2015-2016 Executive Team Application Please complete this application and return it, along with a resume and current transcript (unofficial is acceptable), to the OSU Alumni Association front desk no later than 4:30 p.m. on Friday, April 10, 2015. Eligibility: Applicants for the SAB Executive Team positions must be or have been SAB members in good standing for at least one year. Also required are a cumulative GPA of 3.2 or above and enrollment as a full-time student at Oklahoma State University. If you do not have a 3.2, please submit an additional document explaining your circumstances in 150 words or less. Application Requirements: All applications must be typed. Any application not typed will be rejected. Applicant must include academic transcript (official or unofficial) and resume. Interviews will be held Sunday, April 19th at the ConocoPhillips OSU Alumni Center. Interviews will be with a committee consisting of outgoing Executive Team members, the SAB advisor and/or additional Alumni Association staff members. Student Alumni Board Executive Team *The current executive team structure is subject to change. *When applying for the executive team, you do not apply for one specific position. Once selected, the new executive team will determine together who will fulfill each role. Executive Director Requirements: Must have served on Executive Team at least one term Primary Duties: Meet with Advisor weekly to plan executive team meetings and meeting agendas Plan & Preside over all executive team and regular meetings Arrange guest speakers for general SAB meetings Plan and execute the annual SAB Awards Banquet and Initiation using SAB committee members o Secure student emcee/speakers o Issue invitations to Alumni and Campus Dignitaries o Plan and purchase awards for outgoing executives o Plan senior tribute o Secure location o Plan food o Obtain decorations o Update, plan and produce programs Participate on Alumni Association Committees and Task Force committees as requested Attend and participate in all SAB activities Attend national ASAP (CASE) national conference, if possible Represent SAB at campus meetings and advisory boards Plan and secure locations for SAB “on the road” meetings. Prepare notebook to be passed on to the next Executive Director Shall appoint another Executive officer to preside over any meetings he/she is unable to attend. Shall represent this organization to all its external publics and serve as its primary spokesperson. Alumni Relations Executive Primary Duties: Attend executive team meetings and participate in executive team retreat Attend regular meetings and give reports on a regular basis Recruit and supervise committees to carry out the responsibilities of the office Plan and Coordinate SAB involvement with Alumni Events (i.e. Cowboys and Conversation) Serve as liaison to the OSU President’s office for the President’s Partners program o Meet periodically with the President’s wife and/or Partner liaison o Report at regular meetings o Recruit President’s Partner’s members for special events as requested Secure students for all Chapter Events and Honors Banquets when requested Prepare notebook and pass to new Alumni Relations Executive Traditions Executive Primary Duties: Attend executive team meetings and participate in executive team retreat Attend regular meetings and give reports on a regular basis Establish & Maintain Traditions Keepers Program Meet with Advisor weekly to plan and evaluate the progress of the Traditions Keepers Program. Coordinate all Orange Friday events Present Tradition of the Meeting at biweekly SAB meetings Manage in-meeting traditions, such as Brag Bags, Pete’s Penalties, and Pete’s Pass-Around Recruit and supervise committees necessary to carry out the responsibilities of the office Plan the Senior Farewell Toast o Order Food and Wine o Work with Sponsors o Coordinate all advertising and promotion o Determine ticket sales o Secure speaker Prepare notebook to be passed on to next Traditions executive Programming Executive Primary Duties: Attend executive team meetings and participate in executive team retreat Attend regular meetings and give reports on a regular basis Recruit volunteers to lead Homecoming Parade Plan for a SAA event each semester as a benefit to SAA members o One event per semester o Promotional event for SAA that allows us to sign up students for SAA memberships and promote becoming a part of the organization Recruit members to assist with Ring Ceremony Monitor and promote organization via social media o Biweekly, if not daily, tweeting from SAB twitter handle to promote organization o Monitor and posting on Facebook page about meetings, announcements or other important info for group members Help come up with new ways to promote the Ring Ceremony and its tradition Plan and carry out legacy weekend o Brochure and letter created and mailed in a timely manner o Activities for the weekend planned o Coordinate with Undergraduate Admissions office, scholarships and financial aid, honors-college, residential life, etc. to insure a fun filled and informative day. o Arrange lunch and dinner o Arrange tour and information panels Membership Executive Primary Duties: Attend executive team meetings and participate in executive team retreat Attend regular meetings, call roll, and give reports on a regular basis Keep minutes of each regular SAB meeting Maintain membership records to allow easy flow of contact between SAB members including: o Names, permanent addresses o Local addresses, phone numbers, e-mail addresses – updated periodically Maintain accurate participation records: o In cooperation with other executives, formulate point awards for the upcoming year’s events o Use the online point submission forms for all points o Keep point totals o Periodically report point totals to members o Report delinquent members to executive committee o With executive director, write and send letters to delinquent members Create ideas and incentives for participation Coordinating BEAT Shirt production and distribution Prepare for selection of new members: o Coordinate campaign for new members to campus organizations targeting those not represented on SAB o Update membership applications and distribute o Be sure membership notices are in campus newspaper o Reserve conference room for membership interviews o Plan SAB interviews by providing sample questions and determine interview procedure o Prepare and duplicate new member binders and distribute Assign initiation roles to executive members Also have duties pertaining to Student Alumni Association membership sales.
