HE Administration Manager

HE student administration forms part of the College’s Academic Registry department. Academic
Registry comprises of quality and standards, admissions, HE programme administration, FE course administration, exams and management information areas. These areas have a high level of interaction and it is important that there are effective working practices and relationships between each of the areas. You will work collaboratively across the College to ensure an integrated approach to the planning, development, delivery and management of services.
Effective HE administration is seen as an essential element of a good student experience and therefore the ability to provide strong administrative support to the students and to build productive working relationships with academic staff is essential.
The HE Administration Manager is responsible for ensuring that the team of programme administrators provides a professional and proactive service to students and staff. The HE
Administration Manager will be responsible for promoting change and supporting new ways of working within both the Academic Registry department and the team of programme administrators. The role will also be required to initiate and implement enhancements to service delivery and the customer experience.
The HE administration team are responsible for the effective and efficient operation of student administration activities throughout the whole of the student lifecycle whilst ensuring that processes and procedures comply with College policies and regulations.
MAIN TASKS:
1.
To be responsible for the leadership, management, delivery and development of student administration and to actively promote change and support new ways of working within both the team and the wider College.
2.
To line manage the programme administrators, allocating responsibilities, workload planning and managing performance ensuring that appropriate standards of behaviour, performance and customer care are demonstrated at all times. To provide coaching and support, developing their skills, knowledge and understanding. Carry out appraisals, set objective and give feedback ensuring that targets are met.
3.
To work in collaboration with the quality and standards, admissions, exams, FE course administration and MIS teams to facilitate joined up and efficient student processes.
4.
To manage and develop student administration processes including: registration, assessment, awards and the maintenance of student records.
5.
To have a detailed understanding of the regulations, frameworks, processes and the student experience in order to ensure the College’s procedures are adhered to, and that advice and direction for process improvements can be given.
6.
To build and maintain effective productive working relationships between the programme administration team and the programme areas to ensure that efficient and effective administrative support is provided.
7.
To manage an administrative structure that has responsibility for :
Registration. Working with the finance and admissions teams ensure an effective registration process for students
Assessment. Managing the assessment schedules, including receipt and return of student assessment, examination and progression boards
Extenuating circumstances. Managing the processes relating to Extenuating
Circumstances
Student attendance. Managing the administration of and reporting on student attendance
Student records. Ensuring student records are up to date and student changes in circumstances are fully communicated across College and to external bodies where appropriate
Regulatory returns. Ensuring regulatory returns, such as the Destination of Leavers return, are administered on a timely basis
Providing secretariat services as appropriate
Administering the programmes’ budget expenditure and monitoring the consumables budget on behalf of the programme areas
Administering educational visits undertaken by students and ensuring compliance with
College policies
Liaising with the Head of Finance on issues regarding student finance relating to student enrolment, progression and retention.
8.
To ensure that the programme administrators are providing support for the College VLE and that the relevant sections related to programme administration are kept accurate and up to date at all times.
9.
To ensure that the College’s administration quality standards are maintained across all programmes. To enhance and develop the Administration handbook.
10.
To attend the College’s Higher Education Committee and to participate as appropriate in other Committees under the College deliberative structure.
11.
To provide updates to the Student Loan Company on issues such as changes of student enrolment, progression and retention.

1.
To comply with all relevant College policies and procedures.

In the context of College and personal development to carry out any other duties that are commensurate with the role and as instructed by the Academic Registrar.
3.
To assist the Head of HR in ensuring reception is covered, planning training with administrators on the switchboard if needed.
4.
To assist with other administrative duties within the College if required.
5.
To adhere to the College’s Health and Safety policies and procedures and to perform any
College wide designated duties with regard to Health and Safety and the security of the
College.
6.
To adhere to and actively support the College’s Equality & Diversity policies and their implementation.
7.
To have a flexible approach to work, as at certain times of year non-standard working patterns may be required.
