2016 Westcoast Building & Hardware Show RULES AND REGULATIONS 1. 2. 3. Admission Policy: a) Exhibitors must be actively engaged in wholesale distribution and/or manufacturing of products or services for sale to the building supply industry retailers. Services or products to be exhibited must be for resale to or for use by retail lumber, hardware, building material, industrial, or paint and decorating. Show management reserves the right to refuse space and will act as the sole judge of applicability and fitness of exhibits. Exhibitors are asked to report any infractions to the show management so that remedial action, if necessary in the opinion of show management, can be taken. b) Building supply, hardware and related product retailers will be admitted. Contractors, architects, designers, specification writers will be admitted at 2:00pm, and as these guests are not retail members, all price lists and pricing discussions must cease and desist at 2:00pm and for the balance of the show. Anyone found to deviate from this rule and regulation will result in immediate removal from the show. Soliciting: Participating exhibitors have the exclusive rights to promote, sell goods and services in this show. All booth personnel must be pre-registered in order to gain entrance to the show. Any other parties will not be allowed to make any sale solicitations without the express written permission of show management. Exhibitors are asked to report any infractions to the show office so that immediate remedial action, when necessary in the opinion of show management, can be taken. Distribution of samples, souvenirs and promotion material and soliciting of business must be confined to the exhibitor’s own space(s). Show Specials: Exhibitors who are offering show specials must only offer the specials for the duration of the tradeshow and only to retailers in attendance. No advance or after show specials are to be offered. Show management will closely monitor the offering of show specials and if necessary in the opinion of show management, take immediate action for any reported infractions. 4. Booth Specifications: Booths are 10’ wide by 8’ deep. Backdrops and rail type separating bars between booths will be provided free of charge. Company identification signs are the responsibility of the individual exhibitors. 120 volt/15 amp duplex outlet is provided within all booths. An electrician on site to be confirmed with Levy. Additional electrical requirements must be arranged with Levy. Rental of sundry items for exhibitor booths such as tables, chairs, etc., or different coloured carpet are the responsibility of the exhibitor and can be arranged directly through the show services provider Levy Show Services Inc. 5. Height Limitations and Appearance: Standard and prefabricated booths; large equipment or structures shall be placed as close as possible to the rear of the booth in consideration of neighboring exhibitors. The height of the equipment on display may not exceed 8’, and such equipment must be self-supporting and freestanding. Exhibitors must not unduly obstruct visibility of adjacent booths, i.e. 50% visibility allowance for booths on either side (in-line booths). 6. 7. Prefabricated Booths: Projection of side walls from rear of booth more than 4’ high must be limited to a maximum length of 5’ from the rear wall of the booth, allowing 50% visibility at the sides of exhibit. All sides and surfaces of exhibit (booth and signs) that are exposed to view must be properly finished and decorated. Show management reserves the right to refuse entry or to remove at the exhibitor’s expense any display that is not in accordance with these rules and regulations. If your booth DOES NOT meet these rules and regulations, you MUST make arrangement with the BSIA prior to the show. Sound: Exhibitors must police their own booth(s) to be sure the noise level from any demonstrations or sound systems is kept to a minimum and does not interfere with others. The use of sound systems or equipment producing sound is an exception to the rule, not a right. Show management reserves the right to determine at what point sound constitutes interference with others and must be discontinued. 8. Nuisance: Exhibitor displays causing a disturbance or nuisance through excessively noisy machinery or demonstrations, flashing light, objectionable devices or any description, or unseemly conduct by personnel whether in the booth or not is not permitted. Show management reserves the right to stop or remove the source of such disturbance. 9. Cancellation and Refunds: In the event that an exhibitor cancels booth space(s) for any reason, the following policy will apply. The booth deposit is nonrefundable in all circumstances. If the cancellation is received more than 90 days prior to the show a refund of the remaining balance shall be issued. 10. Booth Rental: Rental fees cover space(s) inside and within the parking lot of The Agriplex. 11. Terms: Full payment of booth space required by February 15th, 2016. If registered late, all booth space must be paid for in full before any exhibit will be allowed to be set up. 12. Subletting of Any Space: Exhibitors shall not sublet or transfer any portion of their rented space(s) without permission of show management. 