Friends of Multi Arts Center – Board Meeting April 9, 2014 Prepared by Rhonda Plake In Attendance: Valerie Bloodgood, Charlotte Ownby, Vicky Berry, Janice Eckroat, Rhonda Plake, Bonnie Hammond, Guests: Skye Zhang, Scott Johnson, Julie Tikalsky, Dot Turman, Mo Wassel, Melissa Provost, Jacqui Savage, Kim Hale, Daisha Pennie, Debbie Sutton Staff: Bill Miller, PK Work Excused Absences: Marilyn Wells, Chris Ramsay, Surekha Sheorey, Julie Lambert _____________________________________________________________________________ President Valerie Bloodgood called the meeting to order at 6:03 pm. Previous minutes were approved. Vicky Berry moved and Charlotte Ownby seconded. Treasurer’s Report: Due to Treasurer’s absence President read treasurer’s report Bonnie Hammond moved to accept treasurer’s report and Charlotte Ownby seconded Director’s Report: Bill Miller submitted directors report (attached). He explained the incomes and expenses. Committee Reports: Executive Committee: Volunteer coordinator position still in discussion. Open studio policies were discussed and open studio policy is posted at the center. Membership Committee: see attached Melissa Provost asked what the function of the multi arts, is it a service organization? Why are we giving away money to people who support what they should be supporting? Daisha Pennie explained that they are working on a solution: Bonnie Hammond stated: “Friends of Multi is a corporation that manages the MAC. Bill is exec director and supervisor with counsel from the Executive Committee . Friend’s acct pays director’s salary, retirement, benefits. Also pays for activities. Exec committee has fiduciary responsibility to ensure proper use of time and resource management. There is a responsibility of board of directors to bring proposals on how to manage revenue from increased income from things such as contributions”. Bill Miller will bring extenuating circumstances for teacher membership to exec committee as they occur. Bonnie Hammond made motion to accept amendment to teacher $20.00 membership requirement and will be waived on case by case basis by executive committee. Jaqui Savage seconded. Publicity Committee met on Mar 27. The multi arts center needs new brochures. Claire Zevnik designed new post cards. Mo Wassel Contacted Gail Hiner to revise brochure. Director Bill Miller purchased 1/6th add in Best of Stillwater. Bylaws Committee did not meet Finance Committee did not meet Build and Facilities Committee did meet. Valerie Bloodgood stated that the executive committee will discuss cleaning company bids at next executive committee meeting Gallery Committee did not meet However they did meet last month and items from that meeting are still pending Grants Committee did not meet. They will be meeting to discuss artist in residence concept. Looking for partners throughout community to collaborate with. Will Meet April 17th with David to develop a community task force. Bike grant was submitted and approved for bike art project on May 18th Personnel Committee did not meet Old Business: Arts Festival: Multiarts volunteers will be at festival on Saturday. No booth info at this time. Charlotte Ownby suggested we establish schedule. First volunteer should arrive at 8:30. We need a table, 3 chairs, tent and weights. Membership committee will contact membership to solicit volunteers for festival Arts Festival Awards: We have several awards made. We need eight. Bonnie and Charlotte agreed to coordinate volunteers to finish off awards. Artists Dinner: Daisha Pennie will arrive Friday to help set up for dinner. Dinner is at Sat at 6:00pm. Volunteers for dinner are to arrive at 5:30. It is pot luck. We will have live music. Membership Committee will solicit volunteers for potluck. May Day Party: May 1st at 6:00 pm Potluck, not meant as a fundraiser. All members please bring friends and there will be live music. Bike Project: May 18th There are decorated bikes dispersed to various locations in the community: One is at the library, one is at coopers, and there are some at schools There are several decorated in lobby and out front of the Multiarts Center. We can use donated bicycles for bike day. Need volunteers for creation stations. We will have food truck vendors. Adam Mulder will be welding bikes in the back. We need 1000 brochures in BW and 100 in color. New Business: Skye Zhang presented Fundraising Report: 4 Steps: 1. 2. 3. 4. Identify your prospects Board members are the key Special Fundraising events Develop your signature event Charlotte Ownby asked if two special events are reasonable. Skye Zhang said it is possible if we prepare.
