Request for Proposals - Simple visualization project
Overview:
The eLearning Analytics team would like to assist with presentation of data for UCIT
departments. The eLearning Analytics Team is looking for engaging projects that will assist the
requestors in presenting multi-dimensional data such as usage patterns, data patterns, user
behaviors, etc. Not only will this assist departments in UCIT, but the eLearning Analytics Team
will benefit from the opportunity to develop the team’s internal skills and processes. For these
small projects we are looking for well-defined/fixed data sets and 2 – 3 questions to address.
Summary of the team process: (estimated elapsed time 2 weeks)
1. To request services: the requesting group will submit (via email to paul.foster@uc.edu
and brenda.frankenhoff@uc.edu) the following basic information:

Proposed summary of project: (Identify goal of analysis/graphs) ex. find peak usage of
service XYZ over that past 3 months; examine KB usage over the past semester by
category, analyze inventory of KB by topic area
Data source(s): (up to 3) This would be extract files, or access to log files/systems for
the analytics team to directly pull the data. If extract files, these should be submitted
with the request.
Time frame for analysis: (daily, monthly, weekly, annual analysis, prior term, multiple
terms)
Desired completion date: (allow 2 weeks from project acceptance)
Attach files if they are available.
1b. The eLearning Analytics Team will create a temporary/generic service request to
be used for time and task tracking during the project once accepted, and any internal
notes for future process improvement.
2. Initial data review: If files were submitted, the eLearning Analytics Team will review the
data prior to meeting with the requestor to review for data quality and usability in the
proposed analysis and determine if additional available data (ex. from IDM sources) will
need to be pulled into the project.
3. Initial analysis meeting: The eLearning Analytics Team will schedule a meeting with the
requestor to review the details of the request and prepare a follow up summary of the
desired deliverables and project timeline. If original data files were provided, they will
be reviewed with the customer during this meeting. If data files are not provided prior
to this meeting, a second meeting may need to be scheduled for follow up.
4. Development: The eLearning Analytics Team will set up the data sources for use,
perform any data blending and cleanup, and define the dimensions and measures to be
used for analysis.
5. Working meeting to develop visualizations: After the data sources are mapped, and a
few examples are created, there will be a joint development meeting with the requestor
to expand the visualizations. (Following the Tableau Drive methodology.) This will be a 1
– 2 hour working meeting with the goal to be finalizing the visualization graphs and
possible dashboard/ workbook for final presentation. Any data gaps will be defined in
this meeting and if not addressed.
6. Delivery of final product: Delivery method for publishing final documents to be
determined. Possible options:
a. Publish for named users to view output via the enterprise Tableau Server
b. Publish for guest users to view output via the enterprise Tableau Server
c. Send resulting visual diagrams in PPT document/word document (images/fixed
graphs/charts)
d. Other method

The eLearning Analytics Team will develop a project summary with lessons learned,
identify any reusable data sources or templates and record time on project via TD
service request.