13. Shipping Instructions: Shipments to The Agriplex will be accepted by Levy Show Service Inc. The official show carrier will be Levy Show Services Inc. All exhibitors who ship their merchandise with the designated show carrier or use advanced freight services will have it delivered to their booth space prior to move in. All times of receiving of freight shipped by other means will be strictly adhered to. Any exhibitor shipping Advanced Freight should be PREPAID and consigned to the BSIA, c/o Levy. Material handling costs and all arrangements should be made with the Levy. The organizers will not be responsible for any loss or damage to exhibits or displays. Note: Exhibitors should clearly mark their identifying company name and booth number(s) on all cartons and crates so that they will be placed in the proper area on arrival. Please use a Shipment Tag like the sample in the exhibitor forms available online or PDF. 14. Moving In: Exhibitor move in will be Thursday, March 10th, 2016. 7:00 am – 7:00 pm, and 7:00 am – 8:00 am, Friday, March 11th, 2016. Forklift service will be Thursday, March 10th, 2016 from 7:00am – 7:00pm. Arrangements to be made through BSIA Office, Additional charges may apply. 15. IMPORTANT: (a) All vendors not staying for the public show, must have booth remain completely set up and decorated until 12:00pm on Saturday March 12th, 2016. (b) All new vendors setting up for public show, must setup from 12pm-1:30pm. Public Show is 1:30pm-5pm on Saturday & 9am-4pm on Sunday. 16. Storage or Crates: Limited site storage will accommodate some crates, containers and cartons. Please communicate your storage requirements to Levy Show Services. Ensure that all crates, containers and cardboard boxes are clearly marked. Show services personnel will provide assistance for storage of the crates, containers and boxes. 17. Moving Out: Move out: Saturday, March 12th 12:00pm – 7:00pm. Carry out may begin at 12:00pm, March 12th, 2016 through alternate exits via the Main Entrance. Move out: Sunday March 13, 5:00pm – 11:00pm & Monday March 14, 8:00am – 12:00pm. Forklift service available for move-out. 18. Insurance: Neither the Association, nor The Agriplex will be responsible for damage, theft, or personal injury, howsoever caused, nor for goods sent to Shannon Hall before or remaining after, the exhibit, nor while in transit to or from the exhibit, or during the show. 19. Security: If your product or display requires extra security, arrangements can be made through the BSIA Office, extra charges may apply. 20. Food or Beverage: The Agriplex retains the right to all food and beverage concessions and/or the supply and service of all food and beverages at the Hall unless otherwise agreed. Any exhibitor inquiries regarding the service of any food or beverage from their booth space are to be forwarded to the BSIA office. 21. Indemnity: The exhibitor shall be solely responsible for and answerable for damages and for all acts or omissions due to or caused by any person at any time while the exhibitor is in occupation of the assigned booth(s) or any portion thereof, and shall indemnity the Association, its officers, servants, agents or anyone for whose actions or defaults the Association would be responsible for all claims or losses arising from or in connection with such acts or omissions. Exhibitors hiring a third party installation or construction company must have the third party submit a liability insurance certificate of 5M and clear WCB certificate to execute work during the exhibitor move in/out. Industry standard for EAC’s and Sub Contractors. 22. Limitations on Rentals: a) The Association assumes no liability for fulfillment of the lease contract with exhibitors for space if prevented there from by any of the following causes: partial or total destruction of the premises by fire, an act of God, the public enemy, strikes, operation of law, or any other cause beyond the control of the Association. The Association will, however, in the event of their not being able to provide the exhibit space(s) for any of the above-named reasons, reimburse space renters prorate on any amount paid in, less any and all legitimate expenses incurred by reason of the lease contract, including advertising, salaries, etc. b) The Association reserves the right, in case the exhibitors shall (i) fail or refuse to comply with the orders or requests of the Association or (ii) permit any conduct or act which in the opinion of the Association is improper, or renders it inadvisable that the exhibitors shall be allowed to continue carrying on business under this Agreement, or (iii) fail to comply with the terms and conditions herein, to forthwith terminate this Agreement and take possession of the assigned booth(s) and at the cost of the exhibitor remove him and all property there from, and the Association shall not, nor shall any or its officers, servants, or agents, be liable in damages or otherwise by reason of such termination or removal and notwithstanding such termination or removal the exhibitor shall pay in full the fee set out above. c) The exhibitor agrees to comply with the terms and the lease agreement between Cloverdale and the Association, and also to comply with the orders and regulations of the association. 23. Binding of Contract: This agreement shall not be binding until accepted by the Association. The Exhibitor shall not be entitled to exhibit in the show unless the space rental has been paid in full. 24. 2016 Westcoast Logo: Use of the BSIA 2016 Westcoast logo is permitted with permission of the Association. The BSIA encourages exhibitors to promote the show throughout Western Canada and the NW USA.
