to report on a termly basis to the parents how much has been raised to date towards the Roof fund. The school has an obligation to pay £4,500 this year and the total value is £30,000. JJ to keep a track of fundraising split. 5. Treasurer’s Report Please see attached Treasurer’s report. Balance at start of September 2015 £5,635.17 Incomings since September 2015 £633.07 (2 x cake sales, harvest and Queen’s jubilee celebrations) Outgoings since September 2015 £0 Balance as at 9th November 2015 £6,268.24 6. Feedback from previous events 2 Registered Charity No. 1036489 a) Cake sale Once again the cake sale went well. At the last meeting it was agreed that the next few cake sales would be run by the lower, middle and upper school. The dates agreed are as follows. TW will arrange for a letter to go out to parents. Monday 25th January – Upper school Tuesday 15th March – Middle school Thursday 12th May – Lower school b) Strictly come dancing This event was well attended. Approximately 120 tickets were sold sold. It was very enjoyable and the Dance teacher was brilliant. 7. Upcoming Events a) Blue bags 19th November. The letter to parents and blue bag has been sent out to parents. b) Christmas Bazaar – 28th November 2.30-5pm KB stated that the hall will be ready from 10am, and the Pre-School room from 1pm. Volunteers are required from 10am at school to help move tables and transfer cake donations to the church KB will be booking the 2016 Bazaar with the Church very soon. DT has kindly offered to run the grotto. KB has started to get grotto prizes. TW has an action to arrange for some year 6 elves Providing all forms are filled out then there will be enough stall holders A letter will go out to parents asking for donations of cakes on the Friday before. CD has an action to sort a Bookers shopping list with KB. TW suggested that any left-over mince pies can be used for school music event on the 2nd December. 3 Registered Charity No. 1036489 Volunteers are required to help run the event. CH & DT have offered to run the kitchen. CS & LL will run the cake stall. JJ will be on the entrance desk. Christmas Craft Competition for the children – “make a Christmas character out of a toilet roll tube”. A prize will be given for KS1 & KS2. KB/CD have an action to send a letter out. Advertising – Please can everyone promote the event. CD has emailed the poster out to the Committee. SC has kindly offered to organise a “Santa’s in the Chimney” game KB will research into arranging a Lolly game and reindeer food craft activity KB asked for suggestions on who could open the event. CH suggested a mascot character as they will recognisable to the children. c) Christmas Productions, hampers, letters for food donations The draw tickets have been purchased. CD reported that 23 letters have been sent to local businesses requesting donations. There will be 3 hampers made for the raffle at each day’s production. 8. AOB a) Beetle drive date b) Yeovil Half Marathon – 20th March 2016 c) CD to ask Simon Annetts more info about drinks station Disco – 26th February d) TW to check Mr Rodds availability TW needs to see copy of DBS. LFR to arrange Year 6 School leavers books KA has requested via CD that the request for photos letter be sent earlier than usual (i.e after Christmas). TW would like to continue sending out letters March/April time. TW has taken an action to investigate keeping copies of the school photographers reception photographs on file in readiness for 7 years time e) Rainbow badges 4 Registered Charity No. 1036489 TW has explained at previous meetings that instead of the School Council there are Community time meetings. The school has purchased coloured star badges in rainbow colours for the children to have for attending. TW asked if the £534.60 cost could be funded by the HTSA. All members present agreed. 9. Date of next meeting The next meeting will be held on Monday 11th January 2016 at 7pm, in TW’s office.
