Ratings Bureau Wednesday, May 20, 2015 Rating of tournaments As of 01 July 2015, the following will apply and strictly enforced: 1. Tournaments will only be accepted for rating if the files are uploaded via the CHESSA website. No tournament files will be accepted via email. 2. Each region must appoint one person who will be responsible for making these uploads. The person responsible (not someone else) must contact the Ratings Bureau ( ratings@chessa.co.za ) and provide the following information: a. Name and Surname b. Email address c. Region d. Mobile number e. Copy of letter of the regional president/secretary appointing this person as the official 'uploader'. Once this information has been received, a password will be send via a sms the person with which to log in. This password will NOT be sent via email or to the mobile number of another person. 3. The person can then login to the website. The following details are required when logging in: a. Region code (see below) b. email address (as provided above) c. password (which is case sensitive) 4. Once logged in, the person will be able to upload the tournament files. 5. The person will NOT be allowed to upload files on behalf of another region. Any such files will be deleted and not rated. REGIONS AND REGION CODES The following regions have been registered on the server. Should your region not be listed, please contact the Ratings Bureau immediately. Note: only regions as recognised by CHESSA, will receive the ability to make uploads. 1. Buffalo City (EBC) 2. Chris Hani (ECH) 3. Nelson Mandela Bay (ENM) 4. Lejweleputswa (FLW) 5. Free State (FS) 6. Ekurhuleni (GE) 7. Johannesburg Metro (GJM) 8. Tshwane (GTP) 9. KwaZulu Natal (KZN) 10 Capricorn (LCP) 11 Limpopo (LIM) 12 Ehlanzeni (MEN) 13 Gert Sibande (MGS) 14 Nkangala (MNW) 15 Bojanala (NBR) 16 Northern Cape (NC) 17 Dr Kenneth Kaunda (NWP) 18 Sedibeng (SED) 19 South Western Districts (SWD) 20 Boland (WB) 21 West Coast (WCU) 22 Western Province (WP) REGIONAL OBLIGATIONS When submitting the contact details (together with the letter of appointment), a region (and the appointed person) agrees to not abuse the system. If any such abuse is encountered, the login capabilities of the region will be removed and their tournaments will not be accepted for rating. DISTRIBUTE INFORMATION It is the responsibility of each region to notify all their arbiters, organisers, clubs, academies, etc. of this information. DESCRIPTION ON HOW THE SYSTEM WORKS Once the appointed person has received his/her password, the procedure is the following: 1. Go to the CHESSA website. 2. Click the 'Ratings Admin Login' button (under the 'Quick links' section). Please note that this button will only appear as of 01 June 2015. 3. The person will be directed to the login page where he/she must enter the login details (region code, email address and password). Please note that the password is case sensitive. It is 10 characters long and contains letters (lower and upper case) as well as numbers. It is recommended that you write this password down somewhere and keep it safe. 4. Once logged in, the person will see the 'upload page'. On this page the person will be able to upload a maximum of 10 files per session. If the person would like to upload more files, they need to login again. This is done for security reasons. 5. Only the following type of files will be accepted by the server: Swiss Arbiter and Swiss Manager tournament files ending on the extensions: 'ABS, TUNx, TUMx, TURx, TUTx'. The upload will fail if any single files is not one of these types. NB! Any other files, disguised with one of these extensions, will be seen as abuse and the region will immediately lose all upload rights and none of their tournaments will be rated. 6. Once the upload is successful (uploading may take a minute or two, sometimes a few seconds, depending on the quality of your connection as well as the number of files and their sizes) the person will be directed to an 'upload confirmation page'. This will also, for security reasons, terminate the person's current session and will need to login again if he/she wishes to upload more files. TOURNAMENT INFORMATION Before making any uploads, please ensure that all player data is complete. Any tournament files with incomplete details will not be accepted for rating. The regional person will be contacted and must then correct all details before uploading the file again. The following information will be considered as incomplete details: 1. Players without CHESSA id numbers, unless they are new players not appearing on the downloadable ratings databases. 2. Abbreviated surnames. E.g. JvRensburg (instead of Janse van Rensburg). 3. Single characters in the 'player name' field. E.g. 'S' instead of 'Sipho'. 4. Surnames with the apostrophe sign. E.g. O'Hagan. Change this to OHagan. 5. Incorrect date-of-birth. Dob's must be in the form yyyy/mm/dd (e.g. 1970/05/01). NB! It is impossible for nearly all players to have been born on 01 January. Please do NOT enter a player as (e.g.) 2008/01/01 simply because you do not know their dob's. Also do NOT enter (e.g.) 1900/01/01. 6. Player genders MUST be indicated (either M or F). 7. Player region code MUST be entered. Do NOT enter club, team, etc. abbreviations (e.g. ABC or HSD, etc.). Ask the player where he resides (or what region he belongs to and enter that code). 8. Player surnames or names may NOT contain numbers. E.g. 'Smith 10'. Some organisers do this to indicate the age group of a player. Remove these numbers before uploading the files.
