STEPS IN SECURING GENERAL CAMPUS STUDENT EMPLOYMENT
Eligibility
All student employees must be enrolled as students at APSU. Federal law requires that
students must be enrolled as at least half-time students to work on campus:
Undergraduates must be enrolled for at least 6 hours;
Graduate Students must be enrolled for at least 3 hours;
Summer Term- Students must be enrolled for at least 3 hours or registered for fall
semester at above minimums.
All student employees must maintain a minimum 1.8 GPA.
How Many Hours May a Student Work?
During the academic school year: University policy permits students to work a total of 20
hours per week during the school year. International students on F-1 or J-1 visas may
never work beyond 20 hours per week while classes are in session.
During summer and breaks: Students who are enrolled as a minimum half-time student
for the upcoming fall session can work all summer. They can work up to 40 hours per
week if they are not enrolled in summer classes or up to 20 hours per week during
sessions when the student is enrolled in summer classes.
Students who are not enrolled for the upcoming fall session must be enrolled in a
minimum of 3 hours of classes during each summer session they are working. The
student can work 20 hours per week while they are taking classes.
Students not taking any summer classes are subject to Social Security and
Medicare tax withholding for employment during the summer break.

** Students may not work more than 20 hours per week while enrolled in classes. This
includes Summer semesters.
** Students may not work more than 2 assignments at one time. When working for 2
departments, students must not work more than the allowed hours combined.
How to Find a Job
1. Check out the student job postings on the Human Resources and TBR-APSU
application websites. New positions are posted as they are received in Human
Resources (HR) and are posted for a minimum of five (5) business days.
2. Click on the job title for more details of the position. Each listing will contain a
deadline date.
3. Complete an Application on the PeopleAdmin applicant system.
4. After the deadline date, the department will review all applications and contact
selected applicants for an interview. If selected for the position, the student will be
contacted by the departmental contact person.
5. The student must complete all necessary hiring documents:
FORM I-9
W-4 Form
Direct Deposit Authorization with voided check
Copy of Social Security card (for payroll purposes only)
International students must present their passport, I-94, # I-20, and Visa to HR in order
to complete paperwork for student employment. International students will need to obtain
a Social Security card before they can start to work. Generally it takes a minimum of two
weeks to receive a card from the Social Security Office. Students who work before
receiving a card and who are then denied a work permit may not be paid for their work.
The forms must be returned to the departmental contact person, who will forward them to
Human Resources along with a Student Employment Data Entry Form.
Please note: The student is not authorized to begin work until HR notifies both the
department and the student via e-mail of an authorized begin date.
6. All student workers must enter their time worked via the online timesheet system in
AP One Stop/Employee Self Service known as Web Time Entry.
Hours reported on a timesheet must reflect the actual hours worked on the days
indicated. Timesheets that misrepresent actual time worked violate State and Federal
employment laws. Such misrepresentation, either by students and/or by their
supervisors is strictly prohibited. Supervisors may be held liable for any
deviations or inaccuracies. Students should never electronically sign timecards in
advance. Proxy signatures are prohibited.
Student employees who perform services for a department or office should not be
considered volunteers, nor should they be paid as an “independent contractor.” Working
without approval, paperwork not completed or “off the clock” is prohibited.
Pay and Compensation Information
Starting pay for most positions on campus is $7.25 per hour (minimum wage as of
July 2008). Others have higher rates depending upon classification.
Students are paid biweekly. Refer to the Student Payroll Schedule for pay dates
and timesheet deadlines. This schedule may change throughout the year. Check the
website often to ensure that you stay informed regarding payment dates. Students must
submit their timesheets for approval by midnight on the Monday night following
the end of the pay period. Timesheets must be approved by 9:00 a.m. on the
published due date.
Student employees are considered temporary, part-time employees and are not
eligible for benefits or unemployment insurance.
Student Responsibilities
Arrive at the department prepared to work.
Notify supervisor in advance if student will be absent or late for work.
Contact immediate supervisor if the student wishes to terminate his/her employment.
Submit Web Time Entry by the deadline.
Adhere to the general dress code (see below).
Do not work during scheduled classes or exam periods.
General Dress Code
Appropriate appearance is a pre-requisite to successful interaction and communication
with the University and the community. University employees must project a professional
image to the public. Clothing permitted in the classroom may not be suitable for an office
environment. To ensure a casual but professional image, the following is expected of all
student employees:
Shorts must be at least the length of fingertips.
No holes in any clothing item.
No halter tops, tube tops or midriff-baring tops.
No suggestive or inappropriate messages on t-shirts.
Sandals are permitted, but no bare feet.
Because personal preferences and fashion trends vary greatly, it is the supervisor’s
discretion to identify and address concerns not listed above on an as-needed basis.
Several departments on campus have dress requirements for safety reasons. Before
beginning work, please check with the supervisor to determine if there are any specific
dress code requirements for a student position.
