Artist Contract
to be completed by all artists displaying work in the Gallery
Artist Requirements:
1. All artists participating in exhibitions with the AAAC must have a current membership with us.
Annual memberships begin at $25 and can be purchased on-line through our website.
2. Promotional materials MUST be proofed and approved by AAAC staff before being printed. All
printed promotional materials are at the discretion of the curator and/or artist. ALL printed
promotional material MUST contain the official AAAC logo and Asheville Area Arts Council Gallery
Suite 143A in Downtown Asheville’s Grove Arcade (828)258-0710 www.ashevillearts.com. Logo can

45 days prior to exhibit:
3. Sign an Artist contract & W-9 form at the Asheville Area Arts Council or submit via mail @ P.O.Box
507 Asheville, NC 28802. Please retain one copy for your records.
4. The Artist must digitally provide a current bio, artist statement, resume/CV, and at least one high
quality image to be used for AAAC print promotions.
21 days prior to installation:
5. The Artist must submit an AAAC Inventory Sheet and return it to the Curator. All works in the exhibit
must be listed to include: artist name, title, medium, dimensions, price, and thumbnail image. If
work is not for sale, please mark NFS.
6. The artist must provide all equipment and hardware necessary for installation unless other
arrangements have been made with the Curator.
Upon De-installation:
7. The AAAC requests that artists complete a program survey to assist in quantifying our grant outcomes
in support of the Exhibitions program funding.
8. Utilizing the De-install Checklist, completely restore the Gallery to its original condition
AAAC Responsibilities:
 Print artwork labels and wall/window text.
 Process and document all sales and pay artists* within 30 days of the closing date of the
exhibit (AAAC will collect sales tax on purchases).
 Be informed about the artist’s work and answer questions related to the works
 Cross promote exhibitions, opening receptions, and other events via our email newsletter,
social media and website.
 Maintain and staff gallery during business hours Monday-Saturday 10:00-6:00 and for
after hour events (AAAC is closed for some Holidays).
General Information and Gallery Policies:
 The AAAC must approve all installation specs prior to hanging
 The Artist must install and de-install their work unless other arrangements have been made
with curator, during AAAC operating hours. This includes spackling and touching up walls. In
general, the layout and installation are at the discretion of the Curator. The AAAC retains the
right to make the final decision on which pieces will be exhibited, the arrangement of the
exhibit, and the total number of pieces exhibited to keep safety and functionality of this
multi-use space in mind.
 The AAAC has a limited supply of installation or de-installation materials. Please be sure to
provide all necessary tools, hardware, and equipment needed to hang your work.
 Reception: The curator and/or artists must arrive at least 30 minutes early to assist AAAC
staff in setting up the reception. AAAC will provide 1 case of wine, water, plates,
cups, and napkins. Food is the responsibility of the curator and/or artists, however, we
often have in kind donations offered so please check with the staff.
 We encourage artists to attend all exhibition specific events during the duration of the
show.
 Artwork selected for the exhibit must remain in the AAAC gallery through the end
of the exhibit. (Please see optional clause on artist contract for pre-closing sales.)
 Although the AAAC runs a non-commercial gallery, we wish to stress the importance of
gallery sales to support the operations of the Gallery.
 *The AAAC will retain a 35 percent commission on works of art that are sold. The sale price
listed by the artist MUST include the commission. Artists will be paid within 30 days after the
close of exhibit, less commission.
 Shipping costs are the collector’s responsibility.
 Artists may expect payment for sales of artwork 30 days after the last day of the exhibition.
*Payments to you for art sales in excess of $600 are required by law to be reported to the IRS. If
artist commission from work sold during the exhibit exceeds $600, AAAC must have a signed W-9
from each Artist before the Artist’s commission check will be released.
*Each exhibiting artist is responsible for providing the AAAC with their legal name for the purposes
of writing commission checks. AAAC is not responsible for checks that cannot be deposited if the
artist does not provide the correct name.
