New website design – links to calendars, forms, & CHARMS CHARMS - new software for communication, sign up for volunteering, budget, calendar, Future GVMPA Meetings Toni Drill Discussion: Toni to send agenda out prior to meeting to allow parents to see topics to be discussed. Meetings to be roughly 1 hour. Structure to be band, fundraising, financials, items to be voted on, and then choir to accommodate Directors schedules Parents & Directors should send any additional topics to be added, or proposals to Toni prior to meeting . Rules to be enforced: No open toed shoes, No one under 14, No children to work window, No eating inside the stand, Everyone to wash hands and keep them clean, Food Handlers must wear gloves. The shack provides GVMPA the majority of funds to help the music program. Prior to game days: Shoppers needed to buy food and supplies ahead of time, volunteers needed to receive and load soda on delivery day Game day needs about 15 volunteers (4:30-10 pm) Pick up of ice, pretzels, pizzas Front Window (takes orders, handles money) Back of house (cheese for nachos, coffee, and hot chocolate) Runners (replenish food & drinks at front counters) Wrappers (wrap pizza, pretzels, hot dogs and hamburgers as it comes in shack) Outside (Grill Chefs, Fry Guys, cheese pumper, cash handler) Volunteering Opportunities Toni Drill & Bart Corsaro Discussion: Fundraising: Fundraiser coordinators, day of fundraiser distribution, Designer Bag BINGO Special Events: Band Banquet, Flowers for seniors at last concert Uniform & Formalwear: distribution (start of year) and collection (end of year) Marching Band Away Games: 4 equipment loaders/unloaders, U-Haul drivers, 4 bus chaperones, Cavalcade day dinner helpers (pick up pizza & serve kids) Marching Band Home Games: 4 equipment helpers, 15 Shack volunteers (see SHACK section) Sign up via CHARMS or contact Bart Corsaro at Bart@bcorsaro.com Fundraising Toni Drill Discussion: Individual - profits go to individual students account which remains with them their whole time at GVHS, funds can be withdrawn for use by student for music dept costs (activity fee, shoes, field trips, etc), when student leaves GVHS they can bequeath money to sibling, neighbor friend, etc. Group - profits GVMPA for use to benefit and support ALL music depts (band & choir needs) WAWA Hoagies certificates (mid Oct) $4 each, student earns $1, coordinator needed to send out order forms, collect forms, place order on line, and distribute certificates to students. Gentle Touch Car Wash 5 wash certificates (Thanksgiving-mid Dec) $7.50 each, student earns half, coordinator needed to send out order forms, collect forms, place order on line, and distribute certificates to students. Poinsettia/Cookie/Pizza Sale (Nov 3- Thanksgiving, distribution on Dec 6) prices vary, student earns portion, coordinator needed to send out order forms, collect order forms, place order, coordinate volunteers for pick up and distribution Mums (now-Sept 12, distribution on Sept 20) prices vary, student earns portion. Drivers needed to be in East Earl by 7:30 and bring plants back to school, 10-12 volunteers needed at 8:30, 9:30-1pm for distribution at school SHACK – Largest most profitable fundraiser for GVMPA to benefit all music programs at Great Valley Upcoming Events Toni Drill Discussion: 09/12 – Home Game 09/19 – Away game @ Octarara 09/20 – First Cavalcade 09/27 – Home Game 10/02 – THURS Home Game – Middle school band kids night 10/04 – Cavalcade 10/31 – Game Senior Night Financials Karen Stalker Discussion: Budget is now being done in CHARMS - Overview presented In summary, we have $14k in savings, $5k in checking, and $5k in vanguard for emergencies Choir Dept Ashley McBride Discussion: Needs $ for choir room piano, either to replace, or for gutting/replacing hammers and strings. Will put together a proposal. Thinking Spring (May 9 or 16) trip to Dorney Park to include performances by our band, choir, and orchestra – remainder of day to be for kids to enjoy park. Cost would be $30 per student, with optional additional charge for food package. Misc Items All Discussion: Student Leadership – Instrumental Student Council in place and meets 2 nd Wed of every month. These students are advisors to Mr Ceresini on what the student needs are in the various music programs. This years president is Claire Ousey, and she will be in attendance at all GVMPA Meetings Collegiate performance in Allentown Sunday, Sept 28. – this is a festival of 20-25 college marching bands. Tickets are $15 each, or if we can coordinate a group of 20, $10 each. Ususally this trip is from 10 am-6 pm, with optional stop for dinner.
