JOB DESCRIPTION
Job Title:
Secretary and Administrative Assistant
Department:
Clinical Governance & Performance, FNHC
Reports To:
Education and Development Co-ordinator
1 Job Purpose:
1.1 To provide a comprehensive secretarial and administrative support to the
Education and Development Co-ordinator, Clinical Effectiveness Facilitator and the
Specialist Nurses in order to meet the needs of employees of Family Nursing &
Home Care and other Agencies.
2 Principal Accountabilities:
2.1 Provide a comprehensive efficient and effective secretarial and administrative
service for members of the Governance Division.
2.2 In the absence of the Education and Development Co-ordinator and the Clinical
Effectiveness Facilitator undertake significant tasks as appropriate using your own
initiative in order to maintain the efficient running of these roles.
2.3 Assist with internal and external training as required, including lecturers’ and guest
speakers’ requirements; set up training venues at the various locations around the
island; organise catering needs, flights and accommodation as and when required,
as directed by the Education and Development Co-ordinator.
2.4 Organise the administration of mandatory training, e.g. reserving staff places on the
courses, reporting to supervisors and line managers of non attendance. Provide
the Education and Development Co-ordinator with statistics regarding mandatory
training as and when required.
2.5 Maintain the staff training database, and produce accurate and confidential
statistical data including Evaluation Feedback Reports, for the Education and
Development Co-ordinator as required.
2.6
Assist with a range of secretarial and administrative tasks including:

Inputting data for audits and assist with data analysis as appropriate

Provide administrative support to the Specialists Nurses as and when required

Maintain annual planners, training and audits for the Education & Development
Co-ordinator and the Clinical Effectiveness Facilitator

Manage room bookings.

Maintain Education and Finance records for Education and Development Coordinator.

Undertake general clerical duties including photocopying, sending faxes and
ordering office supplies, dealing with incoming mail as required.

Provide the first point of contact for personal callers to the department ie. security
company visiting the building.
2.7 Perform such other duties as may be required from time to time.

Scope for Impact:
The Governance department is responsible for ensuring that high standards of clinical
care are achieved and maintained for all areas of the Association, this also includes

provision of excellent customer service i.e. internal and external. It is essential that the
postholder sustains the efficient running of the department so that the integrity of the
Association is recognised and respected.

Knowledge and Experience:
You will be an experienced person possessing the necessary secretarial/administrative
skills required to provide high level support.
Excellent organisational and ICT skills (such as Word, Excel, Power Point, Publisher,
Access). It is important that the postholder has the ability to work consistently and
accurately under pressure and as part of a team.
Due to the range and variety of work the postholder undertakes it is essential that they
are flexible, have excellent time management skills and are able to assess priorities.
The postholder should be confident and possess good interpersonal skills in dealing with
staff at all levels internal and external to the Association, using a variety of methods.
The postholder will also be expected to develop a good undertstanding of the work of the
Association.
